In preparation for writing my formal report that will be presented to my management team the needs of my audience that I should be aware of is recognizing the importance of the people that I am addressing. It is important to maintain a professional demeanor and being aware of my entire presentation, not just the report that I am presenting. I need to make sure that the tone that I am using while delivering my report is aligned with the tone of report that is being given. I need to make sure that my messaging is clear and concise, and includes factual content to help support and give better understanding to my messaging. It is important to maintain a relatable undertone to keep my leadership’s team interest. It is important to make sure that I open up with a strong introduction that gives a brief summary of what we are covering, before I go into full detail. Through the body of the report I need to make sure that I am detailed but concise and then bring everything that I talked about together with an ending that will bring understanding.
In the event that I did not consider the audiences needs and wrote a report based on what I thought the audience needs I could completely miss the whole point of the report. The messaging that I wanted to get across could be missed because I was not aware of what the best way to address the audience is. There could be a chance that without knowing the tone or perception that the audience has isn’t mirrored in my report that it could make it more difficult to understand. If I am writing a report blind I could also miss key points that I know the management team may be looking for. If it is a report that has to do with conversations that were previously talked about I would want to include that information.
It is important to know your audience so that the message that is being delivered is going to be communicated in the best way that your audience will understand it. The more you know about the audience the more relatable you can make it.
