1.1 Explain the receptionist’s role in representing an organisation
The receptionist is the first person that anyone will see or speak to when entering the office and making a general phone call, therefore it is important that the receptionist makes a good impression by being professional and friendly in order to represent their company well.
During a phone call it is important to answer with good morning/good afternoon and to ask how you can help because this is friendly and people will feel comfortable speaking to you which is important in a receptionist. It is also …show more content…
Effectively receiving and conveying messages to and from others will reduce confusion and mistakes made with any information being given. If there is miscommunication then the money/clients and the reputation of the business is under pressure. Without effective communication things will become disorganised and stressful.
While communicating in a business environment there is a line of power to remember. This would be who you need to put someone in contact with depending on what the phone call is regarding. If the phone call is about something you’re not familiar with you put the caller in contact with someone higher up within the line of power that would be able to help them. When answering the phone call, it is important to take notes even if you know you won’t be able to answer their question so that when you put them in contact with someone higher up then you can relay their concerns and questions to that person.
