EXECUTIVE SUMMARY

This paper serves as a report of the study performed on the existing information systems of the AVON COMPANY BRANCH located at Olivarez Plaza, National Highway, Brgy. Batong Malake, Los Banos, Laguna. The goal of this study is to create an easier and effective information system for the dealers involved with the ordering processes at AVON. The group first visited the company branch and interviewed the branch manager. Questions about the data flow in the systems and in every stage of each transaction were then asked. The proponents then created data flow diagrams based on the data obtained from the interview and from the direct observation which paved for the better understanding and recognition of the problems in the systems. The main problem identified by the group was that it is hard to obtain the out-of-stock information. The sales representatives need to go to the branch in order to know if the product is available, and if it’s not, she has to come back some time to check again which costs her more time and money. In this regard, after analyzing and scrutinizing the factors and causes of the problem, the group formulated some solutions that may be recommended to the company. These include the creation of online accounts for the dealer wherein they can view their profile, transactions, and available products. Sample interfaces concerning these recommendations was then presented and discussed thoroughly. Lastly, the group concluded that if the proposed solutions will be implemented, there will be an ease in accessing various information such as the representative transaction histories, her credit limit and of course the products available for purchase. Thus, making it convenient for the representatives in terms of money, time and effort.

1.0 COMPANY PROFILE AVON is a direct selling beauty company which operates in more than 100 countries and with approximately 6.5 million active independent Sales Representatives. In the Philippines, Avon was purchased by local beauty company Beautifont in 1978. The company name officially changed from Beautifont by Avon to Avon Cosmetics, Inc in 1983. Its product line includes beauty products, fashion and home products, and features such well-recognized brand names as Avon Color, ANEW, Solutions, Skin-So-Soft, Advance Techniques and Avon Naturals. The company has a network of associates nationwide. It ensures that compensation packages given to its associates are competitive in order to attract and retain the best talents. Avon also ensures that its associates are prepared through various developmental activities for future roles in the organization not only locally but globally through various interventions, which include training programs and cross-posting assignments.

2.0 INTRODUCTION 2.1 Background and significance of the study Avon has long been a direct seller of beauty and related products in the Philippines. They market to women through millions of active independent Avon Sales Representatives (franchise dealers). Much like other business organizations, they make use of manual ordering system. This study will improve the information system of Avon – Los Baños branch. The proponents will make use of data flow diagrams for further analysis to then come up with feasible recommendations, and at the request of Avon can be forwarded to the company. Each dealer has a credit line. They go directly “shopping” to the “supermarket” (an Avon Center/Branch) where they get items. Based on the order lists coming from the brochure, each item has a number code and description to be easily located. There are areas for each item. Example, there are stands for perfumes only, for make-up, brassiere, lotion, etc. Items on sale are separated from other products. They can ask for assistance from stockmen or staff whenever they cannot find an item. If lists of orders are completed, they go to the counter for payment and present their identification cards. That comprises the company’s ordering system. Problem arises when dealers resort to manual notification of out-of-stock items, in which they keep on coming several times just to follow up if particular items are already available for purchase. Once the dealer have the order items, only thereafter that they will proceed to the next ordering processes of AVON system. This may be resolved if only AVON can notify them right away, in which cost of mileage incurred by dealers can be avoided. In this regards, the proponents would like to improve some processes involve in AVON’s manual ordering system that will reduce the costs, time and effort, convenient for dealers and for the management as well.

2.2 Statement of the problem/opportunity The opportunity to lessen the costs that will be incurred by dealers, as well as to find ways on how to provide easier access to information involve in the ordering process are the main focus of this study.

2.3 Objective of the study The objective of the study is to create an easier and effective information system for the dealers involved with the ordering processes at Avon.

2.4 Scope and limitations of the study This study would be limited to the processes, information, and data involved in the process of order taking. Providing /Making an actual database for Avon will not be discussed in this study. Also, this study only covers those representatives with credit limits.

2.5 Date and Place of the study The study takes place in the company itself at Olivarez Plaza, National Highway, Brgy. BatongMalake, Los Baños, Laguna. The time period of the study commenced on August 2012 and will end on October 2012.

3.0 DESCRIPTION OF SYSTEM UNDER STUDY 3.1 Overview of Processes People cannot directly be able to buy at Avon Centers. They must order products through its representatives nationwide. If someone wants to be an Avon Representative, she must goes to the Avon Center/Branch and follows all the necessary processes to become one. After her membership was approved, she will get an I.D. and account number and she can now get orders from people. After collecting all the orders, the representative then goes to the “Avon Center/Branch”. Only representatives are allowed to buy inside the Avon Center. The representatives then, get their orders just like in other supermarkets. In case the product is not available the branch manager will confirm it and they have no choice but to return again next time until the products will be available. If the available orders are completed, she will go to the counter. Avon allows their representatives to loan their products and pay it for a period of 5 weeks. Each representative has a credit line based on their past transactions. They are only allowed to purchase products based on their credit limits. After checking their credit limits, they will be able to get their products and the statement of purchase. When the representative will pay her respective balance, the teller will first check her record if it is on time or beyond due date. Late payment will be charged according to the rule. The management is assessing the performance of each representative. Good performance will get recognition and some freebies. On the other hand, appropriate warning will be given to those delinquents.

7.0 TRANSFORM DESCRIPTION Once a representative has set of orders, she is now ready to avail products in her respective branch. If the product is available then she can proceed to the next process. Otherwise, she cannot purchase the product.

In the Avon System, a representative cannot purchase an item that exceeds in her credit limit. If that happens she has no choice but to return the item in the store. On the other hand if she has enough credit limits, the management gives additional discount based on the total amount that they purchased. If a representative purchased a total of 1000-5000, she will get 5% discount. If she purchased 5001-10000, 10001-15000, 15001-20000, 20001-25000 she will get 10%, 15%, 20%, 25% discount respectively. Also the management adds a penalty cost every time that a representative pay beyond due date.

8.0 Recommendations 8.1 Summary of Recommendations After analyzing the processes of AVON Company with regards to their ordering process, the proponents suggest that the company should provide a faster means to access information for the convenience of the dealers by automation, using the different languages and programs such as PHP Hypertex Preprocessor or JavaScript (for processor), HTML (for the interfaces), and MySQL (for database). Hence, each dealer will have an online account that will enable her to view her profile, transactions and the products available for purchase. The proponents have also shown the design interfaces that are possible for AVON to use, and describe how to use it.

8.2 Domain of Change The figures below will show the proposed interfaces for the online account of each dealer. First, the account of each dealer is incorporated with the Avon Philippines official website (www.avon.com). To log in the account, the dealer should have to click the link on the upper left corner of the website as shown in the figure below.

Each dealer must find their respective Avon center or branch to be able to access in their account as well as to get updates from their respective centers.

After finding their Avon Center/Branch the dealer will now enter her account number to be given by the Avon Branch and their personal password. In case the person is not yet a member of Avon, there’s a link to know the process regarding how to register new accounts. One cannot register online because the management requires personal appearance of the person for verification thus this link will only show the process on how to register and all the necessary documents needed before going to the preferred Avon Centers.

Once the dealer have log in, they can now access their personal account. The dealer will also be informed about the different announcements, promos for each representative. Their personal accounts contains their personal profile, their transaction history, accounts information and the availability of the products in the branch..

The profile interface shows the personal information about the dealer - her name, address, account number, email-address and many more. The representative can also edit her information.

The transaction history will show the different dates that the representative purchased products or pay for her balance. In order to view the detailed transaction, the representative must click the specific date that she wants to know.

The transaction details per each transaction date show if the representative purchased the product of pay for her balances. If the dealer purchased products, detailed information about the products is available such as, the product code, name, brochure price, discounted price and the total amount to be paid by the dealer.

The accounts information show the important dates that a dealer needs to know. It also shows the total balance that a representative has as well as her credit limits and her available credit limit. The due dates of each representative must be given with attention because a penalty cost will be incurred if the representative pay beyond due date.

The available products link is very important because it will show the availability of each product in the branch. For the convenience of the representative, the products are sorted according to the type of each product. Every time that a product is purchased at the cashier of the Avon Center, the availability of the product will be automatically updated from time to time

Also, the representative can also view the online brochure of Avon.

For this online account to work properly, the Avon must train their representatives about the whole online account through a seminar.

9.0 Conclusion If the proposed information system which is making online accounts for dealers is to be implemented some advantages would then take place. One of those is that there will be a faster flow of information since the data will be automated. Furthermore, the loop in the process will then be eliminated that will yield to a smooth process flow (see illustration below).

The delays will be also avoided, thus it would be convenient for each representative concerning their time, effort and money.
