To achieve the aims and the goals of the organization, it has different type of functions and process in it to lead the business.

The processes

It is a process to make easy to get the job I done and it puts together in every functions in the organizations. It is involving from start to end in all over the functional activities of the organization and also considering the customer end as well.

Functions

If we take an organization it having some certain functional departments and having the interrelation among them. It helps to run the organization to reach the overall company objectives and also will make the satisfaction of the customers. It has departments such as marketing, finance, human resource, IT and technical.

Example

I have selected Amana Takaful PLC to discuss its different processes and functions.

The customer propose the insurance to their property

Filling the proposal form and paying cash or cheque

A process map is a visual aid for picturing work process. The success of a process map rest in its ability to communicate a functional unit’s core process and key activities, how such process and activities interrelate and the directional flow of the process. Maps are showing each step of the process in a way that is understood at every level of an organization. An effective process map should provide broad overview of a unit’s activities.

An organization to achieve goals and objectives are depending on its map of processes. A firm should be able to identify the core key activities make use of the correct methodology create the map processes are very important to reach goals and objectives in the organization.

• It is the visual aid for picturing work continuances (processes)

• Success depends on:

1. Ability to communicate the core process & key activities.

2. Interactions of those processes & activities.

3. Directional flow of the processes.

4. Should provide broad overview of a unit’s activities.

The Nestle products output of processes contributes the customer satisfaction; identify the product manufacturing cost; identify how much quality product has been produced; find out delivery of Nestle product in a proper manner. Products need qualities to most like by the consumers. The output process of the Nestle product contributes more high qualities such as different brands, filled air packet for Nestomalt, taste and attract cover box, these qualities are satisfying the customer which are expected.

• Procedures-procedures are chronological sequence of action required to perform a task. It has three main advantages:

a) Efficiency:-procedures prescribe the most efficient way of doing a job

b) Routine:-procedures remove the need for the exercise of discretion or ad hoc decision making

c) Standardization: - procedures make output more predictable and more consistent throughout the organization.

• Rules-The rule or regulation defines a specific action must be taken in a given situation.

• Programs- The programs are coordinated groups of plans; it achieves a particular objective together.

• Budgets-The budget is a formal statement and future for case, it is usually summarized in money values. It plans for carrying out certain activities with specified resources within a given period of time for achieves certain targets.

When apply a system into the activities will be affected how to function in an order to complete the work on specific time.

I have taken my working organization that Amana Takaful PLC as example due to they implement appropriate system.

On Time

The on time appropriate system implements in Amana Takaful PLC to complete their activities on particular period of time.

• Attendance should be on stipulated time frame which is according to HR policy for all Staffs (singed in on or before 08.30am, sing out on or after 05.00pm), if fail to follow after 2nd day automatically short leave will be applied. If not these too next day automatically half a day leave will be applied.

• All the meetings, Trainings and the workshops should be circulated among the staffs in one month advance.

• Insurance policies should be underwritten to the proper time frame according to the company KPIs.

• Takaful premium must be collected within 60days. If not policy must be cancelled with pro rata basis and the premium has to be paid by the certain marketing staff.

• Any type of claims should be intimated within 48 hours.

• The claims should be paid in the proper time frame according to the company KPIs.

• The under writers must be Informed to the customers on time’ cancellation about insurance policy.

• Remuneration of the staffs should be banked every 25th to their account.

According to the above mentioned details Amana Takaful PLC is being carried out the appropriate system to achieve their objectives. Therefore an on time appropriate system helps to contribute to complete all functional activities like wise budget, it help to contribute to identify the incomes and expenditures and also appropriate system on organizational standards helps to contribute to deliver quality of service. Therefore if these appropriate systems will implement continuously, the goals and the objectives of Amana Takaful PLC will be achieved.

The quality defines (total quality management) as’ the totally of features and characteristics of a product or service which bears on its ability to meet stated or implied needs. The quality is more concerned with ‘fitness of purpose’, and quality management or control is about ensuring that products or services conform to specification.

The quality as fitness for use; it includes two elements.

a) Quality of design- it can include the customer satisfactions built into the product or service.

b) Quality of conformance- a lack of defects in the finished goods.

Quality system

Quality systems are the all activities that contribute to quality, directly or indirectly. Product quality depends on many materials use; the product is produce by the type of equipment used in design, production, handling, and installation, tasting and shipping.

The customer and consumer are no longer satisfied with unreliable product. They expect new product on time delivery performance, as results organizations ready to produce delivery good quality product.

Monitoring the quality

After the process to achieve quality has been established, an information system to monitor the quality should be set up, which can be used constructively to improve quality and work on problem areas.

Controlling the equality

In the past quality control meant inspection of finished output or goods inward. Quality was assured at the end of the process, often by specialized quality control staff. Inspection is concerned with looking at products that have been made, supplies that have been delivered and service that been provided, to establish whether they have been up to specification. It is a technique of identifying when defective item are produced at an acceptable level.

Total Quality Management

The (TQM) as a management approach of an organization cantered on the quality, based on the participation of all its members and aiming at long-term success. This achieved through customer satisfaction and benefits to all members of the organization and to society. And it seeks to integrate all organizational functions such as marketing, finance, design, engineering, production and customer service etc) to focus on meeting customer needs and organization objectives.

The (TQM) has three principles as:

a) Satisfy the customer

b) Satisfy the supplier

c) Continuous improvement

Quality circle

A quality circle is a group of employees who meet regularly to discuss problem of quality and quality control in their area of work, and perhaps to suggest ways of improving it.

Quality circles to develop and utilize the people for improvement in product quality and productivity. The development of quality circles contribute the process of decision-making to start at low level, with the ordinary worker encouraged to comment and make suggestions, and allowed them into practice. Circle members experience the responsibility for ensuring quality; have the power to verbal complaint. General productivity can reduce labour turnover. Quality circle may be applied at any level of organizational activity, being used to cover all aspects and could conceivably involve all employees’

The benefits of use of quality circle are:

• Improved quality leading to greater customer satisfaction;

• Greater motivation of employees;

• Improved productivity;

• Shop floor understand and share management/customers problem;

• A spirit of seeking improvements is generated;

• Employees become more aware of opportunities for improvement because of training, in areas outside quality circles.

Just –in-time

The Just-in time technique, where the suppliers deliver the components and parts to the production line’ just in time ‘to reduction in costs (of stock) or improvement in lead times.

A system produces or to procure or component as they are required by a customer or for use, rather than for stock. a just-in-time system is a ”pull” system, which responds to demand, in contrast to a ‘push’ system, in which stocks act as buffers between the different elements of the system, such as purchasing, production and sales.

a) Just-in-time production:-A production system which is driven by demand for finished products where by each component on a production line is produce only when needed for the next stage.

b) Just-in-time purchasing:-A purchasing system in which material purchases are contracted so that the receipt and usage of material, to the maximum extent possible, coincide.

JIT emerged from criticism of traditional responses to the problem of improving manufacturing capacity and reducing unit costs of production. These traditional responses include the techniques given below.

• Longer production runs

• Economic batch quantities

• Fewer products in the product range

• More overtime

• Reduce time spent on preventive maintenance, to keep production flowing.

Therefore these all will contribute to improve the objectives and goals of Amana Takaful PLC.

The continuously changes of an organization, are effective to run over long it, and its activities may be sometime as well or not. However it seeks suggestion from internal or external group. Then new changes are brought in the organization.

I have taken organization of Amana Takaful PLC as example because I like to propose some changes within this organization.

The organization entire activities will be changed as;

While recruiting a staff for the post Manager- Marketing at Amana Takaful PLC from the outside of the company, there will be wider implication to this proposed change in the organizations.

That, as he or she worked in a different type of the organization, he or she having the knowledge according the previous company’s one. Due to this while he imposing the system in Amana Takaful PLC most of the people do not like to accept this system as they do not know about this and they were influenced the previous system what they know and which was practiced in the organization.

Regarding this situation and the proposed change of the new staff will make the wider implication within the organization and it will affect the overall company’s goals and the objectives.

The risk assessment is legal requirement under the management of health and safety at work regulations 1999.this regulation seeks to ensure that the hazards should be identified and assessed by the competent person for minimize the risk, which will cause harm or injuries. And the employers also should provide the training to their employees of how to carry out risk assessment in working place.

The risk assessment has five steps as:

Step 1 –Look for the hazards

Step 2- Decide who might be harmed and how

Step 3- Evaluate the risk and decide whether the existing precautions are adequate or more needs to the done

Step 4- Record your findings, inform affected employees

Step 5-Review your assessment on a regular basis or whenever something changes and revise if necessary

The risk assessment is carried out by legislation, regulation and organizational requirements also.

In 1972,a Royal commission on safety and health at work reported that unnecessarily large numbers of days were being lost each year through industrial accidents, injuries and disease, because of the ‘attitudes, capabilities and performance of people and the efficiency of the organizational systems within which they work’. Since then, major legislation has been brought into effect in the UK.

I have taken the Construction Project Side as example because most of requirement on the health and safety legislation to prevent cause accident, harm and injuries to employees as work place.

When project side working all employers and employees bust be careful. Under the health and safety at work Act 1974 legislation

The Employer’s

• All systems (work practices) must be safe

• The working environment must be safe and healthy

• All plant and equipment must be kept up to the necessary standard

The Employees’

• To take reasonable care of himself/herself and others

• To allow the employer to carry out his or her duties (including enforcing safety rules)

• Not to interfere intentionally or recklessly with any machinery or equipment

I am taking an example to discuss the Health and Safety in a work situation where The Maga Engineering which is established in 1984 and has been an active participant in the construction industry in Srilanka. Over the course of the 29 years the organization has defined itself by continually reinvesting its knowledge and capital.

While we considering the Health and Safety which are being followed by them is mentioned below for the references.

It is the policy of Maga Engineering (Pvt) Ltd to conduct its activities in such a way that the Health & Safety of its employees, contractors, subcontractor, visitors, vendors and others, who may be affected by its operations, are safeguarded. In implementing this policy, we comply not only with the requirements of the relevant legislations, but also promote appropriate measures for the fortification of safety and health.

The objectives of this policy are: ➢ To protect the health & safety of all people, including the general public, affected by the operations of the project. ➢ To operate in a manner of deep concern for health & safety of all stakeholders. ➢ To ensure that all construction-planning takes in to account the associated health & safety of all stakeholders. ➢ To provide and maintain a safe work environment, comprising of plants, machinery and locations, without risks to health. ➢ To comply with all relevant legal, statutory and contractual health & safety requirements. ➢ To provide all personnel with adequate information, instruction and training with the view of creating a trained, experience and competent management and supervision team. ➢ To effectively control, co-ordinate and monitor the activities of direct & indirect employees and sub-contractors in respect of health & safety. ➢ To establish effective communication and joint consultation on health & safety matters with all relevant parties involve in the project work. ➢ To continually improve the health & safety of all personnel concerned.

These regulations and the legislation which says about the Health and Safety which are correctly and effectively applied by the Maga Engineering in their work situations.

4.3

Carry out a systematic review of organizational health and safety policies and procedures in order to ensure they are effective and compliant.

Whatever organization health and safety is very important for preventing employers, employees those who are affected by the accident, injuries and harm. Therefore the particular organization must be fixed health & safety procedure.

Health and safety policies and procedures
A policy and procedure sets out the steps to be followed for work activities. Must consult with affected workers when developing procedures for:

➢ Resolving work health and safety issues ➢ Consulting with workers on work health and safety ➢ Monitoring workers’ health and workplace conditions ➢ Providing information and training.

Policies and Procedures should be in writing to provide clarity and certainty at the workplace and demonstrate compliance. They should clearly set out the role of health and safety representatives, and any other parties involved in the activity. The procedures should be easily accessible, for example by placing them on notice boards and intranet sites.

If I take SEIRRA Construction as an Example to review their health and safety policies and the procedures to ensure which are effective and compliant.

Health and safety policy
It is their policy to perform work in the safest manner possible consistent with the Occupational Health and Safety Act and the regulations made under the act. Protecting employees from workplace injury and disease is a major continuing objective.

Duties and responsibilities of management 1) Be familiar with the Company Safety Policy, The Occupational Health and Safety Act and Regulations, and all relevant applicable legislation. 2) Make regular job site inspections, both planned and unplanned to ensure that the Company Safety Policy and all relevant applicable legislation is being complied with and take disciplinary action when necessary to ensure compliance. 3) Sierra Construction as the Contractor on a project shall ensure that regular job site and Safety Committee meetings are held at least once every month, or as the need arises with owners and sub-contractors and that a Health & Safety representative from each contractor participate on the committee. 4) Investigate, review and analyze all accidents involving fatalities, critical injuries, lost time injuries requiring professional treatment, acute or chronic illness, regardless of the nature or circumstance. 5) Investigate, review and analyze all occurrences involving property damage, near accidents with potential for serious injury or lost time, fire explosion. 6) Ensure that an injured workers’ progress is monitored and that modified duties are provided during rehabilitation period, if possible. Correspond with and adjudicate the WSIB claim. Obtain written information of the injured workers’ physical restrictions, if any, prior to creating modified work. 7) Support and promote any action taken by a Health and Safety representative, committee, or by anyone in the workplace in the interest of Health and Safety. 8) Ensure adequate training for Sierra Construction employees is provided, e.g. WHMIS, proper use of equipment, materials, and protective devices. 9) Ensure that information, instruction, and supervision is provided for the protection of all Sierra Construction employees. 10) Hold company safety meetings at least once every six months. 11) Periodically review the company Safety Policy and Procedures. Document and implement measures if improvement can be made to the current Safety Policy and Program. 12) In co-operation with the Sierra Construction supervisor, ensure that all relevant necessary documents, drawings, information, approvals are conspicuously posted or available for review on site, i.e.: ✓ Notice of Project (where applicable) ✓ Occupational Health & Safety Act & Regulations for Construction ✓ WHMIS Act and Regulations ✓ WHMIS Symbol poster (posted) ✓ Ministry of Labour Construction Health and Safety Reports (Where applicable) ✓ Relevant site engineering drawings relating to re-shoring tower or mobile crane and any other as deemed necessary. ✓ Emergency service locations and phone numbers, e.g.: hospital, walk-in clinic, ✓ ambulance, police, fire and emergency and the nearest Ministry of Labour ✓ Construction Health and Safety Branch. 13) Ensure that the equipment, materials, tools and protective devices provided by Sierra Construction are maintained in good condition and in co-operation with the company site supervisor, ensure that they are used in the manner intended to protect the workers from the particular hazard to which they may be exposed or subjected while using said equipment, materials, etc. 14) Provide on a project a first-aid box with provisions as prescribed by Workers’ Compensation Board Reg. 950. 15) Provide on a project general purpose fire extinguishing equipment and specifically rated equipment as the need arises.
Conclusion: According to the policies and the procedures of the SEIRRA construction company the organizational health and safety policies and procedure are effective and compliant.

Whatever an organization the health & safety policies procedures should be carried out for preventing harm and injuries.
