Introduction
Carl Robins who is a rookie for ABC Inc. was given the task to hire 15 new employees and have them in orientation by June 15. Being that Carl was so new to his position he accepted the offer of being in charge of these employees without taking into consideration what his task really would consist of and the process of getting it done.
Background
On May 15th Carl receives a phone call from Monica which was the person these fifteen people would be working for. When Carl answers the phone he sounds positive toward Monica as she is kind of high through the checklist Carl with a smile on his face and laughing loudly assures her that she has nothing to worry about that everything she is asking for is already done and taken care of and that everything is ready to go for orientation day. Monica hangs up the phone relieved knowing that everything is going accordingly to plan. Once Carl hangs up the phone and starts digging through his new hire files that huge smile that he had in his face went away, it completely disappeared. His eyes grew big and his nostrils opened up and his heart started pounding as he began to sweat cold. Carl had then realized that ¾ of his new hires didn’t have an application completed. Some employees only had their first and last name on their application along with a contact number but some employees didn’t even have a contact number some just had an email address or others just a home address with no other contact info. Carl had personally instructed his new hire employees to go get drug tested Carl mentioned the drug test to them but never really followed up with them at all to give them a pass to attend the clinic or even the address to attend the clinic so Carl left it as a pending matter but never followed up with them. Employees were also missing most of their orientation manuals which in this case would be a fundamental part in the hiring process. Besides all the problems that Carl is having with the documentation and drug screening he has also fallen into a huge issue with the room where the orientation is to take place, come to find out it is already booked and is being occupied by Joe who will be conducting computer training seminars the same day Carl was supposed to use it.
Key Problems
The key problems here are pretty simple to see. We have Carl who is new to his role in the company and due to the experience not being there on his side he completely forgets about his new hire applications not being completed or being that he had no agenda he might of thought his employees completed the whole application process but in reality they didn’t. the other piece which I personally think it ties in with his lack of experience is the drug tests not being complete. If Carl would have had more experience in his position and role he would have individually sent his new hires in a timely matter to get drug tested and he wouldn’t have fallen in this type of situation. Carl also lost track of the orientation manuals which should have been an important part to keep up with. The hall being booked and occupied at the same time by someone else also shows a huge problem because not only is Carl stuck trying to find a place to hold his orientation but he is also in danger of looking bad in front of his trainees and making his company look bad by presenting it here.
Alternatives
Carl is running out of time and needs a quick fix to the problem with orientation just around the corner he needs to act fast and discretely so that this situation doesn’t get out of hand and out of control. What he first needs to do is get a hold of all fifteen new hires in any way possible. Carl will have to get them in one at a time in a 72hr window. Once he starts to get them to attend his office he will then have them finish the application process that is still pending on most of his employees and while that is being done he can complete their transcripts to get it out of the way as well. once the application and the transcript process are completed before the new hire leaves the office they will be directly sent to perform a drug test that way Carl can hopefully have the results within 48hrs. once the drug test results have come back to Carl then he can immediately get the orientation manuals to his employees that way when orientation day comes they can be ready to go. The only thing left now for Carl to worry about and a very important thing is to find a solution for the training room. The best solution that Carl can think of is to try and negotiate a solution with Joe who has the training room for the whole month of June. Maybe if possible Carl can talk to someone in upper management to help with the situation and if Joe’s training is more important the last thing we want to happen is to get this long awaited orientation to be postponed so we need to start prioritizing and seeing what is more important so to speak, so in that case the best solution for Carl would be to get approval from someone about hosting the orientation in a different room even possible outside of ABC. Headquarters, for example a nearby hotel conference room that way the company, Carl, and the new hires don’t see themselves affected by the situation that everyone is going through.
Proposed Solution
I think that the best solution for my buddy Carl and to his company of ABC Inc. would be to perform some readjusting their technologies and ways of processing certain things. To begin with a good thing for them to do would be going away from their old school paper applications and bringing in computerized application or electronic applications as some would call it that way if the application is not complete it will not allow the company to even aknowledge a person for employment. I think that carl as a new employee and being that it was his first time hiring people he should of asked for a person to shadow his moves maybe someone with more experience than him, that way that person could have helped him out in making better decisions and being more organized. Ex… getting his new hires drug tests done prior to telling they are hired. What happens if one of them fails the drug test? Will Carl have enough time to hire someone else? Is there enough time to continue as if nothing happened? The other thing that Carl and his company should work on is better communication between everyone because if there would have been more communication there wouldn’t have been multiple events booked during the same time and those mistakes con save a company a lot of money and headaches because they won’t have to spend money trying to have events going on outside of the company headquarters having to find and rent an alternative location which can cost a lot of money.
Recommendations
I personally think that Carl will definitely have learned from this bad and hectic experience and he will take more control of upcoming events im sure Carl will do things differently as far as making sure things are done in order from most important to less important. For example completing an application is the most important part of the hiring process because with someones application a lot of times ones able to discover the abilities of the applicant and possible see qualifications if any. Drug testing being the second most important thing after completing the application due to the fact that if someone doesn’t pass a drug screening then there is no point in continuing with the hiring process so drug screening could have told Carl if he should have continued with the hiring process or stop and look for someone else. The next important part is booking the orientation room, making sure that no one else is occupying the same location where the orientation is going to take place during the same time that way there is no double stacked events for one room. Going forward if Carl feels that everything is done and ready to go for an orientation he should have someone double check his completed work and if there is more to it than that person who double checks his work can guide him and help him make the necessary corrections. Like they say out there two heads works better than one.
