Login Screen – User name is your County Name. There is only one user per county, so all must share and use the same user name and password. If you need your password reset, please contact us.

Home Page – You will notice the message board that will display important information the Property Tax Division thinks you need to know. If you look at the top of the page you see the different tabs you can navigate between.

Guidelines - If you misplaced the book or need a quick reference, you can always click this tab and it will generate one for you.

Manual – If you need a refresher of how to navigate within the state website, this tab will provide you a step by step instruction manual with all the different features.

Admin – is where you go to upload your sales that have been exported from your software. By clicking on the upload, it goes to another screen Data File Upload. From the Select File Type drop down list, you are able to choose to Import Mobile Home, Sales, or Soils File. From the Select File to Upload, click the Browse button and find the file to upload. Click Upload & Process.

When the upload is completed you will get one of two messages.
File Uploaded Successfully, which does not mean there was no errors in the upload it, just means all the sales are accounted for. The number of records, here there were 766, this than should equal the total numbers minus one of the excel sheet and total of number of sales for the given time frame.

If the file had errors and it gives the RED text error message, please let us know so we can help you with the errors and if by chance anything did go through we can delete it before trying to upload again.

Now that the Sales are uploaded it is then time to upload their soils. In same spot, instead choose Import Soils File from the drop down list. Then click browse button and locate the soil file. Next is the Select Corresponding Sales Upload here you will use the drop down arrow and select what sales file you want the soil file to pair up with. Then click Upload & Process. ***Remember you cannot do this step until the sales file is uploaded. ***

Now that you have your files uploaded, I would suggest to get into a habit and check the sales for upload errors, and to do so you would go to the Real Property Tab.
Real Property – Defaults to the Search, but gives you some more features on the left hand, Search, Edit List, Approval List, Reject List, and Upload Errors.

Upload Errors – 2 options to either check the county sales or soils. First let’s check the sales.
Sales - make sure to choose your county, and you can either choose the group you want to look at or look at all uploads. If you look at all you can double click the upload date to bring the latest to the top. What I find easiest is to go through and see if any of these errors need to be fixed. If so I select what I want printed and use the little gear button up in the right hand corner and print preview. I go through the options and click print.

Soils – do the same as the sales, double click upload date to bring newest to the top. Soils are a little bit trickier. Print the selection you are working with. Now you are ready to go correct errors in the Approval List.

Approval List – These are the sales that have been submitted to the department. You can go through this list to make sure all the information is correct. You can also do this by exporting into an Excel Sheet and searching or individually viewing each one. But in order to edit you will have to back out and click Edit, which will put it in Edit Mode and if you do not add approval Queue when done it will stay in the Edit List.
Search – Can search for past. Current year sales should not be included in this search, until approved, but sometimes they do get out there but they should be listed as NO Audited – Pending Approval. When I was putting this together, I came across some that were out there all because of the year was incorrect when putting in the instrument date or because the next year was also uploaded with current. Want to make sure we are only uploading current year information.

New Card – Allows you to enter sales directly into the data base. You may only need to use this feature if you are missing a sale. After all your information is inputted, click Save and Add Approval Queue. This will move it to Approval List.

Edit List – These are the sales that are in the process of being changed. The Department may put sales in this list or the Reject List if more information is needed on the sale.

Reject List – Depending on how I or the field staffs want to do our audits, we may use the Reject List to put sales that we have not approved with remarks why they are not approved. Some of us like to keep our sales all together so we are not searching each list, but either way we will let you know what we need in order to complete the audit on our end. I like this because we can leave a note of the reject reason without having to go through individually. If you have any sales listed in the Reject List it will show the reason. In order to edit sale, like before click the Edit button which will put it in the Edit Mode and once done you will Save, and then click Back or Add Approval Queue.

***Remember *** - if you are missing a sale in in your Approval List in may very well be here, because if the Back button was used instead of Add Approval Queue it will put the sale in the Edit List. When done editing, make sure to Add Approval Queue to send it back to the Approval List, unless you are not completely finished then hit Back and it will keep it in the Edit List until you are ready to complete.

Mobile Home – This is for all the Mobile Home transfers. It is much like the Real Property tab but done a little bit different. Like Real Property there are functions on left hand side.
Search – same as Real Property, used to search past transfers.
Edit List - Is the transfers uploaded from DMV, the department will notify the county on whether or not there are sales waiting to be worked.
Approval List – Once worked the transfers will need to Add Approval Queue to send them to the Approval List, to wait for approval from the department.
Reject List – The department will send any sales that need more information here with a reject reason.
Upload Errors – Can either search the DMV upload errors or County Mobile Updates to check for errors before adding to the Approval List.

Reports – Allows you to select in the drop down, a number of different reports that can be run. To include the sales that have not been audited, you must click yes to Include Edit Records. Then Run the report.
