CONVOCATION – 27TH JUNE 2015

Convocation Protocol

GCR – 1 will be used by male faculty, the Chief Guest and the Guest of Honour for putting on convocation gowns.
GCR - 2 will be used by lady graduating students and lady faculty for putting on convocation gowns.
GCR – 3 will be used by graduating male students for putting on convocation gowns.

Full length mirrors are provided in washrooms between GCRs 3 & 4.
Roll call for graduating students and issue of gowns will commence in GCR 2 & 3 at 13:45 hrs. Issue of gowns will close at 14:15 hrs. Late comers will not be included in the Convocation Procession and will not receive their certificates. Graduands will remain in GCR 2 & 3 till the formation of the Convocation Procession.

Convocation procession will form between 14:30 & 14:50 and will start at 14:50 from the corridor in front of GCR 4. Procession route and composition is described below:

Down the corridor in front of Placement Office, FoodScapes, etc., and will turn right in front of the Exam Cell into the connecting passage. From the connecting passage the procession will turn left onto the walkway. Dignitaries and faculty will ascend the stage while the graduating students will move to their respective seats and remain standing.

Background music commences at 14:45 hrs.

Prof. Radhika Ramesh: “Kindly keep your mobile phones in silent mode.”

Prof. Radhika Ramesh: “The convocation procession is entering the venue. May I request the audience to rise? Please keep standing until the dignitaries on the dais take their seats.”

CONVOCATION PROCESSION ENTERS THE VENUE – 15:00 hrs:

The Chief Guest, Guest of Honour, Campus Head, Deans and Academic Coordinator remain standing in front of their seats, until all faculty members are in front of their seats on the dais and graduating students are in front of their designated seats.

Background music is switched off. (when all members of procession are in front of their seats – Prof. Radhika Ramesh to ensure)

Prof. Radhika Ramesh: “I now request the dignitaries on the dais to take their seats followed by the faculty members.”

Prof. Radhika Ramesh: “I now request the graduating students, invitees, guests and all others to take their seats.”

INVOCATION:

Prof. Radhika Ramesh: “I now request our student Ms. Sheena Khan to render the invocation.”

All those on the dais, as well as students and audience continue to remain seated. Ms. Sheena renders the invocation.

Prof. Radhika Ramesh: “I now request the Chief Guest of the Convocation function, Mr. Sanjay Thirumalai, Managing Director of GT US Shared Services Center India Pvt Ltd, to declare the convocation open.”

CHIEF GUEST OPENS THE CONVOCATION:

Chief Guest rises and says:

“I declare the Convocation open.”

Chief Guest resumes his seat.

1. PRESENTATION OF BOUQUETS:

Prof. Radhika Ramesh makes announcements, while bouquets are presented by the designated students.

(Bouquets to be kept near the dais and student volunteers will bring them and present them to the dignitaries).

Prof. Radhika Ramesh: “We now welcome the dignitaries who are here with us to grace this occasion, with a floral tribute. We are indeed honoured by their presence.”

Prof. Radhika Ramesh: “I request Ms. B to present a bouquet to Mr. Sanjay Thirumalai, Managing Director of GT US Shared Services Center India Pvt Ltd, who is the Chief Guest of today’s function.”

Prof. Radhika Ramesh: “I now request Ms. C to present a bouquet to Mr. Anup Lewis, Director – Learning Solutions, Schneider Electric India Pvt Ltd, who is our Guest of Honour for the day.”

Prof. Radhika Ramesh: “I now request Ms. E to present a bouquet to Mr. S V N Chandra Sekhar, Deputy Registrar – IBS Head Office.”

Prof. Radhika Ramesh: “We also have here with us our respected Campus Head, Deans, Associate Dean, Academic Coordinator and faculty members. Hearty welcome to you all.”

2. WELCOME ADDRESS BY THE CAMPUS HEAD:

Prof. Radhika Ramesh: “I now request our respected Campus Head Dr. Uma Sreedhar to formally welcome the gathering.”

The Campus Head welcomes the dignitaries, students and other guests, and presents a brief report for the academic year 2014-15.

3. AWARD OF CERTIFICATES OF THE POST GRADUATE PROGRAM IN MANAGEMENT:

Prof. Radhika Ramesh: “I now request our Academic Coordinator Dr. Ashish Dash to present the graduating students.”

Dr. Ashish: “Candidates for the certificate in Post Graduate Program in Management, please rise.”

The graduating students will stand up.

Dr. Ashish: “The candidates will individually receive their certificates from the Chief Guest and the Guest of Honour of today’s event and I shall be calling out their names one by one.”

Dr. Madhusudhan Zalki and Dr. Srabasti Chaterjee to get the certificates ready and kept in order.

Dr. Ashish will read out the names in the order of presentation.

The individual student called goes on the dais by the Left Hand Side (facing the stage).

Dr. Madhusudhan Zalki and/or Dr. Srabasti Chaterjee hand over the certificates to the Chief Guest/Guest of Honour.

Chief Guest/Guest of Honour presents the certificates to the respective candidates.

The called student receives the Certificate, bows to the Chief Guest/Guest of Honour and walks down the Right Hand Side, returns to the front of his/her seat and remains standing.

Dr. Ashish Says:

“Sir, upon the recommendation of the Faculty, I have the honour to present A. Devi Manoj and 109 students from the batch of 2013-15 for the award of Certificate of the Post Graduate Program in Management. All these students have successfully completed the prescribed course of studies and fulfilled all other requirements. I request IBS Business School, Bangalore to confer the Certificate of Post Graduate Program in Management to these candidates, of whom __90____ are present.”

The Chief Guest says:

“By the authority given to me by the Board of Governors, ICFAI Society, I award the Certificate of Post Graduate Program in Management and I charge by thought, word and deed, you prove yourselves worthy of the award.”

Dr. Ashish: “The graduating students will now take a bow.”

All the graduating students bow and take their respective seats.

The Chief Guest resumes his seat.

Dr. Ashish: “Dr. Madhusudhan Zalki will now get the register containing the list of graduating students signed by the Chief Guest.”

Dr. Madhusudhan Zalki does as announced.

4. PRESENTATION OF AWARDS & CERTIFICATES BY THE CHIEF GUEST/GUEST OF HONOUR:

Dr. Ashish: “I now request the Chief Guest of the Convocation function, Mr. Sanjay Thirumalai to present the awards and certificates to those who have qualified for this honour.”

The Chief Guest rises from the seat.

As and when the winners are announced, Dr. Srabasti will deliver the award/certificate to the Chief Guest. The Chief Guest presents the awards/certificates to the candidates who will come up on stage one by one as announced. After receipt of the awards/certificates candidates will immediately proceed behind the line of dignitary chairs.

Dr. Ashish: “The N J Yasaswy Award for obtaining the highest CGPA among all the students in the batch of 2013-15 goes to Ms. Prachi Kaushik. This carries a cash prize of Rs. 20,000, a gold medal and a certificate.”

Dr. Ashish: “The silver medal for obtaining the second highest CGPA among the students in the batch of 2013-15 goes to Mr. Deepak Byale. This award also includes a cash prize of Rs. 10,000 and a certificate.”

Dr. Ashish to Chief Guest: “Thank you Sir.”

Dr. Ashish: “I now request the Guest of Honour of the day Mr Anup Lewis to present one more award pertaining to overall performance.”

The Guest of Honour rises from his seat.

When the winner is announced, Dr. Srabasti will deliver the award/certificate to the Guest of Honour. The Guest of Honour presents the award/certificate to the candidate who will come up on stage as announced. After receipt of the award/certificate the candidate will immediately proceed behind the line of dignitary chairs.

Dr. Ashish: “The special award for best overall performance encompassing both academic and extra academic achievements goes to Mr. Shashank Scindhia. This carries a cash award of Rs. 5000 and a certificate. This award has been instituted by Mr. Rajesh Khanna, CEO, Wendt India, and we thankfully acknowledge his kind gesture.”

Dr. Ashish to Guest of Honour: “Thank you Sir.”

The award winners assemble behind the Chief Guest and Guest of Honour for the photo-session. Dr. Srabasti to organise the photo session on the dais.

ADDRESS BY THE CHIEF GUEST:

Prof. Radhika Ramesh introduces the Chief Guest of the day’s event and requests him to deliver his address: “I now request the Chief Guest of today’s event Mr. Sanjay Thirumalai to deliver the Convocation Address.”

The Chief Guest resumes his seat.

ADDRESS BY THE GUEST OF HONOUR:

Prof. Radhika Ramesh introduces the Guest of Honour to the audience and requests him to deliver his address: “I now request the Guest of Honour Mr. Anup Lewis to deliver his address.”

Address by the Guest of Honour.

The Guest of Honour resumes his seat.

VOTE OF THANKS

Prof. Radhika Ramesh: “I now call upon Prof. J. Venkataraman our Dean (Placements) to deliver the vote of thanks.”

Prof. Venkataraman delivers the vote of thanks.

NATIONAL ANTHEM:

Prof. Radhika Ramesh: “I now request all of you to rise for the national anthem.”

The audience and all those on the dais stand.

The national anthem is played.

THE CHIEF GUEST CLOSES THE CONVOCATION:

Prof. Radhika Ramesh: “I now request the Chief Guest to declare the convocation closed.”

The Chief Guest:

“I declare the Convocation closed.”

CONVOCATION PROCESSION LEAVES THE VENUE:

Prof. Radhika Ramesh: “All members in the audience will remain standing while the convocation procession leaves the venue.”

Prof. Radhika Ramesh: “The convocation procession will form once again and proceed for the group photograph on the road leading towards the back of the campus. After the procession leaves, I invite all of you to join us for high tea. Dignitaries, faculty and guests will be served in FCR-1 on the first floor after the photography session. Graduating students, their parents/guests will be served in FCR-2 on the first floor. Class of 2016 & 2017 and IBS Bangalore staff will have high tea in FCR-3.”

Members on the dais step down and form the left and right flanks of the procession as before.
Faculty members follow in pairs.
New graduates follow in pairs.
The procession walks out of the venue.
Audience remains standing until the procession leaves the venue.

Dignitaries and faculty on the dais leave the stage in pairs by the pathway. Graduating students will join the procession as it passes them. The procession will enter the connecting passage and turn to their left towards the Reception. The procession will exit the building and assemble for the Group Photograph. (In case it is raining, photograph will be taken in GCR-8 on the ground floor.)

Thereafter, the Chief Guest, Guest of Honour and male faculty members will enter GCR 1 to remove their convocation gowns. Lady students and lady faculty will proceed to GCR 2 to remove their gowns while male graduating students will proceed to GCR 3 for the same purpose.

Following this, they will proceed for high tea to the first floor rooms as announced earlier by Prof. Radhika Ramesh.
