Audience Analysis By definition “Audience analysis” is led by technical writers in an assignment's initial periods. It comprises of assessing the audience to make sure the information provided to them is at the suitable level. The addressees are often mentioned as the end-user, and all communications need to be targeted towards the defined audience. Outlining an audience requires the thought of many factors, such as age, culture and knowledge of the subject. Considering these aspects, a silhouette of the intended audience can be shaped, allowing authors to transcribe in a manner that is agreed by the projected viewers. As this week assignment, need to present quarterly sales information at an in-person meeting to a group of stakeholders, including managers, salespeople, and customers. Knowing your audience, it is always important to design your approach tacked and what is the best practices to get this information to them. This paper will look into these different methods. It is important to know the characteristics of the audience. Certain things must be considered like how large is the audience? Does the audience know you in-person? Do the audience and the presenter have any variances that would present barriers with communication to overcome? Does the audience know about this topic? Are there any topics that my audience need or not need to know? And how will the audience use this information after the presentation? These are just a very type of items or questions to keep in mind on how to come up with a strategy, which will allow for information being presented to have any true valve, and in this case, will the stakeholders, managers, salespeople, and customers. Principally, keeping in mind about the audience, ask the question, “How will this presentation change or affect how the audience thinks, feels, or understands this topic?” The answers to these questions will condition your approach to the audience. A proper communication channel is important when speaking or addressing a group of stakeholders that includes managers, salespeople, and customers. Communication is effective and plays an important role in businesses which inform and can influence behavior. Communication channels are a means to send a message, such as email or by the telephone. Until 1960’s, the Encyclopedia of Business (ed. 2) states the most effective way to communicate relied on the word chosen in the message. However, during in the 1960s with Marshall McLuhan stated, “Believe that the medium was the message”. Today, with the help of media richness theory (Lengel and Daft 1998), stated “most people realize that the appropriate choice of communication channel (medium) contributes significantly, along with the words, to the success of a message”. Examining numerous communication channels to understand their suitable use is significant. Media richness theory positions communication channels along a variety of wealth, decisive highly rich channels as those control multiple distinctive cues concurrently. A face-to-face get-together that employs remark as well as audio and visual senses, is deliberated tremendously rich. A newsletter or brochure is lean, containing only the visual sense and slow or no comment. Some of these channels brochures, letters, e-mail messages, video e-mail messages, telephone conversations, videoconferencing, and face-to-face meeting still be revised, alongside with some guides for suitable use. Suitable choice of communication channel leads to throughput rises and optimistic social effects. Understanding affects the accomplishment of a message, helps sources elect which communication channel to use. There are some concerns to retain in mind given with the possibility diversity can cause with the viewers. The first one is what are the ages of the people in the audience? Knowing the demographic character of the listeners will help in communicating an exhibition that allows for communication of the facts in the most effective manner. Their age, gender, and education are the key demographics to reflect (Pearson, 2009). These demographic indicators will aid in creating a exhibition that carries all the important aspects of the data in an enlightening and comprehensible manner. The next question could be “how familiar the audience is with the subject because you may have to explain each idea or describe words and terms, which the audience is not familiar with. Educational background is very important because people of a higher educational upbringing are more likely to understand than those with less education. As the education of the individuals within the group carries similar effects as careful consideration of the groups to which they belong. Those with a higher degree of education will characteristically have a more thorough accepting of technical presentation; however, the chance of each member of the group having the essential knowledge to understand business technical talk is unsure and should be considered as part of the demonstration. Understanding all of these facets of your audience allows the presenter to articulate the best presentation possible to reach each affiliate of the audience. Communication is being able to permit a message from one person to another and having that message understood as envisioned. Many aspects can restrict with this mutual understanding. Some of these features are body language, attitude, and familiarity of both participants. Even background noises play a part. It is important to confirm all that can be done to promotion effective communication. Giving a exhibition to a assembly or watchers is being ready for problematic queries, so that you're not unnerved off sequence and left feeling rattled. Remain in a position of communicating effectively; Brown mentions a golden rule for managing hard questions in the situation of a collection or hearers. He proposes “that you listen on behalf of everyone present, including asking questions and repeating the issue”. Being prepared is the most important thing when addressing a situation in which you must present quarterly sales information at an in-person meeting. There are always going to be those questions, “what are the characteristics of the audience must you consider”, the “appropriate communication channels”, which “considerations to keep in mind concerning how diversified your audience is”, and “how do you ensure your message is effective”. A good presenter will always have an effective presentation if they are well prepared, organized, have the proper knowledge on the subject in-order to take questions and give effective responses. Doing these simple things will ensure success with the meeting.
