A | Good morning everyone, thank you for attending the meeting for today. Let's move on to today's agenda. Today, we will be discussing on the preparation to handle the situation during the peak season from Christmas Eve to New Year. (B), do you have anything that you like to share on this matter? | B | For front office department, the biggest problem is there will be a long queue at the reception counter for both check in and check out process during peak season. Therefore, we will provide a special training programme to the new coming receptionist so that they are able to work efficiently and quickly. Besides, the receptionist will suggest the guests who settle their account by credit card to make an express check out. The guest will fill in the ‘express check out’ form and then put the form into an express check out box at reception counter so that they can check out without queuing at the reception counter. Besides, the reception supervisor will keep monitoring and supervising the receptionist if there is any situation. That’s all from front office department. | A | Thank you (B). I think there is one more point that front office department has to take note, which is the front way of our hotel. | B | Yes, thank you for reminding. I will inform the concierge to keep their eyes on the front way of our hotel so that the traffic will flow smoothly. | A | That’s good. We are now moving to the next department which is the housekeeping department. (C), may I know is there any preparation that housekeeping department will be carried out to handle the situation during the peak season of Christmas? | C | Yes (A). Firstly, the room attendant will remark at the room status for every single room. Once the guest already checked out, they will make up the room immediately so that the other guest is able to check in to the room. Next, the housekeeping supervisor will keep their eyes on the cleanliness of the guest room and public area. If the cleanliness of the lobby area is not satisfied, they will immediately inform the public area attendant to clean up the area. Lastly, we will purchase additional cleaning agents so that it is enough to carry out cleaning process. That’s all from housekeeping department. | A | Thank you (C). Please make sure that the mechanical equipment for cleaning activities are maintain in a good condition. | C | Yes, thank you (A). We will take note about it. | A | Alright. How about Food & Beverage department, (D)? | D | For Food & Beverage department, we are charging for two sessions which are room service and the restaurant outlets. Firstly, I will talk about room service session. I think there will be many guest who like to order room service especially during the peak season. Therefore, the server will deliver the food and beverage item to the guest room on time which is 30 minutes or less than that. For the restaurant outlets which are our bar, coffee house and fine dining restaurant, we will increase the labour force by hiring the part time and full time server. Besides, we will set more tables and chairs as there will be more guest who will dine in to the restaurant if compare to the normal season. That’s all from Food & Beverage department. | A | Thank you (D). How about Sales and Marketing department, (E)? There will be a Christmas celebration in one of our ballroom at 25th of December, am I right? | E | Yes, the Christmas celebration will be held in our main ballroom which is ballroom number one. We will make sure that the decoration of the ballroom is match with the theme of ‘Frozen’. Next, we will make sure that the lighting system and the PA system is in good condition. For Food and Beverage department, please make sure that every guest is being served and the food and beverage items will be delivered to the guest on time. For Sales and Marketing department, the Christmas celebration is one of the important event in our hotel, so you have to make sure everything is well organised.
