Practice Management System

In medical practices, the investment in a practice management system is necessary to effectively manage the operations of all departments. A typical practice management system captures billing data, patient demographic information, strategic reports, and appointment scheduling. The HITECH Act of 2009 requires that patient demographics, as well as disease data, are collected and reported to federal and state health agencies in electronic format (CDC, 2012). As a result, our practice has made the decision to invest in the purchase and implementation of the Greenway Health practice management system. The purpose of this paper is to provide background on the system, identify the management and organizational goals for selecting this system, the benefits to the organization, and the justification for this capital investment.
Greenway Health Practice Management As a web-based application, the Greenway Practice Management system has been selected as the preferred solution because of its ability to verify benefits eligibility for patients, manage patient scheduling and patient billing. The application will streamline the billing process for the multiple office locations in our practice, allowing for centralized management. A primary feature of the Greenway Health Practice Management system is its commitment to interoperability. As Tee Green CEO of Greenway, “if we’re truly going to improve health, we’re going to need to start connecting provider and consumer information with clinical research” (Jayanthi, 2014). The interoperability of Greenway will allow our practice to pull demographic, billing, and scheduling data in combination with the clinical data out of the electronic medical record (EMR) system. This system will be a capital expenditure because significant hardware will need to be purchased to support the implementation. The operating systems and the consulting services needed to implement the software will also be capitalized in the annual budget. The annual support and licensing costs for the software will be expensed since they will be recurrent every twelve months
Management Goals The management team has chosen the Greenway Health practice managements system for the scheduling and billing features of their system. These components will then be integrated with the EMR of the practice. The primary goal for the management team in selecting this vendor is to integrate currently disparate and non-integrated systems. The implementation and integrations of a practice management system will ultimately provide the data necessary for enhanced operational efficiency (Quinn, 2012). Enhanced efficiencies will lead to better revenue cycle management and increased profits. As an example, insurance benefits will be verified ahead of the appointment and authorizations obtained before the patients come in. This way, appointments will not be wasted for individuals who come and do not have coverage and decide not to pursue any treatment. Another goal of the management team is to identify demographic trends that can lead to enhanced service offerings for the patients. The healthcare landscape is very competitive, and it is critical that our organization maintain a competitive edge. This is accomplished through analyzing data to target services to specific populations. Without a practice management system, the management team is unable to plan strategically and forecast appropriately for practice development. Enhanced demographic reporting can let the management team know that a large proportion of our patients under 30 come from a specific regional area. Management can then target marketing material or appropriate service offerings for that population.
Organizational Goals and Benefits
The benefits of implementing the Greenway Practice Management system throughout the organization are numerous. The increase in reliability and productivity are goals that are paramount to our organization. Changing from manually to automated insurance benefits verification and patient billing will provide much more reliable revenue streams as well as increase the productivity of the employees. Manual data entry will be minimized, which will enhance the quality of the data in the systems. The data will be backed up and secure in the enterprise database system, as opposed to the spreadsheet environment where much of the data currently resides.
The top priority of our organization is to provide our patients with an excellent experience. The implementation of a robust practice management system can help achieve this goal. Patient care will be streamlined from the point at which their benefits are verified through to their billing. Patients will receive timely authorization for treatments as well as quick and accurate bills for services rendered. The scheduling of appointments will be automated through the new system allowing patients the ability and convenience of self-scheduling.
Economic Environment
The capital investment and ongoing expenses of implementing a practice management system will be offset by the efficiency and accuracy the organization will gain through automated insurance authorization and billing. It is estimated that the organization currently loses over $200,000 annually on missed or inaccurate insurance filings. The manual processes currently used also cost the organization in the time that it takes to turn around payments. Insurance filings are delayed due to manual processes making it hard for the organization to understand fully their cash flow.
Conclusion
The cost of the new practice management system can be justified by the gains in efficiency, reliability, information, and process improvements. Current loses to revenue due to entry errors will be offset with better processing and automated benefits verification and billing. Also gained through this system implementation is important demographic data to provide management with improved strategic planning tools and growth opportunity data. Without integrated systems that are user-friendly and reliable, the organization will continue to suffer losses from inefficient and disparate legacy systems and processes.
