Dunkin Donuts Stores

Introduction
Dunkin Donuts is America’s favorite everyday coffee and baked goods store. Franchise of Dunkin Donuts is planning to open five new locations over the next two years. I have been the Manager of Dunkin Donuts store in the Midwest for past two years. By seeing my past working and successful track record, franchise has increased my post to district manager and has given complete autonomy, authority and responsibility to structure, staff and arrange five new locations. This responsibility includes the designing of job, organizational thereof, training and performance appraisals as the District Manager of Dunkin Donuts.

Job Design
Dunkin Donuts have several retail stores and is opening 5 new stores also. Being a district manager, it is required to oversee operations of stores every day. District manager can contact with the Head office about the operations of the stores. Movement and distribution of goods to different stores is the part of stores. The work of district manager involves working in stores. Visit to all five stores within certain time period and adhering to schedule on daily basis is required by the District Manager. The main focus of the district manager is to increase the efficiency of stores. New employees are to be hired for all five stores. Developing and maintaining contact with manufacturers as well as suppliers to ensure that the products get deliver to all stores within the time period. District Manager is referred to as merchants who possess good understanding of retail/stores aesthetics and customers. Management teams as well as staff of the stores are hired by the District manager. Customer satisfaction and product quality is ensured by the district manager. Financial performances of all the stores are to be viewed. To meet the exceed company’s objective team of professionals is to be managed by the District Manager. If any customer complaint arises, then resolving all issues and to provide outstanding customer service is done by the District Manager. Apart from all these, District Manager is required to prepare budgets and control expenses scheme. Job design of District Manager basically includes all important aspects which are needed by any store for its effective and efficient working.

Organizational Design
Organizational design is basically services of steps which identify work flow, structure and systems, procedures to fit to the organization goals and then implement plans for the working of the organization. Changes are incidental to every business. Plans are to be made in accordance to implement the new changes whenever arises in the organization. Organizational design includes organization improvement that is necessary for the organizational life. Organizational design of Dunkin Donuts includes the excellent customer services, improved efficiency, reduction of operating costs and increasing profitability. Organizational design involves decision about the following important aspects:-
• Work Specialization- the main focus is that the entire work is not done by only one person. Work should be given to the employees according to their specialization in particular field. Every employee is specialized in a particular task and next and not in the entire project. So work must be given accordingly.
• Departmentalization: organizational design involves the classification and grouping work activities. Departmentalization involves:-
a. Functional departmentalization: it involves putting together of people with similar skills.
b. Product departmentalization: it involves product line. Each manager is responsible for their specific department.
• One of the most important aspects which are considered while organizational designing is when the organization is centralized or decentralized. Centralized organization involves the decision making authority with higher level management. Centralized organization whereas does not involve the decision making power by higher level only. It involves lower level management also. If centralized, environment is stable. On the other hand environment gets uncertain and complex. Organization design of the store must be developed in such a way that it motivate the staff and develop coordination among them.
Recruitment and Selection
For the operations of the five new locations of the Dunkin Donuts recruitment is necessary. Recruitment is the process by which candidates for a job are searched. It is the process of searching prospective employees and stimulating them to apply for jobs in an organization. For the working of the Dunkin Donuts stores, employees and staff are required. As this is the new Dunkin Donuts store hiring of new staff is to take place. Recruitment can be done through two different sources that is Internal and External sources. Internal source further includes the following:
• Transfers- it involves shifting of an employee or staff from once store to another or from one department to another. It may change the responsibility of the employee for e.g. new store of Dunkin Donuts can be filled up by hiring staff from existing Dunkin Donuts store. Transfer is the good source of filling of this vacancy with employee from the overstaffed store of Dunkin Donuts. While transferring the staff it is necessary to check whether the employee is capable of performing that duty or not.
• Promotions- Dunkin Donuts previously had followed the way of filling of vacancies by promoting. Employees from lower job for the setting up of the new store, employee from the existing store can be promoted with new responsibilities, status and pay. This way of recruitment proves good for the manager as well as for the employee. Manager hire the employee which have already been working in the same store field for years and the ability f the employee to handle the store can be recognized easily. From the employee’s point of view, it helps to improve the motivation, loyalty and satisfaction level.
External sources- enterprises/stores opt for external sources of recruitment to bring new blood in the organization. Some of the external sources of recruitment are discussed below:-
• Direct recruitment: it involves placing the notice of vacancy on the notice board of the store. It is inexpensive method of recruitment.
• Casual callers- Dunkin Donuts is that type of incorporation which keep a data base of unsolicited applicants in their organization. These applicants are those which were not selected in the existing store due to no vacancy, though they possessed good qualifications. These applicants can now be called up for the new store of recruitment. This type of recruitment reduces the cost of recruiting.
• Advertisement- it is the process of recruitment through newspaper and journals. Through this way of recruitment new talent can be invited.
• Placement agencies and management consultants- this type of recruitment can be filled up by placement agencies. Placement Agencies also plays an important role in doing substantive work. They provide nationwide services in matching personnel demand and supply. They compile bio data of large no. of candidate and recommend only those which are best suitable.
• Recommendation of employees- Another method can be Nepotism. Nepotism is the hiring of relatives. But nepotism must be adopted only if it is not restricted either in the firm/company or country. This also brings only the qualified applicants in front of the interviewer.
• Web publishing- by the use of the internet, Dunkin Donuts can publish advertisement on websites specifically designed for purpose of providing information of the job opening.
Selection
It is the process of selecting the best candidate out of a number of job seekers. This can be done through the following process:-
1. Preliminary screening- based on the information supplied in the application forms, managers are able to eliminate the unfit appkicants.Preliminary interviews help reject applicants, which did not appear in the application forms. 2. Selection tests- an employment test is a mechanism which helps to know about the applicant either through a paper and pencil test or an exercises.

Interest Test
3. Employment interview- interview is a formal conversation that evaluates the applicant’s suitability for the job. The role of the interviewer is to seek the information and that of the interviewee is to provide. 4. Reference and Background Checks- Many employers request names and telephone numbers of references for the purpose of getting additional information of an applicant

5. Selection decision- the final decision is to be made from the candidates who passed the test and references checks. 6. Job offer- in this, the selected employee is given the letter of appointment and the duty is mentioned in that appointment letter. 7. Contract of employment: certain documents like attestation form contain some information about the candidate and attested by him/her. Duties, responsibilities, hours of work, leave rules etc. is given in the contract of employment.
Training and performance appraisals
Training and development takes place to improve the performance of employees by increasing an employee’s ability to perform through learning, skills and knowledge. Dunkin Donuts stores are planning to provide training as it is always better than hit and trial method. It can be done through Apprenticeship, coaching, job rotation and vestibule training.
Performance appraisal: after the training period is over, employees are given job for some time so that their performance can be evaluated. Dunkin Donuts existing stores follows formal means of appraising. So, new stores will also follow formal means of appraising.
Conclusion
Being a District Manager of Dunkin Donuts store, all the important aspects for setting up of five new stores are carried out in such a way that it proves beneficial to Dunkin Donuts and full satisfaction can be given to the customers. Organization design is set up in accordance with the existing Dunkin Donuts store. Recruitment process takes place in such a way that it is not expensive to Dunkin Donuts training facilities is being provides to the new employee for the better working.

Gray August 10, 2015 Opening Your New Dunkin Donuts Location Introduction What an incredible honor to be chosen to be the new Dunkin Donuts District Manager for my geographic area including five new locations. In this paper I will discuss what I believe are four major components that will make this new promotion a successful one. First of all there is job design. Next I will discuss Organizational Design. Then I will speak on how I will go about recruiting for the new branches as well as how I will select who to hire. Finally I will discuss the importance of proper training as well as my preferred method of performance appraisals. Job Design Opening a franchise from scratch will be significantly different from what I’ve done up to this point. I will need to use the experimenting method. This will allow me to evaluate and best decide how to organize the workload. For instance someone who is not as adept at using the computer system is best not put on the drive through window. The drive through position is a position where speed and accuracy will be pivotal in everyone keeping up with orders in a timely manner. This method will not only be best for the company’s work flow but also for the individual.
