* The key problems for this case study are as follows: Carl’s paperwork and files for his new hires aren’t complete. Also, the training room has already been scheduled for the whole month of June by another employee. Carl as many issues that need to be remedied such as incomplete employee files, missing paperwork, and the orientation room being double booked. Background Carl has started a new recruitment of trainees for his Operations Supervisor, Monica. In May he was contacted about the paperwork and to see if everything would be scheduled in time for his orientation in June. He assured her that everything would be completed in time. To his dismay a few weeks before his orientation he discovered that that some of the new trainees didn’t have applications or transcripts in their files. The new hires hadn’t been sent to the clinic for their drug tests either. He also found out that another employee, Joe, had scheduled the training room for a computer training seminar for the whole month of June. If Carl wants to get his orientation on schedule and completed he needs to find a way to get his paperwork finished on time and find a place to conduct the training. Alternatives Possible alternatives for Carl’s situation could be: 1. Push the start date for the orientation back to a later date. (Possible constraints: Monica was expecting to have her new employees trained and hired by July and she may be upset if the start date for the orientation is postponed.) 2. Try and rush the paperwork through to get in completed on time. (Possible constraints: Trying to push the paperwork through could cause mistakes and will require more resources to be expended to rush them through.) 3. Ask other employees and co-workers to help get everything organized and finished on time. (Possible constraints: This alternative could also cause a drain on resources. Help from other employees requires extra pay. They also may need to turn their attention away from projects and jobs that take precedence over Carl’s issues.)

4. Ask Joe if he could reschedule his seminar for a different date. (Possible constraints: Typically a seminar requires ample time to set up equipment. Also, the guests that are attending have to know an exact date. If Joe were to reschedule his seminar he could upset the guests who had planned to attend.) 5. He could ask Joe if he could use the training room for just the day of June 15th. (Possible constraints: While this solution may seem easier to manage, even if Carl managed to get the specific day of his orientation free, there is still the matter of getting paperwork finished and completed. This alternative also holds the same issues as #4) Solution My solution for this case is alternative #1. Carl needs to push back the start date of his orientation in order to allow him ample time to get his files in order and to be able to use the training room for his orientation. The reasons I have chosen this as my solution are: * This is the easiest course of action and it requires the least amount of effort and resources. * His Operations Supervisor, Monica, may be disgruntled and disappointed that her new hires will be delayed in their training. But, if he proposed to do any of the other alternatives he could end up costing other co-workers time and effort better delegated to other tasks. He could also cause the company to spend resources and finances as well. * Also, I believe that pushing back his start date forces Carl to take responsibility for his actions. Somewhere along the line things got forgotten or missed and this allowed Carl to miscalculate his files. To accept his failures would help him learn from the mistakes he made. * To push back the date will allow Carl to get applications and transcripts for his new hires completed and correct. * The drug test required for all new employees is mandatory and to hire them without one would go against company policy. Rescheduling the orientation allows the clinic time to get the drug tests administered and the results filed. * Rescheduling also means he can use the training room that was previously booked by Joe. Carl won’t need to encroach on Joe’s plans in order to establish his own. Recommendations Carl needs to talk to Monica and explain what the issues are and how he will fix them. He needs to tell her about the absent files, the incomplete drug tests, that more manuals need to be printed and revised, and that he will need to reschedule the start date in order to allow time for the clinic to get the drug tests administered. Explaining that Joe has already scheduled the training room for his seminar may go a long way to avoid any negative feelings from Monica about the way his recruitment has been handled. After all, he can’t possibly ask Joe to give up his scheduled seminar if he’s already started setting up his equipment. After he has informed her of the issues, he should next propose to her how he will go about fixing them. To address the issue of the missing applications and transcripts, he needs to contact the employees that need them and request that they come in to fill out new copies. He then needs to contact the clinic that administers the drug tests and get a day scheduled for when his group of new hires can come in. While waiting for the drug test results to be completed, he can revise his orientation manuals and make sure they are up to date and complete while also making sure that he has ample copies of them. Finally, he needs to make sure that he gets the training room reserved properly in order to make sure he is able to use it in time for the newly rescheduled orientation.
