In most businesses a request for proposal is a part of creating new revenue, business, resolving problems, and building business relationship. However, the budget is the most imperative portion of a proposal. The client or buyer is going to inquire about the bottom line, and even question or challenge how this cost was produced. Therefore, creating a sound budget is vital to receiving an approval on a request for proposal. The next process is to know which proposal should be presented to the client or buyer. The four budget types which can be presented are an Itemized budget, non-itemized budget, fixed budget, or a flexible budget. The following dissertation will compare the contrast the four principles budgets. Then conclude which budget will be more applicable to present to the client at Nickels Security Company.
Nickels Security Contract
The Nickels Security Company is requesting, the hire of security officers to work at a new facility being built. The requirement is to have three (3) areas secured during, a 24 hour a period, seven (7) days per week. Nickels Security, is willing to pay up to 15.00 hour during this six (6) month time frame. Our job is to present a budget which will entice Nickels Security Company to love the budget that we present.
An itemized budget would fit this type of project because; we can itemize every item i.e, labor, uniforms, or equipment. In using this process, Nickels Security could see how much money is spent per item and it helps to control on our own cost. If we chose to use a non-itemized budget then we are can group our cost, and provide a rough breakdown of expenses. The process would be less time consuming as the itemized budget, and we can defend the budget cost asked.
In choosing a Fixed Budget, it will mean that we are presenting Nickels with a set price, and that we cannot return to the company to request additional funds. Since the project is only for a six (6) month time frame this would be a suitable budget. However, if our cost increases due to turnovers, we could possibly lose money on this project. If we choose a flexible budget, we could regulate the cost of the project and make modification where they are needed. Or adjust the cost on a monthly or quarterly basis, which cannot be done if we use a fixed budget concept.
Selection of Budget
After careful evaluation of each budget theory, the best budget to present to Nickels Security Company is the Non-itemized Budget. This concept will allow non-exact cost to be presented to Nickels Security. The client’s only interest is the bottom line, and not every single cost. This process will take less time, than an itemized budget as well as, is a smaller document to present. Non-itemized budgets are generally used in business proposal and budgets which is given to clients. Nickels Security is a return customer, and knows that we can clarify the cost which has been calculated. In the creation of the proposal for Nickels Security Company a team helped to add the Four Principles of Design, to make the proposal a more professional visual aid.
Four Principles of Design
The proposal which is sent to Nickels Security Company must have a clear design, which creates a professional look. A designed proposal increases the accessibility of text, and highpoints imperative information. In addition, a designed proposal sets the tone for the proposal, and creates an affirmative impression for the reader. The presentation of the document should be designed to process various text and various levels to the reader. There are four (4) Principles of Designs for proposals, which are balance, alignment, grouping and consistency. Each of these designs has been used to impress a more favorable design for the Nickels Security Company’s readers.
Since, each design provides great looks for the presentation of the proposal, all are equally important. Although, each process is different they are have some similarities as well. Balance, ensures that the page layout is weighted, text is place both on the left and right side of the proposal. This can include large and small print, images, pictures. Providing balance is a great visual aid to the presentation. Alignment creates a fresh and purposeful look for the presentation, which differs from the Balance process. One similarity between balance and alignment is that the text, each has a place for everything and everything has a place. Grouping has information grouped together to capture the reader’s attention. This process creates less confusion on the proposal, and highlights areas for the reader. Grouping is much different than the alignment and balance process; because, the information is group from left to right. Consistency, is information has is consistently place in the proposal, and often repeats information. The similarities are that the information is placed to prevent confusion for the readers. However, each design provides a great look for the proposal, and to keep the reader’s attention throughout the presentation, each process has a different look on various pages.
Closing
The information provides has been an overview of the elements of budget within a proposal. A summary providing an organization providing a proposal to an organization has been presented. In using this type of process the theory of a proposal, budgets, and the four (4) principles of design were included to prove the importance of each element. The proposal is presented to help aid Nickels Security Company with the process of hiring security staff. The meeting is scheduled to present the proposal to the clients or buyers. Lastly, the process of creating a professional looking proposal was created by using the four (4) design principles. Each process used together created a favorable answer in winning the Nickels Security Contract.
