Assignment 03 ‐ PROJECT MANAGEMENT PLAN CHALLENGE The Project Management Plan (PMP) is the project document that clearly defines the project and forms its baseline guidance document for the duration. The PMP is typically the first document to be prepared by the project team once the project has been approved; as such it follows the Project Charter approval. A key to a successful PMP is that the Project Manager must ensure that the stakeholders play key roles in its development. The PMP establishes the overview of many of the key project management plans that will be more fully developed later. By learning how to create an effective Project Management Plan, you will better understand its content and its role when acting as a Project Manager. OBJECTIVES

Project "Home Sweet Home" Scenario Now that Mary‐Jo and Bobby Doe are happily married, the newlyweds have decided to build their very own dream house. They have asked you (the renowned Project Manager!) to help them to prepare a Management Plan for this very important Project. Based on a simplified list of project activities (see table below), your task is to prepare a Project Management Plan. Options: ‐ If you would like to submit a Project Management Plan based on a "real" project from your work place, then by all means do so, but let the instructions above guide you in terms of how detailed the submission should be. ASSIGNMENT The project sponsor has approved the Project Charter. In order for your project to move ahead into the planning stage you must develop as soon as possible the PMP. Your task is to develop a detailed Project Management Plan (PMP) for the "Home Sweet Home" or a project of your choice. PROJECT PLAN OUTLINE Executive Summary ‐ (2) Write a few paragraphs describing at a high level the key elements of the project that are detailed throughout the plan. Scope Statement ‐ (5) The scope statement provides a documented basis for making future project decisions and for confirming or developing common understanding of project scope among the stakeholders. the project progresses, the scope statement may need to be revised or refined to reflect approved changes to the scope of the project. Assumptions ‐ (2) Project assumptions clarify gray areas in the project scope. Any known assumptions that have been made regarding the project that may influence this agreement should be noted. Note: Assumptions are made to fill knowledge gaps; they may later prove to be incorrect and can have a significant impact on the project. List only those assumptions that have a reasonable chance of occurring. Constraints ‐ (1) List any known constraints imposed by the environment or by management. Typical constraints may include fixed budget; limited resources; imposed interim and/or end dates; predetermined software systems and packages; and other predetermined solutions. Work Breakdown Structure ‐ (15) Develop a WBS in sufficient detail so that new projects members could get a good feel for the overall scope of the project. Network Diagram ‐ (30) Prepare a Network (Logic) Diagram based on the Work Breakdown Structure and determine project duration and the critical path. Please develop your network diagram “by hands”‐ you can use msWord, Excel, Power Point or simply free‐hand sketch of a diagram will suffice. Using any of scheduling software (MS Project, for example) is NOT within the scope nor required for this course. Doing it “by hands” will help you to better understand its importance and how you can (should) apply project networks on your real life projects. Responsibility Assignment ‐ (5) Develop the project Responsibility Assignment matrix. Budget Plan ‐ (5) Develop a time based budget forecast for the planned duration of the project creating the budget baseline. Detail any contingencies. Schedule Plan ‐ (10) Provide a management level Gantt chart showing the schedule baseline. Issue and Change Management Plan ‐ (5) Describe in detail how scope, schedule, and budget changes will be managed. Typically one must know when a change has occurred. Quality Specifications ‐ (4)

Describe how the project will ensure that the product or service meets the customer’s performance criteria. Project Dependencies ‐ (5) Describe what internal and external factors will play a direct or indirect role in the successful completion of the project. Project Metrics ‐ (10) Metrics determine how the project is doing compared to what was expected. Metrics are used by the project manager to develop realistic estimates and plans, to objectively track and communicate project status and to anticipate problems or identify risks. Tracking project metrics provides for historical data to help plan and predict future projects and provides baseline information for projects to support decision making. Project metrics selected should reflect the voice of the customer (customer needs), as well as ensure that the internal metrics selected by the organization are achieved. Metrics selected should be simple and straightforward and meaningful. Metrics selected should create a common language among diverse team members. Examples are: Costs (Actual vs. Budget), Schedule (Actual vs. Planned), Risk (Anticipated vs. Actual), etc. Human Resource Requirements ‐ (3) Define the project team's organizations, roles and responsibility requirements. Provide a description of major participants including the various internal and external organizations.
