Club IT Part 3 There are many businesses moving forward with technology. They are installing operating systems and managing their budgets using the tools provided by these systems. Club IT is no different. While still a success, there are many improvements that can be made by the night club.

Organization Description and Demographic Information The owners, Ruben Keys and Lisa Tejada, are both business graduates. They currently own a night club, called Club IT. Club IT is a music venue that centralizes their business as a night club. They recently have been remodeled in order to build business and bring in more clientele. Club IT offers food, such as appetizers and short orders from the kitchen. They have successfully installed four- pour stations in the bar area, so there is always an opportunity for the guest to order a drink. The owners, Ruben Keys and Lisa Tejada are desperate to find more ways to become successful in the night club business. Their mission is to offer live music, DJ’s, dancing, and a community of friends in the night club. Wiley.com. (n.d.). Lisa and Ruben are excited to move forward with new ways to use technological systems in the night club. Wiley.com. (n.d.). The information system they currently have does not operate well regarding food cost, beverage cost, labor, payroll, concert events, and marketing campaigns. The first step is to install a transacting processing system (TPS) in order to accomplish these goals. With the new TPS system, they can expect to receive a high quality data from management information systems (MIS). Rainer, R. K., Jr., & Turban, E. (2009).
Goals and Strategy The night club seems a success to an outsider’s perspective, while that may look the case, the night club has many improvements they can make. Lisa and Ruben are looking for an operating system to assist them with understanding numbers while able to keep in communication with the employees as well as the consumers. The first step is improving the TPS, train Ruben and Lisa, train the employees, and begin marketing the night club. These goals should be set in a fashion where the staff will have time to fully understand the system, as well as not go over budget of what Lisa and Ruben can afford. Wiley.com. (n.d.). Ruben and Lisa also need to join the social media. This is a way to communicate with guests outside of the night club. The Human Resources (HR) department should be in charge of all social media for the night club. Human Resources is a functional department and important part of the IT programming. Rainer, R. K., Jr., & Turban, E. (2009). Time is of the essence concerning the new system that will be used at Club IT. It is very important to set forth short term goals and know what the long term outcomes will be. The first step is to implement the new system and train the employees. This is considered a short term goal. The faster the system is in place, the more Ruben and Lisa can begin tracking the numbers they need to be successful. Once the training is complete it is important to use employees to market the night club. The Human Resources (HR) will need to be identified. There should be managers in charge of areas of the night club. For example there will be a kitchen manager, bar manager, server manager, and a general manager. Each of these managers will have a role in the night club to train their department, track sales in their department, and track labor costs in their department. Every week these numbers, which are provided by the TPS, will be reported to Lisa and Ruben. These reports will ensure the night club is running in a successful manner. Their main long term goal is to open a second location once the new operating system is in place at their current night club. Wiley.com. (n.d.).
Professional Development Training is a very important aspect of the night club. The TPS system will be installed and training should begin immediately. The time for training should be during the day since the night club is only open at night. Employees will be required to attend the daily classes until the training is complete. They will need to learn how to use the system properly as well as ring in orders. Lisa and Ruben should expect questions and be able to answer them to the best of their ability. The operating system is not the only focus of training the employees should have, before training begins, an evaluation should be given to each employee. This should be conducted by the department manager. The evaluation will teach Ruben and Lisa which employees need more focus on certain aspects. This can also provide an insight to them on who can be a leader on the floor outside of the class room setting. It is important for all staff members to familiarize themselves with the computer system. Once the night club gets busy, the staff will need to navigate quickly throughout the system. The staff should be able to ring orders in for the guest in less than two minutes. This will ensure the guest is still receiving fast and prompt service from the employees.
Assessment of Needs There are three major technological issues at Club IT. First, they are still using a dial-up connection for the Internet. This is very time consuming and the service delivers a slower Internet speed. They also do not offer WIFI (wireless Internet) to their guest. WIFI is a popular service that is provided free from businesses. The first step in adding a wireless hotspot is determining where they will need the WIFI coverage. This will enable them to check for speeds as well as what equipment will be needed. WIFI Planet. (2013). Club IT currently has no social media websites. The guests are using their mobile devices, laptops, and other devices to share photos, check in, and communicate. Social media is a good place to get your businesses name in the market. Club IT does not have an updated system for consumers to purchase concert tickets. The night club prides itself in live music; there should be an option on their website to purchase tickets in advance at a lower cost. This will build revenue and bring consumers in to the night club. Wiley.com. (n.d.). The Joint Application Design (JAD) is the best method for Club IT. The group based tool will save time and money during the training of employees at Club IT. Since the training will be provided in a class room or group setting, the JAD gives an advantage for all employees to implement the system in the night club. Rainer, R. K., Jr., & Turban, E. (2009). There are many areas that need to be addressed concerning the IT department at Club IT. First they need better Internet service. They need a faster modem as well as a wireless router to provide the guest with free WIFI. This will enable the guest to use their mobile devices, such as cell phones, tablets, or laptops to check in on social media sites. During the technology remodel, the website will be updated. Currently there is one website for employees and guests. These should be two different sites. The first site should focus on the guest. There needs to be a venue list with a link to provide the guest an opportunity to purchase concert tickets. The website should provide store hours, operations, contact numbers, e-mail, menu selection, and links to social media that will be set up. The second site should focus on employees. The employees can log in to a portal in order to check their schedule, request time off, provide availability, gain access to check stubs, and communicate with one another and managers. The managers and employees would have different pass codes to the site. Managers will be able to track sales, inventory, and labor costs. This will save money and time with the new implemented system.
The Budget Determining a budget for Club IT is not a simple task. Looking at the numbers, the Club still maintains to stay above the cost and make money. They are generating a net income of $28,269. It is important to understand that many costs are going to accumulate during the time of transitioning the operating system. Ruben and Lisa have to budget the new system, training, and marketing. It is a cost that will earn them more profits down the road. They first will need to install an operating system, train the staff, and then market the night club. I would expect sales to increase with in the first weeks of the new system launch. Wiley.com. (n.d.).
Evaluation
Ruben and Lisa want Club IT to be a success. For this transition to go smoothly, an outline and specified goal dates are required of them to ensure they are meeting their needs at the night club. The most important aspect of the transition is training the employees, including managers on the new system. Training is an on-going process that needs to be implemented during the process. As the owners, Ruben and Lisa should assign the managers their own departments to evaluate employees, in turn, Ruben and Lisa should conduct an evaluation for the managers. These evaluations should occur at least once a week for the first month, and once a month thereafter.
Inventory
Club IT currently has an outdated system. By implementing a new system, they will be able to execute orders faster, as well as provide their guest with an over-all better experience. The use of WIFI can be used by the night club as well as the guest. The ordering system for the employees should be updated in order to track food, bar, and labor cost for the night club. The night club needs a system that can track this for Ruben and Lisa, will enable them to order inventory in a more reasonable fashion. Moving forward with a better computer system and better understanding of the technological advances in business, Ruben and Lisa should have no problem expanding their night club. The goals they have set forth for themselves are reasonable as long as they maintain their website, training, and evaluations for the staff.
