Subject: Background in Group Communication I would like to take this opportunity to welcome you to your new position with our company, and want to brief you on the background of group communication within our department. From my own experience over the last several years that I have been working with this group of individuals there are some barriers that have come up and I have had to analyze and resolve some conflicts that have arouse. Each of the individuals in the department have very good ideas and their own opinions and this has produced some conflict with in the group. We have work on each individual having an open mind to each other’s ideas so that we can avoid conflict and have better relationships with each other.
Communication with the group needs to be clear and precise so that your intent is conveyed to them clearly and concise. The group of accountant that you have in the department do not interact well to harsh tone and body language, so you want to present yourself as welcoming to them. Our group includes many different personalities, information, cultures, perceptions, and power of influence so conflict can occur often, and sometimes you will find that it is difficult to solve.
Once you get to know each individual and have an understanding of what conflict in a group communication setting is and how to address the different types of conflict then you should be able to come up with a resolution. The more communication you have with this group the better work they do. I have found that they have a need to be recognized for doing a good job and they get motivated and produce a higher quantity and quality of work. The group of individuals that you will be working with are emotional and sensitive to their jobs and with having great communication with them allows them to release any emotional feeling or expressions that they have toward their assignments or others.
Some techniques that have worked well for me in overcoming these barriers and enhancing the group communication is do not give your group too much information but enough for them to concentrate effectively on the task at hand. Give the information that is meaningful to them rather than just passing it on, and set priorities for dealing with the information flow. When formulating your business messages remember to adjust your own thoughts and ideas so that it is clear and easy for your team to understand, making sure to include what you expect, and use concrete and specific language that you know will stick with them. I always ask the team to be sure to let me know if they have any feedback for me just in case I need to clarify or improve my message.
Your team does not have much extra time to pay close attention to messages, so I always make my messages appealing and easy to understand. Sending messages in late evening or early morning works the best for the group because they spend a few hours each morning going through their emails so that they can prioritize their day according to importance of assignments. I always offer oral communications so that they can speak to me directly if they have any comments or concerns that I need to address. All of these techniques have worked well with the group and has allowed our department to become effective and productive.
The role of conflict in effective group communication usually occurs when individuals disagree about a topic that is being discussed when trying to make a decision, resolve a problem, or achieve a goal. Different levels of conflict can arise based on all the different personalities, cultures, information that is being discussed to perceptions, not all conflicts are bad, and some can be effective as long as the group knows how to effectively and proactively address the conflict. Having an open mind and listening to other individuals in the group’s ideas can eliminate most conflict. This will also allow effective communicators to be able to respond to harsh criticism or harsh remarks in a nonjudgmental manner and find approaches that bring common ground. Providing a structured approach will allow the group to find safe avenues for expressing divergent viewpoints. Individuals will express their viewpoints openly and clearly when they are confident they will not be attacked by the group or individuals for offering their opinions.
