Fundamentals of Effective Communication in the Workplace Communication is an essential part of our everyday lives. Whether intentional or unintentional, all communication has some effect. The conveyance of information and meaning between people is the goal of communication. Communication that produces the desired result is effective communication. When you communicate effectively, you create, maintain, and increase the effect of communication. There are many goals that effective communication achieve, including; to inform, to generate action, to create understanding between people, to convey an idea or point, etc. Effective communication, also, ensures that the message is conveyed with clarity throughout the communication process. In this essay I will describe a time when I’ve experienced effective communication in a business environment. About four years ago, I owned my own business, a convenience store and gas station. This business requires quite a lot of effective communication between cashier associates and the customer. It also, required a great deal of effective communication between myself and my three employees, one of which was my wife. The task of managing employees takes a lot of effective communication in order to ensure that the daily operations of the business run smoothly.
Effective communication has to happen like clockwork in a convenient store. If we were running low on an item or a customer wanted to special order an item, my employees would have to convey this information to me in an efficient, yet very effective manner. So, I created a special order sheet in Microsoft office specifically for this task. Simple and to the point, this sheet included columns for specific information such as; item name, item description, item UPC number, customer name, and customer phone number. This sheet was utilized when ordering stock from wholesalers, as well as, when the stock was received in order to notify the customer of the item’s arrival and ultimately sell the item to the customer. Ordering stock to sell in a convenience store is a common task and the importance of this task can often be overlooked. When serving a large customer base, it is important to keep the customer happy. Upholding a customer’s loyalty has always been very important to me and directly affects a business’ bottom line.
The special order process sheet was a very effective means of conveyance due to its high level of accuracy. When I created the sheet, I had to ask myself how much and what information would be required to ensure that the special order is effectively communicated from my employees to myself. This means of communication was very quick and concise, which is very important when you have five or more customers waiting in line. The information required by this special order sheet was very specific, ensuring communicational clarity. Reducing the amount of distortion in your message is very important to effective communication.
Implementing this special order process, we ensured that every customer bought what they wanted. If we couldn’t get the item, we had the information required to contact the customer. This deepened our relationship with our customers and built a foundation of customer loyalty for our business. These customers would gladly pass by two or three gas stations on the way to get to our store. This directly affected our sales, as we noticed small percentages of growth in our sales figures every month, as well as growth in our profitability. To effectively communicate within a business, it is as important to be mindful of your method of communication, as it is to be mindful of the message you are trying to communicate. An effectively designed and implemented communication tool, such as the special order sheet that I designed, can boost sales and customer loyalty, as well as, alleviate some of the burden and inefficiency of inaccuracy.
