During the last three months of my position as office manager, I have noticed some changes for the worst amongst my employees which appear to be a result of Jessica’s leave of absence. My office provides one secretary for every two members of the executive team. Jack Snyder assists Ralph Alane and Jessica Hilo, and Ruth Disselkoen supports Samuel and Frank Daley. The main difference between the teams is that Jack’s team has a full time administrative assistant, while Ruth’s team has a part-time assistant. Jessica’s work has been assigned to Ralph and Frank Daley for the duration of her leave, which I believe has put the workload of the teams out of balance. As a result, Ruth has begun to take shorter breaks and use overtime to complete her work. However, this has resulted in her being frequently exhausted on the job as well as receive complaints about the quality of her work. Jack, on the other hand, has been frequently late and takes longer breaks than allowed; he also frequently seems to have little work to do, although what work he has done was more than satisfactory to the team.

To alleviate these issues I propose the following changes: First of all, both teams should make an effort to separate Jessica’s workload from their own. Secondly, Ralph should complete his normal tasks in the morning and assist with Jessica’s work once he is finished. Thirdly, Frank should complete Jessica’s work first and his tasks in the afternoon. This way Jack can complete Ralph’s assignments in the morning and receive additional work from Frank in the afternoon. Ralph’s full time assistant shall assist him in the afternoon. Ruth should assist Samuel in the morning and address Frank’s normal tasks in the afternoon with the assistance of Jack. This should bring back a measure of balance to the office until Jessica

...Over the past three months, I’ve noticed several changes in the office: tardiness, downtime, increased cost due to overtime, poor work quality, and break time variances. These changes seem to be a direct result of Jessica’s medical leave. The current team support model is one secretary for every two executive members: Jack Snyder supports Ralph Alane and Jessica Hilo, while Ruth Disselkoen supports Samuel and Frank Daley. The only difference between the two teams is Jack’s team has a full time assistant, while Ruth’s team has a part-time assistant. Since Jessica’s workload has been temporarily assigned to Ralph and Frank Daley, it has created a workload imbalance. Ruth has now been taking shorter breaks and using overtime to complete her work, however, her quality of work has declined. Jack, on the other hand, has been finishing early, taking longer breaks and coming in late a few times per week. Neither of their actions is in the best interest of the team. To mitigate the current problems, I will be making some changes to the current workflow. First, Frank should identify Jessica’s accounts and keep them separate from his normal workload. Then, he should complete Jessica’s work first; this way Jack can process the information in the afternoon. Ralph, on the other hand, should complete his normal tasks first and delve Jessica’s work afterward. Jack should complete Ralph’s assignments in the morning and receive additional work from Frank in the afternoon. If he finds himself...

...This examination will give you practice applying all the writing skills you’ve learned in the first four study units by developing two separate paragraphs of 8–12 sentences each. Paragraph 1 Background You’ve applied for a specific job in your field of study. The Human Resources Department arranges an interview and tells you to bring with you a polished piece of writing for them to evaluate your writing skills. The paragraph must describe one particular experience you’ve had that inspired you or guided you to choose the type of position for which you applied. Your audience is your potential employer and your purpose is to show you have thought carefully about what and/or who has motivated you toward this career choice and why. In addition, you want to convey your enthusiasm for this position as it relates to your inspiring experience. Take time to think about what your audience wants to know and strive to reach a balance between informal and formal business writing. Process 1. Prewrite about your field of study and create a specific job for which you might want to apply at a particular business or organization in your area. Outline what that position would look like. Brainstorm details, names, titles, and facts to provide depth to your paragraph and enable you to write a polished paragraph. 2. Freewrite about the different experiences you’ve had that motivated you to choose your area of study. Pick one on which to focus—one that triggers sparks of enthusiasm...

...When Miss Hilo went on medical leave four months ago, her work was distributed among the executives, which has resulted in decreased professionalism from our assistants. Since then, there have been several discussions with employees regarding ways to increase productivity and office moral, without incurring over-time hours or further cost. We have concluded that there is a need to re-direct some of the workload from Mrs. Disselkoen, part-time assistant: back to Mr. Snyder, full-time assistant. For Mr. Snyder to retain his full-time hours, all work relating to Miss Hilo would be forwarded to him. Following, Mrs. Disselkoen assures us she will return to a high level of proficiency with her original workload, within her part-time schedule. To keep you informed, minutes from additional discussions would be passed on to you. After speaking with Miss Hilo, although not confirmed until her medical leave has concluded, I am under the impression she will not be returning to her position. With that in mind, as well as time constraints, I believe it is necessary to begin the process of seeking her replacement. In order for Executives Mr. Frank Daley and Mr. R. Alane to preserve their work standards, the added workload they’ve taken on should be considered temporary, therefore, with minimal effort and cost, a company-wide email and interoffice memos should be sufficient in recognizing employees aspiring to a promotion. If Miss Hilo returns to her position and demonstrates her previous...
