Misunderstandings in Communication Chrystal Granado April 03, 2014 BCOM/275 Mrs. Misunderstandings in Communication Misunderstanding #1 Who was the sender? My Sargent Who was the receiver? Myself What was the message? My Sargent was trying to communicate directions to me of the medical building I had to drop this urgent lab paperwork off to. What channel was used to send the message? Face to face conversation What was the misunderstanding that occurred? His directions on what building to go to was clear, but as for where exactly I was supposed to drop off the lab paperwork off at when I finally got there was not so clear. All he had said was to “Drop the papers of at the first clinic to the right, once you walk in the building, you can put them in their box.” So I did exactly that. I ended up dropping the papers off to the wrong clinic though because it was supposed to be dropped off at the women’s clinic and I dropped it off at the primary clinic. The clinics had switched their locations in the hospital a week earlier. I didn’t know because when you drop off paperwork, you drop it in a drop box, which it only said drop box. Therefore, since it was dropped off at the wrong location, it was not processed correctly, which made it late for the Commander. Since this happened, the Commander had to locate the paperwork, get it to the right location, and have them expedite it back to him. I ended up finding out that the paperwork was for a solider that was wounded. How could the misunderstanding have been avoided? This could have been avoided if my Sargent would have said to me, “Drop this paperwork off at the women’s clinic in the hospital”, and then gave directions. Or when I got to the hospital, I should have made sure the drop box was for the women’s clinic. Misunderstanding #2 Who was the sender? My Visa credit card company Who was the receiver? Myself What was the message? I was given a conformation code by the CSR Rep. for the payment I made over the phone. What channel was used to send the message? Phone conversation What was the misunderstanding that occurred? Even though, I had giving then CSR Rep. my payment and yes, she did give me a confirmation number to confirm that payment went through; I still got a letter a few weeks letter stating that I never made a payment. So at that point I went and pulled up the payment from my bank records as well as the confirmation number that the Rep. gave me and fax it to the company confirming the payment was taken out of my account. Then my credit card company had to get Kelly’s record and find where she went wrong, and then reverse the late payments they gave me plus the bad report that was asset because of the issue. How could the misunderstanding have been avoided? Kelly could have made sure she inputted the information correctly, or I could have made sure the payment was good by making her get back into my account and give me the conformation code again Question 1 What I learned about the communication process activity was when using communication via email; you have to make sure the details are informed, where, what, when. In via email communication you need to make sure there are clear and specific details of instructions that are clarification within the message in order to insure that the, communicate is well understood that you can easily resolve any issues that might arise. Question 2 What seemed to be the main cause of the misunderstandings the lack of information, if I hadn’t asked for a confirmation number after making my payment then I would have had to either go through a long dispute with the company or make another payment because they couldn’t find my original payment. So in order to prevent misunderstanding in communication in the future I need to make sure that all business transations are fully entered and have the Reps. Repeat to me everything that was entered so that I know for sure that all the details are properly entered and in the right spot and everything is submitted properly and in the right area. The message can be transmitted in many ways such as words, sounds, body language and other behavioral features. This said, demonstrative communication, a form of communication, “includes nonverbal and unwritten communication and involves such things as facial expressions, tone of voice, body language, and so forth.” (University of Phoenix BCOM275 Syllabus, 2012, pg. 4). Other examples include eye contact and nervousness as well as other physiological features. To define further, demonstrative communication is communication we share with one another visually and through vocal inflection. The following is from an internet article by Life123. Manero (n.d.), “It is estimated that only seven percent of communication is composed of words, 38 percent is tone of voice, while 55 percent is physiology. This 93 percent is known as demonstrative communication, or nonverbal communication.” (para. 1). It is interesting to consider that a mere seven percent of our communication is spoken and written. Demonstrative communication can have positive and negative effects that vary in severity from one end of the spectrum to the other. To provide positive demonstrative communication, one must assume a non-confrontational, friendly, and relaxed demeanor.
