CHAPTER I

Introduction

The computer has been in constant evolution since the middle of the 20th century. Computers are continued to get smaller in size, using less power and performing more advanced calculators. In 2007 apple released their Iphone to achieve the next goal in computing. This new type of communication tool, called smart phone, is generally referred to as a phone, which is poor labelling. A Smartphone is a handheld computer, which can place phone calls. Although the term Smartphone was first used in 1992, apple was the first company to release a Smartphone to a wider audience. This evolution is led by computer manufacturers and software companies and not handset manufacturers, which have controlled the market thus far. One competitor to apple Iphone OS is the android OS. Android originates from a small software company, acquired by Google and is now owned by open handset alliance (OHA), where Google is a member. OHA has over a hundred member companies such as mobile operators semiconductor companies handset manufacturers, software companies and commercialisation companies.

Android is an emerging mobile technology still in the development phases. Early releases of the SDK have been made available to the mobile developer community to start writing applications before handsets are available on the market. Fully featured Android handsets are expected to start shipping towards the end of 2008 or early 2009.

Android is a new mobile platform based on Java running on top of a Linux kernel. For now, Java is the only development language available, but eventually Android may support other programming languages. Android has a complete set of application programming interfaces available for everything from user-interface components to accessing location information.

Background of the Study

According to “www.itp.net/topics/general/1599-mobile-application” Mobile Application, also called mobile apps, it is a term used to describe Internet applications that run on smartphones and other mobile devices. Mobile applications usually help users by connecting them to Internet services more commonly accessed on desktop or notebook computers, or help them by making it easier to use the Internet on their portable devices. A mobile app may be a mobile Web site bookmarking utility, a mobile-based instant messaging client, Gmail for mobile, and many other applications.

The attendance system is based around tracking student absences, since there should be fewer of them than presences. An attendance record is stored for a student only when they are absent (or late) from school. No record is stored when they are present. This is the easiest approach in terms of record entry.

According to Paul Jordan Arbado, a Junior Programmer of Rizal Provincial Capitol, “Let’s say it is nice to have a handheld excel-like class record on your hand. Listing and updating your classes within your phone is convenient and very hassle-free, but still the capabilities and the features you can do with it is limited. Well you can save your list today, then access it through the Net at home or any where you can find a PC or a laptop with Net connection. That’s the general idea. But it can be better if the system can be personalized, maybe with Email capabilities, or can be integrated with other class record fields if possible. Well, those are suggestions from a professor.”

The proposed system is a attendance and monitoring student performance with automated referral for college of computer studies professors. This system is also considered as mobile application that can import names of students in different subjects of computer studies and exports student grades and a computer based system that will generate an automated referral to the parents or guardians of the students.

Statement of the Problem

General Problem

The study intends to investigate the benefits of A Proposed Student Performance Monitoring System Using Android Application with Attendance Referral for Our lady Of Fatima Antipolo Campus CCS Department. Specifically, the study seeks to:

1. What is the profile of the respondents in terms of

a. position,

b. educational attainment,

c. length of experience and service

d. exposure in modern technology

2. What is the existing system in terms of:

a. accuracy of data,

b. updating information,

c. flexibility,

d. availability and

e. user-friendliness?

3. What are the problems encountered of the existing system in term of:

a. accuracy of data,

b. updating information,

c. flexibility,

d. availability and

e. user-friendliness?

4. Is there a significance difference between the perceptions of the respondents in term of the above-cited variable?

5. What measures should be implemented to solve those problems encountered?

Objectives of the Study

General Objective

To develop, design and implement Student Performance Monitoring System using Android application with attendance referral.

Specific Objective

Specifically, it aims to create/develop a facility that will:

• Give access to users with restrictions and validation.

• Update information of the system. This applies a Content Management System (CMS) for the system.

• A new design of the system for more appealing to the public.

• A database management system for the system.

• Caters attendance monitoring and referral through a mobile applications.

• Generate all required reports.

Scope and Delimitation

The following are the scope characteristics of the researchers’ proposed software:

Scopes

A system that can monitor student performance.

A system that can check attendance of students.

A system that is compatible to all android gadgets.

A system that imports name and section of students.

A system that will export name, section, final grade, and attendance of students to the root folder of the android.

A computer based system that will accept the reports of the mobile application.

A computer based system that will add student information like name of the guardian and contact number.

A computer based system that will notify the parents or guardian of the students regarding attendance and major examination through SMS.

A computer based system that will notify the parents or guardian of the students using SMS through SMS global.

A computer based system that will have SMS broadcasting.

A computer based system that will generate an attendance referral to the parents or guardians of the students.

Delimitation

The study does not cover grades of other courses with different computations; the system is suitable only for android gadgets, the system will not cover records from the registrar, and accounting records of the student. Change password for users of the Android Application is not necessary.

Significance of the Study

The system output would benefit the Professors to improve their way to monitor and compute the attendance and grade of the student through the system. Such output will benefit the following:

Student

To the Student will be able to assure that their attendance and grades are properly and correctly recorded by their Professors. This will help students to be responsible for entering to school because it’s a computer based attendance.

Professor

To the Professor will provide useful ways to the Professor to facilitate the attendance and the grade of the Student. This system will help the Professor to reflect the grades and attendance of their students and also it helps to easily calculate the grade immediately.

Researcher

To the researcher will be able to improve their programs, networking and linkages, system to enhance performance of each departments or area involved.

THEORETICAL FRAMEWORK

Review of Related Literature

Foreign Literature

According to the Computerized Student Information and Enrolment System of Roderick Cahilig, Ariz Nieves, Lea Nora Penarroyo of Technological Institute of the Philippines, The study of Boerner , the first major shift in SIS technologies occurred about 15 years ago when they evolved from mainframe programs to client server solutions. Now, vendors across the board are offering centralized web-based systems. These newer products are based on industry applications such as transportation, special education management, or food service. In addition, the latest generation of systems provides options for communication important academic information to parents and students via the internet.

“Today, the SIS is more central than ever our school and Districts. The changing technology landscape, coupled with data reporting demands of No Child Left Behind, has compelled districts to evaluate all of their major software system, including the SIS. However the lengthy implementation process and large financial investment required of new SIES application prevents districts from making quick moves. Given the complexity of the technology the size of the investment and the importance of the quality installation, selecting the best SIES is among the most challenging and important choices a district can make. All student information and enrolment system provide core functionality around tracking student demographic information, attendance, grades, and schedules.”

The study of boerner, it only shows that information system is very important mostly in schools for they will have accurate information of the student, attendance, grades and schedules. Upon the proponents analysis they have found out the study will focuses in tracking students demographic information, attendance grades and schedules.

According to Mizuni, Inc. a platform that delivers secure, cloud-based data management solutions for its K-12 District Partners. Mizuni Aspire provides data visualization, proactive notifications and predictive analysis in a user interface developed specifically for touchscreen tablets and smartphones. It consists of modules that solve specific problems common to K-12 school districts.

“Mizuni Aspire Integrate automates data transfer between school district applications eliminating redundant data entry, and improving data quality and timeliness. Mizuni Aspire Integrate consists of application-specific data adapters and cloud-based messaging services that securely connect data adapters and achieve the desired near real-time data flows. Mizuni Data Adapters are available for most student information systems and K-12 applications”

The study of Mizuni aspire, shows how the student information and performance easily transfer with data quality, security and timeliness anytime anywhere through the use of application and cloud-based messaging services this application are available for students information systems.

Local Literature

According to the Student Violation Under Provision Monitoring System of Christian Nicolas, Leopoldo Zaragoza of Technological Institute of the Philippines, the violation and under probation in the schools or campus has emerged in the last 10 years or so. Up until the late 80’s, the student have become conscious in their cases or other problems in the campus, specifically on not wearing of ID and long hair.

“The professional staffs of the school are expected to ensure student conduct conducive to an orderly educational program, to maintain an effective learning atmosphere both inside and outside the classroom, and to help students achieve the self discipline necessary for responsible use of freedom. The teacher has a right to obedience and failing to get it, the responsibility to take corrective measures including, but not limited to: imposing detention, revoking privileges, enlisting parental assistance, referring students to administrators or student services staff members and provisions of the school law. The teacher has the right to be consulted in any referral case and to receive a report of any action taken. The parent is expected to cooperate with the school and support the corrective measures, and notify the school of any unusual behaviour pattern on the part of the child that might lead to serious difficulties”

This study shows the responsibility of every side of the person involve. Every side should cooperate. This study explains how the program of one school will be successful. The students should obey every rules and regulation of a school, the teachers or professors have rights to do every circumstance for the students to be disciplined, and the parents should take actions for their children as the teachers or professors suggest.

According to the Online SMS Verification System of Rhodalyn Entereso, Michelle Sebul of Technological Institute of the Philippines, Short message service (SMS) is a messaging method included in a GSM system which allows sending short messages from one cellular phone to another, GSM short messages have maximum length of 160 characters or 140 octets.

“This study shows how Short message service or SMS works the length of SMS originated in 160 characters, but nowadays, gadgets and phones specifically tablets, apple, and android phones have their own upgrade to 1836 characters or more can be send at one SMS.”

According to Wisegeek.com, SMS broadcast is the term used to describe the act of sending mobile text messages to multiple users via a designated short message service provider. Time is saved with this technology, as mobile phone messages can be sent one time, but received by multiple users in lieu of sending the message multiple times to notify each user. SMS broadcast messaging is often used for mobile marketing, as well as emergency alerts and other important group updates.

“SMS broadcast alerts are primarily sent using a system through which individual recipients first opt-in and agree to receive occasional messages. Upon submitting the mobile telephone number through which each individual agrees to receive messages, a sender can then transmit a message to all members of a network by simply entering text to be delivered, selecting specific recipients or a group of recipients and sending an SMS broadcast to the entire group. Often, the software used to transmit messages can also inform the sender of which messages were received by the intended recipient and which mobile numbers did not receive a message due to either being out of service or experiencing other technical difficulties.”

This study shows how the SMS broadcast will work, as the name SMS BROADCAST states in one text messages all inputted recipient will received one inputted message. This type of messaging is often use in multiple recipient like parties, reunions, especially emergencies.

Conceptual Framework

The figure 2.1 shows the input process output of the system. The input in the system is the design of the system itself for them to start the main index of the two combined system. The next one is the process that is needed to build the monitoring student performance and attendance referral, they set requirement for the android mobile gadget with the minimum of android version 2.2 or android froyo. While on the web based system for guidance office we have the minimum requirement of dual core processor 2 gigabyte ram for the desktop computer. The software requirements in making the system are Eclipse Juno Classic and Android SDK System Development Kit for the emulator. Lastly, the proponents need a PHP programmer consultant and Android developer to guide them in doing the system. With this the proponents will be able to come up with an output of Monitoring Student Performance and Guidance Referral System.

Definition of Terms

Android (Operating System) – is the operating system platform used to develop an application dedicated for monitoring system. Android operating system is built for smart phone.

Accuracy – is the term used to know if the information content is perfectly presented like the detailed information shown to a module which was usually read by the users.

Eclipse - is a software development platform that aids in multi-language development. This software is used to develop and test a developed Android application which is the monitoring system.

Flexibility – is the term used for convenience that shows if the specified function or software used has no inconsistency upon its transmission of information upon different platforms.

Open Handset Alliance (OHA) - is a consortium of 84 firms to develop open standards for mobile devices. Member firms include Google, HTC, Sony, Dell, Intel, Motorola, Qualcomm, Texas Instruments, Samsung Electronics, LG Electronics, T-Mobile, Sprint Nextel, Nvidia, and Wind River Systems. Members of OHA are not allowed to produce phones that run incompatible versions of Android.

Oracle Lite - is a small footprint, administration free, relational database management system that supports ODBC and JDBC interfaces.

Smartphone – is a hardware device used for monitoring system. This gadget has different kind such as Tablet and Mobile phone.

System Development Kit (SDK) - enables developers to create applications for the Android platform. The Android SDK includes sample projects with source code, development tools, an emulator, and required libraries to build Android applications. Applications are written using the Java programming language and run on Dalvik, a custom virtual machine designed for embedded use which runs on top of a Linux kernel.

User Friendliness – is term used to define how the system works for the user’s capabilities and how does it makes the user capable to use such a application or a software.

Chapter III

Methodology

This deals with Project Research Design, methods used in developing the system design. Together with the Evaluation Procedure, Evaluation Criteria, the data gathering instruments and techniques used as well as the methods used to evaluate the developed software should be discussed.

In this the diagram, the coordinator will send a .xls file to the professor’s android gadget then inputs the students class standing then compute its grades then send it back to the coordinator and to the guidance referral.

Reduced resolution images are collected in a portfolio presented to the user to browse through and selected an image based on this thumbnail image. This avoids having to select an image from a list of file names.

The figure shows the consecutive processes on how the whole system works. The coordinator is the initiation of the process which usually imports the file specifically the student data entry information. The next process was the professor’s monitoring. Lastly the guidance is the one who will store some of the records. The Grade and Class Record report finalized output for the whole process.

Project Development

The researcher intends to use the water fall model as an instrument method to be used in developing the software. By using water model it gives to researcher an accurate plan that can give an accurate representation to the developing system.

Before starting the actual coding phase, it is highly important to understand the requirements of the end user and also have an idea of how should the end product looks like. The requirement specifications from the first phase are studied in this phase and a system design is prepared. System design helps in specifying hardware and system requirements and also helps in defining the overall system architecture. The system design specifications serve as an input for the next phase of the model. As the study start on planning the required specification for future implementation of the system the proponents gathered different design from other existing system that are related on the study and from this different resources the proponents.
Implementation and Unit Testing On receiving system design documents, the work is divided in modules/units and actual coding is started. The system is first developed in small programs called units, which are integrated in the next phase. Each unit is developed and tested for its functionality; this is referred to as unit testing. Unit testing mainly verifies if the modules/units meet their specifications. The researchers are not yet met this phase as the system is undergone in constructing the different functionality for the client.

Integration and System Testing

As specified above, the system is first divided into units which are developed and tested for their functions. These units are integrated into a complete system during integration phase and tested to check if all modules/units coordinate with each other and the system as a whole behaves as per the specifications. After successfully testing the software, it is delivered to the customer. As the researcher undergone the building up the system every buttons and pages of the system are tested during the construction to identify the functionality and other limitations of the system.

Operation and Maintenance

This phase of the model is virtually a never-ending phase. Generally, problems with the system developed (which are not found during the development life cycle) come up after its practical use starts, so the issues related to the system are solved after deployment of the system. Not all the problems come into picture directly but they arise from time to time and need to be solved; hence this process is referred to as maintenance. As part of the research the maintenance will do after the implementation of the system it would be cost a lot of time to do maintenance of the system.

Evaluation Procedure

WHITE-BOX TESTING – sometimes called glass-box testing, is a test design method that uses the control structure of the procedural device test cases that:

(1) Guarantee that all independent paths within module have been exercised at least one.

(2) Exercise all logical decisions on their true and false sides.

(3) Execute all loops at their boundaries and within their operational bounds.

(4) Exercise internal data structures to assure their validity.

BLACK-BOX TESTING – focuses on the functional requirements of the software that is, black-box testing enables the software engineer to derive sets of input conditions that will fully exercise all functional requirements for a program. Black-box testing is not an alternative to white-box techniques. Rather, it is a complementary approach that is likely to uncover a different class of errors that white-box methods.

Black-box Testing attempts to find errors in the following categories:

(1) In-correct or missing functions.

(2) Interface errors.

(3) Errors in data structures or external data base access.

(4) Performance errors.

UNIT TESTING - The most micro scale of testing is to test particular function or code module particularly done by a programmer not tester, as it’s require detailed knowledge of the internal program design and code.

SECURITY TESTING- Testing on how will the system protect against unauthorized personnel internal and external access. Thus may require sophisticate testing techniques.

INTEGRATION TESTING - Testing of combine parts of an application to determine if they function together correctly. The parts can be code modules, individual applications, and client and server application on a network capable of copying errors.

Evaluation Criteria

The proponents used the Boehm's Model to develop the system.

The Boehm's Model asserts that quality software satisfies the needs of the users, designers, testers and maintainers. Measures were used to determine to assess the depth of agreement with a particular criterion that affects the fundamental quality factors.

A. Portability -refers to the ability of the system/ application to run on different hardware and/ or software platforms system from one environment to another.

B. Reliability -Ability of the program to perform its intended functions and operations in a system's environment, without experiencing failure.

C. Efficiency - Operates quickly and efficiently, with acceptable system performance.

D. Human Engineering - The area of knowledge dealing with the capabilities and limitations of human performance in relation to design of machines, jobs, and other modifications of the human's physical environment.

E. Testability - refers to the software testing if there are many errors or 100 percent running.

F. Understandability - refers to which a human reader can understand each module without having to know the others, or, at worst, by having to examine only a few of the others.

G. Modifiability - to perform a function not originally conceived or intended by the programmer, designer or user.

Data Gathering and Instrument Used

The instrument or tools for gathering data in research used as basis for drawing conclusions or making inferences were questionnaires, interviews, observations research as they conduct the proposed system.

Survey

The proponents has a of planned, written questions related to a particular topic, with space provided for indicating the response to such question, intended for submission to a number of respondents for reply. The proponents used questionnaire for system testing.

User testing with the Legend of:

5 – Strongly Agree

4 – Agree

3 – Neutral

2 – Disagree

1 – Strongly Disagree

The proponents conducted a survey to the students of the school and also to the administrator or faculty/staff of the school. The questionnaire was able to help the proponents to conduct results for the system whether the proposed system meets the objectives of the company.

Interview

An interview is defined as a meeting of two people face to face to confer about something or an act of questioning to receive a desired answer that is necessary in solving a specific problem. This is where data gathering occurs by asking questions for much needed information from the interviewee verbally and directly.

Observation

This technique is used when the researcher cannot secure adequate or valid data through the use of the questionnaire or some other technique. It is considered to be the most direct means of studying people in so far as their overt behavior is concerned Observation of a current operating procedure is another data gathering tool seeing the system in action gives you additional perspective and better understanding of system procedure.

Research

Research is simply, the systematic search for information on a specific topic or problem. It is systematic study or investigation or something for the purpose of answering questions posed by the researcher. It includes electronic reviewing journals and books to obtain background information technical material and news about industry trends and developments.

Research was able to help the proponents to know more information about the study and getting ideas through books and electronic materials. This helps the proponents to complete the documentation of the study.

Table 3 shows the distribution of respondents in terms of educational attainment. It can be seen from this table that 72.2 percent of the respondents are college graduate with a frequency of 26. On the other hand, 25 percent of the respondents are under graduate with a frequency of 9. And the remaining 2.8 percent of the respondents are masters’ degree with a frequency of 1.

Table 4 shows the exposure of respondents in android technology. Regarding the table, majority of the respondents has a good exposure with a frequency of 21 responses. The 9 respondents has a excellent exposure and the remaining 6 respondents has an average exposure to the said technology.

Table 5 shows how long the experience of the respondents through its current work is. Most of the responses which have 91.7% for about 33 responses has length of work experience for more than 1 year and the remaining 3 responses says that their work experience was 1 year and less than 1 year.

Table 6 shows the perception of the respondents from the existing system in terms of accuracy. The accuracy of the existing system has an average result that has an overall mean of 3.64 which proves that the said system has very good interpretation to its information content. The 1st ranked proves that most of the respondents strongly agreed that the information taken from the coordinator upon its content. The responses for the 2nd ranked were representing as being agreed that even in its manual system their likely to compute the student’s grade accurately. And lastly the 3rd ranked the respondents agreed that they receive correct information upon its referral system.

Table 7 shows the perception of the respondents from the existing system in terms of Update Information. The result is 2.75 which have a good interpretation it represents that most of the respondents agreed how the said system works in its updating process. The respondents say that immediate update of information to thru their registration was agreed. The 2 rank says that the monitoring update using its manual process is agreed that its functionally used and lastly the 3rd ranked were also agreed upon its current referring system.

The respondents says that the use of personal cellular phone upon its referral system and providing an index card or yellow paper to record the student performance were agreed and the printed form of written referral information needs to have improvement.

The responses were represented as good with a overall mean of 2.84 wherein plenty of responses were agree. The respondents agreed that the sorting of information upon referral report has a good result also for the time consumption by sending a text message for each student and the manual reminder for sending a referral message is agreed through its process.

Table 15 shows the perception of the respondents in the proposed system in terms of user friendly. The most of the response agreed upon the user friendly features of the system. The respondents says that they agreed that the proposed system is easy to use upon its attendance checking, sorting of information report and sending text message to each student’s parent.

Chapter V

SUMMARY, CONCLUSION AND RECOMMENDATION

Summary

The summary discusses what has been completed in the study and future enhancement of the system. The proposed system Student Monitoring System using Android Application with Attendance Referral for Our Lady of Fatima University – Antipolo Campus deliberates the overall study in the system. The Proponents were able to discuss the main objective of the study, scope, limitation was also included. In system analysis, the researcher's conduct a survey in order to know the current status of the system in terms of accuracy, updating of information, flexibility, availability and user – friendliness. The system was able to achieve the scope of the study like sending a text referral for parents about their child's performance in terms of attendance, checking of attendance and compute grades for android OS gadgets. using android gadget, storing of data in a web – based referral system. Security of both android application and web – based referral are protected with passwords that are encrypted.

In terms of design, the proponents used header and footer designed layout. The header consists of logo of the university and logo of the proponents department. All buttons are easy to click and are functional.

In analysis of data, the proponents conducted a survey to the parents, professors and staff of the company. And based from the User Testing and System Evaluation, the proponents proved that the proposed system is fully complied based on the results of the survey. The proponents were able to meet the expectations about the objectives and scope of the study.

Table 14 shows the proposed system proves that the existing system is enhanced in terms of accuracy, update information, flexibility, availability, and user friendliness.

• The developed system was able to provide a way that would help professors to monitor the student’s attendance and also the guidance department to easily informed the parents of the students about their child's performance.

• The developed system was able to inform the parents the information that they need.

• The developed system was able to have a secured and protected log-in and registration of the professors and guidance staff.

• The developed system can do the following:

For Android Application:

• Import student lists (for admin).

• Monitor the attendance of students.

• Can compute grades

• Export report file.

For Web – Based Referral:

• Uploads file from the exported report of android.

• Can send text message.

• Reminds the user if he. She needs to send a text message for the parents.

• Can update the student's information.

• Can view student's performance.

Recommendation

In the light of the conclusions of the study, the proponents would like to present the following recommendations:

• The company should consider adopting the proposed system in order to provide the Student Performance Monitoring System using Android Application with Attendance Referral for Our Lady of Fatima University – Antipolo Campus.

• The proponents recommend that the employee should undergo training and familiarity in the proposed system to complement their user’s mode with the innovative approach that the proposed system will introduce.

• Future administrators and/or developers are encouraged to enhance the program by adding more modules especially with the aspects wherein some significant matters were not included like the addition of some reports.

• When implemented, the proponents strongly recommend that the system should be incorporated in the organization.
