Case Study: Carl’s Misfortune.

Carl’s misfortune seems to have hit him all at once, but with 19 days left until orientation there is no reason to give up. Carl must find his way around the issues in a timely manner to prevent looking ill prepared. Carl Robins, is the new campus recruiter for ABC Inc. On his first recruiting effect he was able to hired fifteen new trainees to work for Monica Carrolls. He wanted to have the orientation complete on June 15 so all the new hires could be working by July. Monica Carroll contacted Carl on May 15 to verify his orientation would cover everything, including, manuals, policy booklets, physicals, drug test, and many other issues. Carl assured her everything would be completed in a timely manner. On May 28 Carl was finalizing the paperwork needed for the orientation. Carl released he was missing a lot of information needed and none of the new hires had completed the mandatory drug screening. He later found out the Joe, from technology services, had scheduled the training room for the entire month for the new database software implementation. Carl has four major problems. Some of his new hires have not completed their applications and sent in their transcripts. None of his new hires have completed the mandatory drug screen. He does not have a complete orientation manual. The training room is double booked. There are plenty of solutions for Carl. He just has to take a step back and take things one set at a time. Let’s start with the first issued, incomplete applications and transcripts. Carl has about 19 days before orientation he could mail each new hire a letter stating that they must mail, fax or e-mail him their applications and transcripts before orientation. Or he could just wait until orientation day to collect them. Carl’s next issue is none of his new hires have completed the mandatory drug screening. Again, this is an easy fix with plenty of time for completion. He could mail each new hire a letter stated they must complete the drug screening prior to orientation and provide them with a number to call for scheduling. Or, this is another issue that can be taken care of on the day of orientation. There must be a database with the orientation manual on it. If not I am sure he can find one whole manual between the few copies he has and create one he can make copies of. Last but not least is the double booking on the training room. Carl can ask Joe if he can have the room that day or find another room to hold orientation. Carl’s problems are not as bad as he is making them out to be. It is very important to stay calm and relaxed. Remember he has almost a full three weeks to get this information across. I believe the easiest and most effective solution to this problem is: write the new hires each a letter. This letter will address each person individually, but will be the same letter sent to each new hire. In this letter Carl should have all the required documents needed from each employee listed. If Carl has the document he should put a check next to it. If he does not he should leave it blank. This letter should also contain the information needed to schedule the drug screening and the new location for orientation because Joe has the training room scheduled for the month. For each new hire he should make two copies of this letter. One for them and one for him, this way he has record of what he sent each new hire. Carl must then create an excel sheet so he can monitor what he still needs from each new hire as the weeks progress. Carl needs to make sure this new room is scheduled for him and only him for that day. The last thing he needs to take care of is the orientation manual. He should inform his clerical staff of the issue. They should be able to get more copies to him before orientation starts. Carl’s issues were not deal breakers. In fact they were very easy resolutions to his problems. The key thing to remember is never panic. Staying calm helps you think more clearly, usually resulting in a more positive outcome. If Carl wants to succeed as a campus recruiter for ABC Inc., he needs to remember to stay focused, organized, and if a situation arises a clear head is best for taking care of the problem.
