If left uncorrected, the challenges being experienced by Simple Getaways will continue to affect key stakeholders in the following ways: • Multiple versions of office documents are passed between staff. This may result in management making poor business decisions because of inaccurate or outdated information. In addition, incorrect or outdated information may be used by employees and passed to customers. • Each office site stores its data on local file servers. This practice makes it difficult to access and or share data across the multiple locations. Business productivity is also sacrificed as a result of the time it takes to e-mail documents between the office locations and await responses. Key stakeholders affected range from middle and upper management to employees collaborating on different tasks. • Simple Gateways experiences frequent, problematic processing delays for administrative tasks while using a paper based system. This may result in confusion for supervisors and employees as to which staff members are out of the office and when. Administrative task processing delays may result in staff taking time off when, in fact, a time off request has not yet been approved thereby creating possible staffing shortages. (SGI) originated in California, now encompasses an additional twelve regional offices located throughout the west coastal region of the United States. Data storage and communication methods, originally based on a single office, are no longer adequate to the needs of SGI. This proposal is to address the requirement for collaboration between and within offices, as well as data storage and management. Challenges facing Key Stakeholders At Simple Getaways, the company management staff and travel agents face several challenges using existing Information Systems technology. Each regional office maintains its own Windows Server as a fileserver and well as a Microsoft Exchange server for email functionality. Due to this, all documents as distributed throughout the company offices. This has required office staff to email documents to recipients at other offices when required. The recipient then preforms any edits or modifications that are required, then emails the document back to the originating office. When the document is required by multiple offices, the returned documents must be examined and collated by the originating staff.
