Introduction
a) Problem statement * What are the problems that encourage you to choose the title?

* Student Accommodation Management System is a complex and important system to assist a corporation to manage and improve services for an apartment. I’m interested about the system because I am confusing how does it works to maintain and keep enhance the services for an university student apartment. The system also help to reduce paperwork that is hardcopy of any document because it is very hard to arrange and keep it. If we have this kind of system, we can enjoy the convenience and we just need to key in all of the information from documents into the Student Accommodation Management System. * What problems that is occurring in the existing system? * There are some problems occurring in the existing system such as someone leaving early, not getting back their deposit back, repairs, sanitation and noisy neighbours. b) Project Objective * The objective of your project (at least 3 and explain each objective) * To provide convenient to our residents especially university students in their daily life. * We had a food court and shop lot of sell food and drink to university student. Beside, we also have multi-storey car park to those who have their own car. They are able to enjoy laundry services at shop lot anytime and our apartment is adjacent to university which is merely 40 metres apart and is only 1 minute walking from university. Moreover, the walkaway to university is covered and lighted. So that, students can walk to university safety and comfortable. * To provide some sport facilities to our residents to get more healthy life. * We had our own olympic-size swimming pool which is opened 24 hours and for those who are like to play badminton, we also have badminton court nearby our apartment. Furthermore, we had high class of gymnasium to our residents to help them to get stronger body.

* To provide safety and secure environment to our residents * We have hired more than 10 onsite wardens in day time or night time to make sure our residents’ personal safety are always in top level. Other than that, we also installed more than 100 cctv around apartment to provide 24 hours security services. * To enable our service department keep track of residents’ problems and find solution immediately * Our residents can login to our server and submit a ticket to us and we will approach to you as soon as possible. We will try our best to reply to each ticket that had been submitted. Furthermore, when they are facing any inconvenience that related with us, they may come to our office and fill in the form and submit it to us. After that, we will pass it to our technicians to tackle the problem. * To establish a medium for university students to complaint about our services provided. * The students can express what their dissatisfaction through the Student Accommodation Management System. This is one of the objectives for us to launch the system to our residents because we noticed that the satisfaction of our customers (residents) are quite important for us to keep improving our services. We always declare that our customers is the most important for us and they are always right in all time. * To store the information of all residents and for further reviews. * We will key in all of the residents’ information into our system and we will make sure all of the details are always in private. After that, they login to the system and then can see and check their details whether it is correct or not. The purpose to key in the information is for own reference and we can get all of the data when something emergency had occurred. * To create an online questionnaire from time to time for evaluate and review. * We can have a customer satisfaction evaluation for students to let us know what expectations that we achieved to them and what we need to amend the shortcoming. This is a kind of method that faster to know what are the opinions from our residents and what they expects more in future.

c) Project Scope * Briefly describe your system * We manage Fairyland Apartment by using our own Student Accommodation Management System since the apartment was launched on 1st April 2003. Nowadays, we have more than 100 staffs and had managed over 13,000 residences, for non en-suite and en-suite accommodation. Under the Fairy Apartment Management, it have 3 divisions to assist the management team to operate as well as possible. Fairyland Apartment Sdn.Bhd established itself as the No. 1 operator and provider of Student Accommodation right next door to Multimedia University (MMU) in Bukit Beruang, Melaka Campus since year 2008. * Function * Under the Student Accommodation Management System, it have 3 divisions which are service department, technical department and finance department. These 3 departments are work and interact with each others to ensure the overall services provided are satisfied by our residents. * Purpose * In the Student Accommodation Management System, service department is responsible to solve any complaints that made by our residents. Besides, it also need to provide information to residents if they have any inquiry. Technical department is responsible to repair and keep improve their services to our residents. Examples of services provided by technical department are internet access, damaged of furnished and many more. Next, finance department is responsible to collect rental from residents and release receipts to them who have successfully pay their rental to be an evidence. It also need to do a calculation and analysis of expenses, revenue, net profit and many more to let top management view and evaluate the apartment’s performance.

b) Study on the existing system related to your title: * What you observe? * The apartment is under manual working system. There are use a highly training cost to train a staff become a professional employee .There is low efficiency of work rate and speed because students need to reach definition for get the information or make a payment for the apartment rental. Not easy for agent and guest to reserve a room directly via the internet once they have confirmed available of rooms. There are constantly missing and mixed-up the student file and hard to recover lost detail. Sometimes the student detail are duplication impact the staff to get confuse about which student that has make payment. Also on duration of payment, too much of tenants going to make the payment in the same time causes bad situation occur the staff become confuse and make a lot of mistakes. Every end of the month, they want to generate the monthly account bring problem of time consuming and human resources. * What are the weaknesses? * Low efficiency of work rate and speed * Large ongoing staff training cost * Hardcopy information easily mixed-up and missing * Lack of security * International student hard to apply * Hard to find student detail * Hard to get information about apartment * Duplication of data entry * No online payment * No complaint and evaluation department * Time consuming to collect detail to make report
