The acquisition of accounting information systems is by far one of the most significant choices that a business must consider. Before a company chooses to purchase industry-specific software or develop custom software it must first evaluate the rationale, needs of the system, and the value that the software will add to the accounting operations. After careful consideration, our firm concluded that the best course of action is for Kudler Fine Foods to purchase industry-specific software. The core focus of the company is not software development nor should it be, management needs to use resources for growing the company. As a food company, management will lack knowledge to hire the correct type of development resources. The company will need contract developers as well as some hours of an architect to design the system; this can become costly. Developing cost is expensive and if the company is halfway through development of the software and the funds run out, the company will have to put resources in to finish the program since half a program is useless, development cost typically run three times more than planned. Technical recourses have a hard time understanding business requirements outside their domain, so it can be hard for developers to understand exactly what accounting wants and needs since they are more technical and does not understand accounting, this can cause time delays and raise cost. Purchasing standardized accounting software has many benefits. Since the software is available, the transfer over from the old system to the new system can have a significantly shorter timeline. Of the shelf software has a list of compatible hardware, so the company can purchase the software and hardware. As the company has a plan to open more stores the company can invest in software that is easily compatible for their growth expectations. As the company grows, they can easily add the software to other stores so everything is standardized in all stores. Standardized accounting software has manuals and training available, so the company can easily have the employees trained on the software, and the company can also hire new employees whom have experience using the software. The characteristics of the chosen system are incredible and it is very important employees understand how the system works behind the scenes. The system uses payroll, accounts payable, accounts receivable, and inventory processes. Two core business processes that are common to almost every business are sales and purchasing and are included in the recommended system. The objective of grouping similar activities is to cluster events in a way that simplifies information processing. Information processing requires recording, maintaining, and reporting business and economic activities that make up a business process. The sales process begins with a customer order for goods or services and ends with the collection of cash from the customer. In the training process, documentation will be provided to final users as a user guide, manuals and similar operation instructions. As previously stated the company’s core focus is not customized software development. By choosing to purchase the industry specific software, management will be able to focus their attention on other areas of operation. With the purchase of industry specific software, value is added to the company’s accounting operation by bringing uniformity throughout the company and keeping costs as low as possible. This will make analysis of the accounting information straight forward and help reduce errors in reporting. It will also allow Kudler Fine Foods to save precious time and resources, and will eliminate the need for specialized training, which can be costly to a small business. Although customized software does have obvious benefits, industry specific software meets all the accounting requirements for the company. As stated earlier, industry specific makes training easier and allows the company more options in regards to hiring employees who are familiar with industry specific software. This, along with the ease of functionality, adds great value to the company’s accounting operations. Overall by having industry specific software, the management of the business will be easier, which is the best added value any software can offer. The acquisition of industry-specific software is ultimately the best course of action for Kudler Fine Foods. The potential costs of customized software far outweigh the benefits for the company at the present time. Furthermore, the rationale, advantages, and added values of industry-specific software align perfectly to the needs of Kudler Fine Foods’s accounting operations.
