Introduction
This section is going to be based on my college which is Greenhead College. This is situated near one of Huddersfield top park Greenhead Park. The address of this college is GreenHead Road, Huddersfield, West Yorkshire, HD1 4ES. Greenhead College is one the top ten colleges in England, it has over 2000 students at this college. It has over 30 subjects which can be studied, these include subjects such as: Maths, English, Biology, Chemistry, Physics, Law, Psychology, Business, Economics, Geography, French, Spanish, Art and many more subjects.
There are many regulations in how people can get into this college. One prime example is if the high school is a feeder, this means that the schools which are feeder with Greenhead College are given priority for their place. Whereas if it is not feeder school they are given a place in the college based on their mock exams and a one-to-one interview.

1. Job Role 1, John Blake- Assistant Principle
John is the Director of Finance and Resources in GreenHead College and has worked in this college for nearly 6 years. He has many responsibilities in this college such as making sure that the building is a safe place for everyone to be at and also budgeting every penny that the college gets from the government and make sure that it goes towards things which are necessary for the college and that it would benefit from it in short term and long term period. The main part of John’s job is the finance. 98% of the college funds come from the department of education. John has regular meeting with the governor on how he spends his money wisely for the college and answer any questions they have regarding this. John also takes care of other resources such as equipment which is needed for the college; these may include items for sciences lessons as they have a lot of practical work and need lots equipment.
John’s main tasks and responsibilities are the health and safety within the college. It is his responsibility to ensure that the college is a safe place to teach. He also has to make sure that the site is a safe place for everyone. He has health and safety certificates which help him carry out this aspect of his job. His other main responsibility is the catering system within the college. He ensures that its finances break even each year and that it operates safely and hygienically. Two years ago the catering system was facing a £30,000 loss a year. What john did to was put a shop in one of the old classrooms and give the students a better choice for their snacks and food menu choices. Since then the college started to have an increase in profit and John used the profit made to reinvest into new equipment for the kitchen. Finally John looks after most of the support staff in the college. Those who do not teach such as technicians, caretakers, cleaners and finance staff.
The skills, qualifications and personal qualities which are required for a job like John’s is that you need formal experience in an educational and business environment where you are dealing with finances and buildings. The furthest qualification you need is A levels, although a degree is not really necessary as experience is more important and also it is essential that you are good at understanding numbers. The qualifications which john had were experience working in a bank for 20 years including work as an operations manager looking after a £2o million budget and the premises. He also worked in a secondary school for 7 years doing a similar job to what he does at GreenHead College.
Alongside the qualifications there are many other personal qualities that you need for this job. As the job consists of lot of number work you would need to make sure that you have a good maths GCSE, also a good understanding of IT as this would be useful to when you have to make spreadsheets. Honesty and integrity, this is also needed because you are in control of the colleges money and also one of the main managers and college and staff can rely on you and trust you with how you spend the money. You have to be able to communicate well with other people other than the staff these may include the governors, workmen and students. You have to think of your audience before you communicate with anyone else.
Another quality which you would need is leadership qualities. This is where you are able to make and justify the right decisions and have a positive view of the college’s future. Another main quality is you are a team player. Whether you are part of the small finance team or the college management team, you must be seen by other members of staff that you are part of this team. The whole thing would come together as one unit if everyone is playing their part properly to meet the aims and objectives of the college. A quality which is also needed is that you are a flexible worker. This includes staying late in the evening making sure that the building is safe and that nothing has been damaged and also instead of going home when you know you have work to do, it indicates to stay at college and get it done ready for a new day tomorrow. Finally another key quality is having eye for detail. This is something which cannot be taught but the ability to look at something at every angle and ask yourself the question, ‘could I have done some differently/better?’
The degree of decision making and problem solving in their role.
This part of John’s job is a very serious. This is because he has to make decisions which are beneficial for the college and the student and teacher in it. A specific example of when John had to make a decision and solve the problem was when the college were thinking of building a new building. John had many problems which he had to take into account when he was planning all this. He started planning in 2013. This was because the college were ready to take on more students as they were a very popular college. This would mean that the college would get more funding. However if they didn’t this would mean that they would have lost over £1 million over the next 3 years. This wouldn’t have allowed the college to have access to more toilets spaces and exams rooms. He also had a problem of where to build the new building. John only had 2 choices and these were to either demolish an existing building or to build one where there is space. The college decided to demolish an unused building and build this 4 storey one. He also had to think about which subjects would fit in well into the building. He thought that the subjects which would be best to move there would be the ones that students take together to reduce movements around college.
John also had to decide how tall and big the building had to be. He decided that it would be 4 floors including classrooms, study areas and an exam room at the top. In total this would cost the college £3.2 million. He also had to make sure that this project isn’t very time consuming because it could disturb students in their lesson. So he started at soon as possible and hopes to be finished by September.
The final problem which john had was what to call the building. As the previous buildings had been named after past principles he now had to decide what to call this building. John also had to make sure that it doesn’t start with the same letter as an existing one as this would cause confusions between other room and to students and staff.
Another time when john has problems is when it is snow days. John has to carefully think about whether it is a good idea to shut the college or not. On snow days john would come into college and see if it is safe enough to open the college. If it is safe he would call the road men and they would put salt on the floor and clear out the snow so there aren’t any accidents during the day so that it is a safe place to be. John would do this considering on how many teachers can make it to the college. If most of them cannot make it then it is more likely that the college would be shut. Contrasting to the point made if the snow is really bad then John would put up a message on the college website telling the students and the teacher that the college would be shut today. At first they used to email everyone one by one and found that doing this was really convenient because not everyone checked their emails, so then john thought of the idea of putting a message on the college homepage where everyone can see and read it.
Terms and conditions of employment for this job is that, you need to work 37 hours a week during college time. This doesn’t include the time that you spend at home on your own doing your own research. This job also has a competitive salary. John had changed his job from his previous one because of the salary he was being offered. The working conditions of this job are that you only get half an hour for lunch. This is because it is a very busy job which keeps you occupied throughout the day. The job also has 48 days paid holiday in total of which some can be taken in term time as you work in the holidays and sometimes this is the busiest time. During the days you are sick you get paid as you are in a contract agreement. For this job the age for retirement is 66 and your pension is covered by the Local Government Pension scheme.
The training and development responsibilities for john is that he needs to make sure that for health and safety purposes, the college is a safe place to teach, learn and visit. As a college john has to comply with the health and safety law to keep the site safe. John also is the only person in college with a health and safety qualification which helps him carry out his role properly. John’s other responsibility is to take care of catering system within the college. He needs to make sure that finances break even each year and that it operates safely and hygienically. In the recent years the college catering system was making a loss of £30,000 a year. This is where john decided to put a shop into one of the old classroom, to give the students a better choice and the catering system manager changed the menus and the variety of the foods which were being offered. When the college makes profit in the catering system, the profit made is then used to improve the kitchen equipment. Finally john looks after most of the support staff within this college. These include the technicians, caretakers, cleaners and finance staff. There are about 80 of these staff in total.
A typical day for someone with this job is that none of the days are ever the same. Every day they would have a new job or a new objective to achieve. You would start the day nice and early at 8.00am. You would then check your diary for any appointments you have during the day, so that you don’t miss anything important. After you would attend a staff briefing where you would hand out any important information regarding the college. Then you would read any email that you have received and get to everyone with any queries. Part of this job you would also speak to the head caretaker about any issues they have seen throughout the previous day, so that you can get it fixed for health and safety purposes. Next you would look at the financial spreadsheet and budgets for the month. You would make sure that the college is on its monthly budget and that you are not wasting the money so that it has a negative impact on the college. You would also make sure that you are making sure that any issues brought up are dealt with. These could include issues from staff regarding health and safety within the college. Also you would sign off orders form, you check to see if all the orders for the college are the right amount and the right price. For subjects like chemistry it would cost the college more money because they have a lot of practical work that needs doing. Greenhead College spend £110,000 a year on the chemistry department. So you would need to make sure that everything ordered is correct and that if they already have some quantity left you wouldn’t need to buy anymore.
In addition to this you would also contact contractors to arrange building work or repair. This could include small jobs which need doing in the college. You would keep a list of key workmen who know the college, instead of calling new ones in every time. This is because it’s also about having trust and that you are relying on them that they are going to do a good job. For this job you would also need to meet up with the senior staff twice a week to discuss any upcoming events and anything involved with making the college work effectively and efficiently. This is so that you can help them with any problems they have or if they need any money of the college for any specific event. You would then attend any other meeting you have booked throughout the day with salesmen, staff and contractors. This could be to do with the new building or any other important equipment you would need to buy for college purposes. These may include equipment such as table and chairs for the classroom. After 4pm you would them look around the site for any problems. It’s better to do this after 4pm as all building are empty and for health and safety reasons. Finally this day would end about 5pm, unless there are some important events or meeting such as parents evening, open evening or any governor meetings.
Methods of motivation. These were questions which were asked by the audience when he had finished his presentation. This is where John discussed about what motivates him to do his job. He mentioned a few things about what makes him like his job so much. One of the things that he said was that working at Greenhead itself is one thing that encourages and motivates him because it’s a college with excellent reputation and he want it to stay like this whilst he is hear working and to maintain it aswell. Another thing that he said was that there are no bad parts to this job which makes him carry on with everything that he does as it’s a job that he enjoys doing. Also he said that from the other jobs he has done this one has a better pay and that is one thing that pushes him to work harder.

2. Job Role 3, Ros Moors- Learning And Resources Manager (College Librarian)
Ros Moors is under the responsibility of John Blake. Whereas if she needs to say anything to Anton the principal it would first go through John and then he would tell Anton if necessary. Within the library department there are many people within in stages of this process. Ros in the main manager of the library and she is in charge of all the other staff within the library. After Ross is Vicky Rhodes who is the library assistant and she assists in running the library. This will be in more detail later. Then it is Paul Holden who is the senior programmer, he manages the technical side of Moodel. Then there is Claire Stainton who is the admin officer and she provides support for the college website.
The library departments know that they need to have the responsibility of the staff and students. These include facilities such as making sure that the teachers have teaching resources, that when the new AS students start they have library inductions for them, also that they can provide a quite working environment for anyone that comes in to the library to work and that they have a positive thought of the library and finally to make sure that within their department someone is there to update social media website sites and Moodel. It is their job to make sure that the important upcoming events are on Moodle so that everyone within the college knows about any important events. Also within the library team send emails to teachers to ask if they have any important messages they would like to put on the College website.
The main task for Ros is that she is responsible for the day-to-day running of the library. So Ros needs to make sure that everything is up to date and that resources are available for everyone to use. She also makes sure that she provides and maintains an environment where students may study productively. In the library Ros has many facilities for students to study within. They have over 200 study desks and 25 computers for students to work so that it is convenient for everyone to work in the library. At the beginning of the year she also has to deliver inductions and instructions when required. She goes around each of the class for 2 weeks and she gives all the students a PowerPoint of the Library and everything which is available for them. She also goes around the A2 classes to introduce them to new projects within the college and how they can take part in them. Ros is also responsible for the library’s budget allocated, in accordance with the college financial procedures. She would need to make sure that everything they have ordered for the library e.g. books, magazines and other equipment and necessary and that the items are within the budget for what the Library receives. Within the college Ross has to provide awareness to staff and students when it is appropriate. So if there was important information for teachers she would send them an email or tell them at a staff meeting. Whereas if it is for students she would put it on the college new bulletin and on Moodle. Ros also need to make sure that she selects and adds to stock appropriate resources to support the whole college curriculum. For this Ros needs to make sure that she is only ordering resources which are relevant to all subjects and not just for one. Also that they are within budget and that they don’t overdo the budget on just one subject. So when she is buying books for a certain department she only orders how much she can and how much they need depending on the budget for the specific subject. Also Ros is responsible for the copyright across college. She needs to make sure that she maintains licences and staff training. So that she doesn’t fall behind in anything. Ros also gives the staff training on how to use Moodle at the beginning of the year. This is because they have updated it and they are informing other teachers on how to use it within lesson aswell.
Ros has a very good educational background as she went all the way of doing a degree. She started off with O levels, then she did her A levels, she also has a degree in economics and she also has a post graduate certificate in librarianship. Despite all this Ros also has good all round knowledge to help her understand the curriculum and she has very strong IT skills. Ros has had 25 years of experiences in different kinds of libraries these include, hospital library, academic library and also industrial library.
During this assignment Ros came to our class and did a presentation on how they offer much variety of ways to study in the library and where you can get information from for your work. She put us into groups and gave us all different resources such as: Magazines, Moodle website, DVD and books. We had to for our specific resource find out how the teachers would order them and the process of going through it. The first one was on the books, this included the process of Order the books then to Work with teachers to decide which books they want to order, after Sign and countersign orders Referencing/labels Search where to buy books and get the best deals. Then they had to decide Where to locate the books in the library Catalogue and finally get rid of old books when out of date.
The second one was on Moodle this included the process of uploading information and data onto the website for student and parents. Also Ros at the beginning of every New Year term gives staff training to everyone because she needs to let the teachers know how to use Moodle so that they can tell students aswell. Ros would also need to keep up to date with everything on Moodle so that everyone gets the right information on time as it may be important.
The third resource was the website and social media sites. For this Ros needs to make sure that she is updating every important event on the social media website, so that anyone that follow it can get their information they need and also because it’s faster and easier for someone to check on their social media sites than wait for an email. She also needs to make sure that the design of the website is attractive and appealing for students and parent. Furthermore she would need to make sure that it is easy to access for anyone and that it is easily understood.
The last one was magazines and journals. For this Ros would need to make sure she knows which ones to buy and order and also where to order it from. If the magazines are relevant and useful for the teachers in their lesson Ros would photocopy pages out of the magazine and give it to the teacher.

The personal qualities that you need for this job is that you are asked to dress up smartly/causal depending on the on the different tasks that you had to do throughout the day. Also you need the ability to be able to lead a team and also work as part of a team. You need to be ready to so that you are able to meet other library manager across the Yorkshire Region. The personal qualities that you need are that you need to be flexible so you are available at all times if any other member of staff needs you or if any pupils need your help. You would also need to be able to work under pressure as they are many tasks that would need to be finishing throughout the day. This may include handling many things at once as she is the library manager and many duties that need to be done. These duties may include, ordering books, restocking shelves, finishing of tasks for teachers e.g. photocopying magazines. You would also need good communication skills; this is because many different people are going to be come in and out of the library, such as students, teachers, other managers, principle and you should be able to talk properly to them whether it is formal or informal. For this job you would need to be reliable. This is because if the teachers have told you that they want a specific page put of the magazine it is your duty that you photocopy that page and give it to them as soon as possible without any delay. Throughout the day you would need to be proactive. This is because for someone who is working in the library they would be up and running all day doing jobs and day to day task which involve going around the college and gathering information of teachers and other member of staff. Finally for this job it rarely requires you to work away or travel away from home. This may only occur if you have certain meeting or conferences that you need to attend.
The degree of decision making. For this are you are expected to be able to make wise decisions and be a knee- jerk. This is because you have to be able to weigh up the alternatives such as risk assessments involving others when necessary as they may have some bright ideas. Also you would need to have good skills in managing your responsibilities that you have, as you may be promoted to work in another area of the department because they know you are good at certain activities and have the skills for it. Before taking any decisions you would need to refer to the college principle before. Whenever Ros takes any decisions she makes sure it is ok with the principle if it has wider implications. These may include situations such as: problems with social media. Within the college a lot of teachers want copies of book and magazines which are in the library so that they can give out to student in their class. For this Ros would need to talk to the teacher if it is necessary for all the students to have one and the she would go through the legal responsibilities for printing loads of documents out. In addition to this if there is a limited amount of books to use within the college you would have to make decisions where you have to restrict students taking them out of the library as others may need them when they are revising or need them when they are in the library.
Terms and conditions within the library. Ros and her colleagues have a basic office environment where they are provided with all the facilities that they need. She works 7 and a half hours a day, 5 day a week so she works the standard 37 hours a week. For this job Ros has same holidays as everyone else so this includes a term time contract plus two weeks. She works for 41 weeks plus 5 weeks of the holidays she gets are paid and the 6 weeks holidays are unpaid. For income its fine because she gets it monthly so she is never short of money. Within this her pensions, sick pay and compassionate leave is also included. For any disciplinary matter from the college policy she would refer to John Blake as he is the next person up in the line. Training and development for Ros was that she spent 2 years as a library assistant before she did her post graduate qualification and a fully qualified librarian. She has had many on job experiences where she has worked in many small and large libraries, in many different industries such as universities, hospitals and schools. Since joining this college she has had many new ideas to help the college improve in it technical side. She has come up with the college website and Moodle over the recent years. In addition to this Ros has also been attending training meetings for the regional learning resources group, Ros goes to this termly throughout the year. She is also in charge of the health and safety, college policies, safeguarding young adults and IT within the college. Most of her day is spent working alone in the library or within the college as she has many things to do. For Ros to exceed in her career would be difficult because she doesn’t have a teaching background, so she is unable to go forward. As well as this Ros says that she enjoys hers job and would love to carry on as long as she can as the next thing for her is retirement.
Ros has been motivated to do her job for many years because of her job satisfaction; this is because she enjoys her job really well and loves what she does. She is also motivated because she doesn’t know what the next enquiry is going to be so she looks forward to the day as everyday their is something new for her to do. Also the financial rewards and holidays that she gets motivates her a lot because it’s what she expects from her job and then her holidays she doesn’t have much to do because she is not really a teacher who needs to do her planning. Another thing that motivates her to do her job is that she is part of a team/college which has excellent organisations and that everything is provided so she has a desire to achieve a goal for the college with all her energy so she can make the college library the best place for everyone. Furthermore another motivational skill is that the balance of work and her life. Everything fits in well with her because she only spend the normal amount at college as the students so that when she goes home she has no work to do consisting of the college, as she finishes everything of before she leaves so that it not left over the days as she has many other things to do. Finally the last thing that motivates her is that she is reaching retirement and the government has increase the pension age so she is motivated to work harder and achieve the best she can in the last few days.
Legal issues that Ros has within the college are that she is responsible for ensuring college complies with the copyright legislation. So any work that is from students or teacher and she wants to put them in books or in display she would need their consent before doing it. Also any documents within the college should only be able to be used by the college students and the teachers so that no one else has the access for this.
Ros has many duties within the college and some of the mains ones are that she needs to manage the library as that is the whole purpose of her job. She also needs to make sure that she monitors and updates the social media websites because it gives student and staff important information regarding any changes to the college, any important events taking place and also for some general updates about the college that parents may want to know. She would also update moodle because this website regards within the college and many people use it so she would make it as best as possible so that students and staff can use it easily as well as understanding it and work around it without any complications. Ros’s other duties consist of attending meeting and conferences to ensure that she keeps up to date with the latest development in the her job field.
A typical day for Ros would be that she would start her day at 8:20am, and this is where she would go to her office and check her emails she has received over night, and then reply to them if they are necessary and important. She would then attend a staff briefing every morning where important information is handed out, she would also give out important information that she needs to and put in magazine copies in the pigeon holes for the teachers. After this she would discuss about the following day with the library assistant and assign her any task that she needs to do throughout the day. Ros would also check daily on the college social media sites to see if she needs to tweet anything important or if she needs to retweet anything if necessary. During the say Ros would have a lot of activities to do such as helping students with any query resources that they need, p.2 she would go to G4 where she would lead referencing session for extended project students. After this Ros would cover the library for the assistant as she would be on her lunch break and after she has done this at 12.50pm Ros would go for her lunch break. After lunch she would then review magazines and photocopy anything that staffs have told her to do. Furthermore she would then order any new books that she needs to these could include staff choices or some from students and also order books that would help them with their subjects when they come to the library or come to take a book out. She would then go onto the Moodle and add any relevant information or videos such as recorded programmes that are useful. Near the end of the day she would work around the library and make sure that everything is switched off and everything is tidied away. At 4.45pm she would go home.

3. Job role 3- Vicky Rhodes Library Assistant
Areas of responsibility
Vicky is under the responsibility of Ros the college librarian. Her areas of responsibilities are: to help Ros out with the day to day activities that take part in the library every day. She manages the resources desk, computers in the library, the management system, the stationary items in the library and the processing of books if someone needs one.
Main tasks
Vicky’s main tasks are that she assists students so they derive maximum benefit from the library. So she makes sure that every facility is available for the students when they come into the library. She is also responsible for the day-to-day administration of the library resources, so she makes sure that all the books are in place, so they are easy to find and she also makes sure that if there is anything that needs updating in the library such as displays she would then finish them off. Vicky takes in charge of the library if Ros isn’t here as she is the second person in line from the librarian. This would have a lot of pressure of Vicky because she would need to take care of everything that Ros would do throughout the day and make any important decisions if need to be. Another of her task is that she assists with the cataloguing of resources using the heritage library management system. For this Ros would look through book catalogues and order any book that need ordering or if any teacher has told them. She is also responsible for the repair and the withdrawal of materials within the library. So every term Vicky would check the shelves for any books that they no longer needs as they are taking up space and can be replaced with new one. The old books are kept in a store room where they keep them up to a year, if anyone needs them after that, they either give them to other industries or they recycle them. Vicky is also responsible for recording periodicals and newspaper; this is where she reads through newspapers and photocopies anything that is relevant to any subject or anything that would be useful.
During the day she would photocopy many things because it’s her duty to make sure that all teachers receive their things about what they have asked for. Her main responsibility is to make sure that she is keeping the library table and shelves tidy on a daily basis. This is because the students want to have a positive experience if they come to visit the library and also be able to find things of the shelves without making a fuss. In the library they have their own photocopying machine and this is where they charge the students to do this, so Vicky is responsible of making sure that all the money is collected at the end of the day from the photocopying machine. She would also make sure that the computer area is nice and tidy, so that all the wires are safely tucked away not coming in anyone’s way.
Every week Vicky also visits the Huddersfield University to collect/return resources that would be useful to the college library for a short period. She would borrow books and magazines which the college already don’t have and she would place them on the shelves for the students to borrow or for any teachers that want anything photocopied. Other duties consist of her making the library the best and suitable place for everyone.
Skills, Qualifications and Personal Qualities
Like all the other jobs it is essential to have a good standard of education including GCSE English and Mathematics, or even have equivalent standards. For this job you would need to have excellent organisational skills because you are doing the same day-today work which consists of being organised so you can find your way around everything in the library and help students that come through as well. You need the ability to work with neatness and accuracy, so that anyone that come through the library you can easily drop everything you are doing and come back to it later. You also need the ability to communicate effectively with wide range of individuals, this is because they are many subjects within the college and lots of people ask about different subjects so you need a general idea of everything. You would also need to be adaptable and flexible to approach work, so you can be called in at anytime if you are needed. You would need to have the ability to be able to work independently and also as part of a team. Vicky completes many tasks on her own which Ros assigns her to do, whereas if it was a team work job they would all be involved and have an input to anything that happens within the library. For this you would need to be friendly and have an approachable personality. This is because they are many people who are going to be coming in and out of the library and each one requires having a different attitude depending on their situation. Another quality which you would need is that you need to be enthusiastic about your job and willing to learn something new or at another level. This is because this is a job which requires you to be focused in what you are doing and also to be able to work to the next level for the job. The other quality that you need is that you need to be familiar with Microsoft office, IT packages and keyboard skills. This is because this job would require you to do secondary research involving the use of internet and also because the library has computer access the teachers should be familiar on how to use them in case any child needs help. Finally you would also need a good sense of humour. This is because the library is formal environment where students come in and get on with what they need to, so by having the odd joke it would help them as they are really focused and need a break now and again.
Degree of decision making
This is where you need to be capable of making your own decisions about the day to day task, that you are carrying out. So you need to be able make decisions which are beneficial for the college staff and student. You would also need to be able to suggest solution to problems which may arise. This may include if the child has come into the library needing help with one of their subjects so it’s your job to make the right decision for them, so they can next be reliable when they come to the library. You need to be able to recognise when it is necessary to consult with Ros Moors before making a decision. This means that if it is a something basic you can make a decision about and know that Ros would be happy with it them agree to the decision. However if you know it’s a decisions which need Ros’s consent then make sure you consult her first before making any agreements. You would also need to be able make decision with students aswell. For example if they have had borrowed a book, but they haven’t more than the limit loan already, you need to have a look at their borrowing history and if they are generally reliable at renewing and bringing the resources back you would need to make the decision of letting them borrow the book. Whereas if they have borrowed up 10 books and haven’t bought any of them back you would need to make a decision of not giving it to them as they haven’t brought the previous ones and may have lost the old ones. Another decision you would need to be able to make is that if a member of staff needs a book which is not available in the college library, then you would need to consult Ros and after ascertaining it was a valuable resources for the collection and investigating the cost of acquiring it, and then Ros would make the decision of buying or not.

Term and conditions
The terms and conditions for this job is that you require working 37 hours per week, 8.15am to 4.15pm. You also need to be able to work in a library environment, where you are given the basic facilities and need to be able to workaround books, computer and students. Within the terms and conditions you have your pension, sick pay and compassionate leave included. For this Job you would need to ask your manager and in this case for Vicky she would ask Ros. For any disciplinary matters to do with the students within the library you would need to refer to Ross about this as she is the manager of the library and she would deal with it.
Training and development
For any training in this job you would be given on the job experiences which are coached by Ros. This is because she has been specially trained to do this with library assistant. Also for Vicky to be able to reach her next level up she would require extra training. So if Ros is away on any training for herself then Vicky can take over her responsibilities. Throughout the year she would also go on courses for health and safety so she is fully trained for anything that happens in the college. She would also go on training courses for safeguarding so that she knows everything about the college and its system. She would go on training courses for her career progression; this could be that she is studying for professional qualification in librarianship.

Motivation
Vicky is motivated alot in her job. This is because she loves her job that she does, she enjoys helping out students and staff as it’s her role to do so. She also loves her job because she wants to have the pride in maintain the ideal environment to enable effective study for the students that come in and make sure that every facility is available for them. Another aspect which motivates her is because of her financial rewards; this is that she gets paid a good salary which helps her throughout the year. She is part of a college which has excellent organisations; this is something else which motivated Vicky to do what she does for the college as she wants the best for them. For Vicky knowing that she is going to stay in this job role at this college another thing which motivates her to do her job is that, her work life and her life balance have a positive outcome. So the time she spends at work is only for work so at the end of the day she can go home and spend time with her family as she has done everything regarding with the college library.
Legal procedures
For Vicky they aren’t many legal procedures she needs to do as she is not one of the main teachers in school. However she does need wear identification badge at all times to adhere health and safety and security procedures throughout the college.
Typical day
A normal day for Vicky would be that she would arrive to work at 8.15am. This where she would collect any newspaper from the reception and display. She would then go to the library, switch on the lights, library desk computers, and the enquiry computers. She would then make sure that opens the windows in the library to get fresh air in for a good start. She would also turn on the air conditioning, as it can get stuffy when all the students come in the morning to finish of their work for the day. She would then change the date stamps and put the stationary on the counter ready for use throughout the day and make sure that there is enough available for anyone that want one and that everything is in good condition. After this she would then return any books left overnight on the system and then shelve them for any that need to take them out for any of their subject. In the morning there would also be alot of queries from staff and students looking for help in finding resources and help with the computers or any printing. Throughout the day these activities that Vicky does are ongoing and she would need to take priority over each of the tasks.
9.55am- during the day at every subsequent lesson Vicky would check the trolley and tables for books which have been used, she would them make a record of them on the computer and then shelve them ready for other students to use. She would also check that the printer has enough paper in for when the students use the computer to print out their work it is done without any disturbance and also that generally the library is tidy.
10.00am- at this time this is where Vicky would check if any journals are overdue and send out an email reminder to those students asking them to return the books. She would then run a check on the system for any overdue books and send out emails necessary emails and letters. Some of these letters will be to tutors which then need to be taken to the staff room and posted in the relevant staff pigeon hole. Other letters may be sent home and invoices to replace the missing book. Before sending these out Vicky would do some searches on the shelves to make sure they have not been returned without being checked off on the system and then put the invoices/letter in the post. After this she would then work on the Moodle media resources section sorting the content out into categories within each subject area. For example if a programme has come on TV to do with law and has been recorded and put on the college system, Vicky would then put this recorded programme in the shred area for Law.
11.30am- at this time Vicky would collect the post from the reception for anything to do with the library; this may include books and magazines. The journals and periodicals which arrive would need to be processed and ready for use for staff and students.
12 noon- this is when Vicky would go for her Lunch break for half an hour and Ros would take over for her.
12.30pm- Vicky would finish processing all the journals and concentrate mainly on the ongoing tasks during the busy lunch time period.
2.00pm- this is where Vicky would take the journals to photocopy the content for the relevant staff so that they are aware of the articles that it contains as they may be able to use them when teaching. She would do this by posting these in staff pigeon holes in the staff room. There may be requests from staff for articles to be copied and for them Vicky would need these at the same time. She would also display the new journals and put the old ones away in storage and in other relevant places. After this she would then process any newly acquired books ready for use and then cover them. She would do various system based tasks such as deleting of old records and withdrawal of resources which are no longer of use. Then she would clean and repair any books if necessary.
4.00pm- this is where Vicky is responsible for the end of day tasks. This involves her in shutting the windows, turning off the air conditioning, putting the newspapers away, shutting down computers and printers, making sure that all the shelving is done and a general check of the shelves for abandoned and misplaced books to ensure that it is all ready for the next morning.
Finally Vicky’s day would end at 4.15pm.

Pest factors
PEST is an external factor that affects the business.
Political- this comes from the government as funding. Lack of funding has implications for appointing staff, for example if more funding was made for the college then the college would be able to appoint more staff and experiences so that the college can get the best out of everything. The principle has been lobbying a government minister for additional funding for post 16 educations. This means that less funding is likely to mean less new recruits of staff for the college.
Also laws such as Disability Discrimination the college has had to adjust their workplace this is because so that it is accessible for everyone in the college. They have added lifts and wheelchair access in the Conway building, at the entrance of the college and also in the Rostron building. This so that anyone who has a disability can use the lift to get to their classrooms, also to ensure that people could work around in the college easily. Another law which is also followed in this college is the Age Discrimination Act 2006. Since 2006 the college cannot discriminate on the grounds of age in respect of employment and retirement. This is because everyone is entitled to work. Although the raising of the retirement age which has gone to 66 will mean that staff would stay longer and reducing the need to bring in new staff recruits. If the government lowers the pension funding this would mean that many staff would wish to stay on longer working at the college, and possibly on a part time basis until the age of 68+ in some rare cases. The government also funds bursary to student with low income in their family. This allows them to stay on the post 16- educations and has also led to the college appointing clerical staff to carry out this role.
Economics- these are the changes which are made to the economy and having a result in the college becoming more flexible when appointing staff and changing their contracts. For example in Greenhead College there has been a growth in part time staff, temporary contracts and job sharing. In this college there is a couple of part time staff such as David scales, he only works Monday, Tuesday and Wednesday as he is part time tutor. Lindsey Jones is a Law teacher; she works all days apart from Wednesdays as she is also part time. Also Diane Bevan is a Tutor who works part time during the week as she only works on Monday, Tuesday and Wednesday.
Rising inflation means that staffs demand higher wages which reduces the overall effect of the budget available for the college to recruit new staff. The teachers union recently rejected a pay rise of 1% and want more pay of around 2% to match the school teachers. The recession may have caused many middle income families to have less finance to spend on private education meaning that more students are wanting to come to Greenhead College from QUEGS and other grammar schools increasing student numbers and therefore increasing the staff numbers aswell.
Social- the growth in post 16 educations (social trend) has led to an increase in the work force at Greenhead College, especially in certain subjects this is because a lot of people now value their education as they know it means a lot. The most popular subjects that have had an increase are the traditional ones such as: chemistry, English and history. This has also led to new staff appointing as there is an increase of students.
This means that there would be a higher demand for university places. This would mean that universities can be stricter about which subject they may accept from students. For example Oxbridge may prefer international baccalaureate so sometime in the future Greenhead College may need to recruit and retain staff to teach this qualification.
Technological- within the college training is required e.g. new skills and expertise required in support staff. This may include ICT skills to manage a database of bursary students and registration of any database regarding to do with external examinations for the students. In the college in every class there is an interactive whiteboards and use of Moodle has meant the need to increase training for teaching staff during the June continuous professional development training fortnight.
In the college there is also alot of use of the intranet which means that the development through Moodle meant the college had to recruit an ILT champion in Paul Holden to help areas like electronic video capture and on line booking forms for the summer conferences.
