SAFE 215 Communications-SHE Interview Activity
INTRODUCTION
SAFE 215 focuses on the ways in which SHE professionals interact and communicate with a variety of stakeholders. This assignment will help you to better understand that aspect of your future position while practicing your writing skills.
OBJECTIVES:
* Hear first-hand, the variety of communications a working professional must complete * Improve writing skills by reporting on the interview * Expand understanding of types of communications performed by the SHE Pro * Obtain advice from SHE professional and possibly develop a mentoring relationship
ASSIGNMENT: You will interview one currently employed full-time safety professional. The questions you should ask follow. You do not have to stick directly to the questions as your conversation may stray into other important communications type subjects.
Your deliverable will be a two-page report plus cover page with an introductory paragraph about who you interviewed. Next will be the Q &A portion, followed by Conclusions. The Conclusions section is where you will identify things you learned from the conversation and the most helpful hints or surprises you learned from the discussion. This should be double spaced, size 10-12 font, printed, and brought to class on the due date.
Potential Interview Questions
These are Potential questions. You may write your own but they must meet the objectives of the activity above.
General Communication Questions 1. With whom do you communicate most frequently about SHE? (For example: fellow safety pros, equal managers, superiors, owners, employees, contractor representatives?) I interact daily with internal employees of the company by overseeing their safety practices. I also communicate approximately 20% of the work day with outside contracts that are performing work on the premises. They may be overseen to make sure that they are in compliance with all of our internal safety practices and codes. 2. How much of your time is spent creating or presenting training programs? Approximately 5%. We have an internal company safety team that meets for one hour per week. We also have a Campus Safety Committee that meets for one hour once per quarter. This is made of our internal safety team as well as a person designated from each one of our tenants. While overseeing construction projects, it is required that the contractor meets for one hour per week to discuss safety issues with our internal safety team. 3. What is the most frequent method of communication and do you have to document those? All safety meetings are face to face. Minutes are taken at each meeting listing a brief description of everything that was discussed. The minutes are typed up and distributed in 10-2 days to all attendees. 4. If you were given an opportunity to present SHE information to the owner (s) how much time would you be given to cover your point (s) ? An overall briefing could occur with a one hour time frame. If the lists and committee discussions were properly organized, one hour would be sufficient in allowing one to provide a safety overview.

Statistics

1. What metrics do you use to measure safety program effectiveness? Should this be measures and not metrics? 2. How do you share that information with stakeholders ( for example: owners, board of directors, insurance reps? ) All Safety information- SPCC Plans, Policies & Procedure Manuals, Emergency Preparedness Manuals, etc… are all places in organizational binders and made available at all locations where they may be needed. Any safety presentations would be held in a location where the safety manuals/documents are stored for easy referencing.

Convincing management to spend money 1. Tell me about a time when you had to convince management to spend money. What do you think were the deciding factors? Last year, our five year infrared scanning was due. Although this can be a costly item to have performed, I had argued that by the NEC, this test must be performed every 5 years. If an injuring or safety issue occurred due to non-compliance, insurance may not cover the incident and a law suit would be in expectation. 2. Did you have to provide the information in written form? Yes, I had to obtain 3 competitive bids to show that I was suggesting performing the work at the least costly manner as well as attached the article for the NEC- National Electric Code showing where this scanning method is required by code. 3. Any suggestions on how a recent graduate should handle similar situation? Same. If you always reference the code, there can be no argument as to whether or not to perform the work. You may show that it may be more costly to be out of code than to bare the expense to remain well within code.
Hurdles
1. What do you think is the biggest hurdle for communication for a safety professional? Cost. Businesses are reluctant to spend money. The codes change constantly am staying on top of them is critical. Joining national safety groups is important so that one can access original codes and receive updates as codes change. 2. Do you have any suggestions for a new safety professional on how to overcome/ avoid those hurdles? Always provide code back up. Welcome yearly insurance inspections. Once written up, they should be no argument in spending dollars to be compliant.
