Computer Information
Inputting data accurately into a computer can be done through different methods depending on the situation. The best method of data input for a printed questionnaire would be a keyboard for its accuracy therefore, avoiding ineligible handwriting and also questionnaires consist of basic characters, mostly letters and numbers. For phone surveys two methods can be employed, a voice recognition device or/and keypad which allows the surveyor to use a recording with this device allowing for less use of man labor, making it far more cost effective, accurate and faster. The voice recognition software stores the information directly into a computer hard disk. This approach assures accuracy by eliminating the potential for human recording errors. Translation errors may occur however, if the voice recognition software is not adjusted for the speech of the interviewees. When using this method of data input we should always keep in mind that some people only respond to live operators. As for bank checks the most accurate method is the MICR, Magnetic Ink Character Recognition, developed by the bank industry. “Data is placed on the bottom of a check or other form using a special magnetic ink. Data printed with this ink using a special character set can be read by both people and computers” (Stair, R. & Reynolds, W.G., 2006, p.37). For retail tags it would be the barcode scanner uses a laser to read the barcode label accurately. Long documents should be inputted into a computer using OCR, Optical Character Recognition, which scan handwriting and typed documents converting them into digital data.
Output is another important part in computer information management; for hand held computers the best method of output is the LCD, Liquid Crystal Display because even though the display is smaller the high resolution of it gives you a better quality and quality image. For the color photograph is the printer which can deliver the image in color in any desired size. For the Resume, memorandums, statistical reports and company annual report the best method of output would also be the printer which delivers a hard copy of the desired document.
There are many different storage devices available but for every situation there is an optimal choice. For example, for the hard disk is used for permanent data storage, the data stored in the hard disk is saved even when the computer is turned off. The Floppy Disk was used to store and transport data from one computer to the other, this disk is now obsolete. The RAM, Random Access Memory, is temporary contrary to the hard disk if the computer is turned off or disrupted the data is lost. The CD ROM, Read-Only Memory, is a drive used for permanent storage provided that the data does not change; it reads and records the data for external use. The Tape or Magnetic Tape is commonly used to back up disk drives to store company data in case is lost. The Flash or Jump Drive is a portable device that can store a lot of data and transport it from on computer to another; it is small enough to carry around in anything.
The speed of a computer is determined by different variables. If a computer does not have enough RAM to work with it slows down because it cannot everything at the same time. The clock speed is was gives you the speed of the processor therefore, depending on the hertz on the clock is how fast the computer is. The data on the Hard Disk does not slow a computer unless the computer’s out of space on it with the operating system. The data on CD ROM does not affect the speed of a computer since it is a drive it only affects the speed of such drive as it reads data. Also, the data on a Floppy Disk does not affect it either as it is a storage device it has no role in the speed of the computer.
