Audience Paper and Communication Release
When delivering news of a catastrophic nature it is important to understand the audience receiving the information. The story of over 30 Workers trapped after a Chilean Copper Mine Collapse involved many types of audiences. It was important that each audience received information according to their role in the successful evacuation of the miners. The audiences that needed communication were the miners’ family members, the company employees, clergy members, rescue teams, news reporters, and emergency medical personnel.
When providing information to the audience the verbal language components of phonemes, syntax, semantics, and pragmatics and nonverbal communication components to consider are chronemics, proxemics, oculesics, kinesics, haptics, vocalics, and personal styles is something to consider to ensuring the correct message is delivered.
When delivering news to the family members and to the company’s employees it is important to have factual information about the miners who are trapped; family members and co-workers will want to know the names of the miners, if the miners are alive, and the activities that will take place to rescue the miners along with an estimated time line of rescue; this can be achieved by setting up an informational center. Another thing to consider is the timeliness of updated information about the rescue activities and the health of the miners. Some additional needs for the family members would be food, sleeping quarters, and access to counseling and clergy members.
Before delivering the news to family members it is important to determine whether the presenter of the news is delivering factual, value, or policy information. It is important to determine the media outlet for delivering the news to family members, company employees, and the public. The presenter will utilize a five step process to get the attention of the audience; the five step process is known as the attention, problem, solution, visualization, and action steps. Within the attention step the presenter will inform the audience about the problem by giving a series of examples describing the problem of the event. The problem step will include four substeps of; stating the problem, illustrating the problem, showing the ramification of the problem, and pointing out the direct effects of the problem on the audience. The visualization step allows the presenter to show what the future will be like through hypothetical story telling. The final step is the action step where the presenter is seeking action or approval from the audience by leading, instructing, challenging or inducing the audience to act on or accept a solution (Cheeseboro, O'Connor, & Rios, 2010).

The appropriate channels to deliver the information about the mine collapse would be through an internal memo delivered by email to front line associates, and a face-to-face through teleconference meeting with the leadership of the company. Sending out an internal memo to the company employees will allow the news of the collapse to reach a large number of people in a timely manner. Scheduling a face-face meeting/teleconference with the leadership of the company will allow for quicker decisions to be made on ensure the safe rescue of the trapped miners.
Today there was a collapse in one of our copper mine in Santiago, Chile, trapping 33 employees 2,300 feet below ground. The names of the miners will not be released until family members have been notified. We are doing everything possible to ensure a safe recovery of our employees trapped in the mine.
A full investigation will be launched to determine the cause of this mine collapse to prevent future accidents of this magnitude.
The leadership of this organization is asking all personnel to direct any media and other questions to our communication team.
As details of the rescue mission unfold we will provide updates. Communication announcing the mine collapse to the family members of the trapped miners.
The appropriate channel to deliver the news announcing the mine collapse would be through telephone calls, face-to face, and the news media to ensure everyone was notified of the collapse. Contacting immediate family members by telephone and face-to-face will eliminate confusion for the general public. Making an announcement through the news media will ensure those family members who could not be reached by telephone or with a face-to-face conversation will be notified of the collapse. Through the news media outlet information that will be provided will be the shift the miners were working along with the area that collapsed. A telephone number will be provided for family members to call to determine if their loved ones was involved in the mine collapse.
Telephone/ face-to-face message: Hello, I am from San Esteban mining company. Today there was an accident at the copper mine where your loved one was working. We are in the process of establishing a communication link to the miners to determine their well-being. We have set up an information center for family members to convene to get the latest information.
