Penjelasan umum: proses perhitungan stok fisik atas semua barang yang nilainya dicocokan dengan perhitungan pencatatan transaksi di komputer hingga menghasilkan selisih opname. Nilai selisih harus dipertanggung jawabkan 00 ke 11 setiap tahun. 90% dari keberhasilan opname terletak pada proses persiapan, sisanya adalah pelaksanaan.

Jika tidak kembali, langsung dibuatkan nota jual senilai pinjaman q) Scrab: segera selesaikan dan pisahkan fisik jika sudah di acc 11. Jika belum di ACC, maka harus tetap di hitung sebagai barang opname.Jika proses ini sudah selesai, maka tahap persiapan selesai. Menunggu hari pelaksanaan 11) Pada hari pelaksaan, Update stok awal opname berdasarkan stok akhir transaksi arus barang. setelah stok awal opname terbentuk, transaksi barang keluar dan masuk harus berhenti sama sekali sampai dengan hasil opname di transfer sebagai stok awal transaksi. Jika anda masih ingin bertarnsaksi pada hari pelaksanaan opname, sebaiknya opname tahunan dibatalkan. Karena, hasil opname menjadi tidak akurat. |

| 12) Pada hari pelaksaan, Pengawas area distribusi FO ke 1/ 2/ 3 (jika hitung 1, gunakan FO rangkap ke 1, jika hitung 2, gunakan FO rangkap ke 2, dan seterusnya). Item di FRO diberi tanda saat FO diserahkan ke penghitung. Tujuannya sebagai kontrol FO yang diserahkan tetapi belum kembali. 13) Hitung fisik barang dan catat ke ke FO. Isi form sesuai kolomnya: r) Baik: dalam kondisi layak jual s) Rusak: tidak bisa dijual karena barang pecah/ warna luntur/ sobek/ patah/ berjamur/ tidak berfungsi normal, dan sejenisnya. t) Cacat: tidak bisa dijual karena tidak utuh, misal: hilang pasangan/ tidak lengkap/ ukuran tidak sesuai fungsi, dan sejenisnya.FO diteruskan ke Pengawas area. 14) Pengawas area beri tanda ke FRO. Form ini diguanakan oleh pengawas area opname untuk kontrol: u) Form opname yang belum kembali v) Item yang sudah opname dan belum teropnameFO diteruskan Operator input 15) berdasarkan FO, Operator Input update hasil opname ke aplikasi Persediaan. 16) Bagian analisa memeriksa hasil opname dengan nilai stok awal opname. Apakah selisih? w) Ya: proses ke konektor F. Minta anggota lain hitung ulang. Maksimal hitung ulang 3 kali. x) Tidak: proses selanjutnyaProses ini dilakukan terus hingga nilai stop opname dinyatakan valid seutuhnya. 17) Setelah hasil hitung opname dinyatakan final, user Transfer hasil stok opname via aplikasi Persediaan. Nilai stok Opanme diakui sebagai stok awal yang baru. Nilai selisih opname diakui sebagai adjustment selisih opname.. Nilai ini yang akan dipertanggung jawabkan 00 ke 11. 18) Buat Berita Acara Stok Opname (BASO). Isinya menjelaskan hasil pelaksanaan dan nilai selisih opname. 11 bisa meminta proses opname ulang item barang tertentu jika hasil hitungnya meragukan. Opname ulang dilakukan menggunakan Skenario: Persediaan - Stok Opname – Sampling. |
Penjelasan skenario pakai program:

1) Persiapan:

a) User buat buat form untuk inventarisir kode rak menggunakan aplikasi ISA TRADING.EXE dan pilih menu PERSEDIAAN -> LAPORAN -> STOK GUDANG -> STOK AKHIR PER PERIODE. Isi pilihan penyajian:

i) RadioButton pilih: (1) Contain (2) Aktif (3) semua ii) TextBox Nama Stok: kosongkan. Supaya semua barang diketentuan yang sudah di klik di RadioButton terjangkau iii) ComboBox Kelompok: kosongkan iv) TextBox Nama Gudang: pilih gudang yang bersangkutan. v) ComboBox Peng. Jawab Rak: isi dengan nama masing2 atau kosongkan jika data pemegang rak tidak update vi) TextBox Tanggal: biarkan default. b) Jika isian sudah benar, klik Button . Laporan tersaji

c) Modifikasi laporan dengan membuang semua kolom kecuali nama Barang dan Rak. Rename kolom Rak menjadi Rak Lama. Tambahkan kolom rak 1, 2 dan 3 untuk mengisi kode rak terbaru. Cetak laporan dan bagian stok siap inventarisir kode rak. Catatan: User bisa sort nama barang atau kode rak lama jika lebih mempermudah inventarisir.

d) Setelah selesai inventarisir kode rak. Buka menu MASTER -> MASTER STOK.

e) Cari nama barang menggunakan Klik TextBox kosong di pojok kiri atas atau fitur Filter & Find di header nama barang. Jika item sudah ditemukan, klik Button . Update TextBox Lokasi Rak 1 dan lokasi Rak 2 dan 3 jika barang ada di lokasi rak yang berbeda. Jika sudah benar klik Button . Lakukan hal yang sama pada item lainnya.

f) Pastikan semua item sudah memiliki rak yang jelas dan benar. Gunakan menu PERSEDIAAN -> LAPORAN -> STOK GUDANG -> STOK AKHIR PER PERIODE untuk cross cek kode rak ke fisik barang.

g) Jika proses di point 1. f. sudah selesai, user update master stok ke master opname. Buka menu PERSEDIAAN -> LAIN-LAIN -> STOK OPANAME -> UPGRADE SASSTOK. TextBox Tanggal Porses terisi dengan tanggal default. Klik Button untuk proses. Proses ini akan menghapus data master opname yang lama dan user harus mengisi kewenangan manager.

h) Jika sudah selesai, buka menu PERSEDIAAN -> TRANSAKSI -> STOK OPNAME. Pastikan dengan sampling bahwa kolom kode rak di GridView ke 1 sudah update yang terbaru dan data hitung opname yang lama di gridView ke 2-4 sudah terhapus.

i) TSS periksa data cacat: vii) Cek barang tidak ada hpp: (4) buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> LAPORAN -> BARANG YANG TIDAK ADA HPP. Klik Button , laporan terproses.

(5) koordinasikan dengan akunting dan stok bahwa ditemukan barang aktif dengan kondisi nilai HPPavg 0 dan 1. Apakah betul barang2 tersebut kondisinya demikian? (a) Ya: minta accounting dan stok tanda tangan dan simpan sebagai bukti (b) Tidak: cek masalah: (i) Terjadi akibat barang masuk ke 00 bukan melalui pembelian (misal: akibat mutasi seimbang): minta ko. TSS nilai HPP seharusnya diisi ke tabel HPPAVG supaya punya nilai. Tindakan ini dilakukan atas seijin Ka. Accounting 11 dan 00, karena akan menimbulkan selisih perhitungan nilai persediaan. (ii) Terjadi akibat barang lama yang sudah tidak ada lagi dalam transaksi 11 dan 00: koordinasi dengan stok 00 untuk buat pengajuan pemasifan barang ke 11.

viii) Cek barang cacat data: (6) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> LAPORAN -> BARANG YG DOUBLE ID_BARANG: pastikan statusnya selalu tidak ada data. (7) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> LAPORAN -> BARANG YG TIDAK ADA IDREC: pastikan statusnya selalu tidak ada data.

j) Anda sudah mulai bisa cicil cetak FO rangkap 3 dan FR. Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> FORM -> DETAIL PER KODE RAK.

k) Isi TextBox kode Rak. Isi kelompok besar kode rak. Misal: B2/ B1/ A1 dan seterusnya. Pastikan tidak ada kelompok rak yang terlewat. TextBox rak Ke: diisi dengan angka 1, artinya program mencetak FO untuk semua barang di rak ke 1. Textbox ini bisa diisi dengan angka 2 dan 3 jika ada item barang di kelompok rak ke 2 dan 3. Siapkan kertas continuous form 9,5 x 11 inch 3 ply belah 2. Klik Button untuk proses cetak.

Keterangan form: ix) No.: RowNumber. Dipakai untuk mencari item barang berdasarkan Row No. Tujuannya supaya user bisa cari cepat. x) Tanggal: tanggal hitung. xi) Penghitung: nama penghitung. xii) Baik: nilai stok baik. xiii) Cacat: nilai stok cacat. xiv) Rusak: nilai stok rusak. xv) Bag. Adm Persediaan: nama pengawas area

l) Lanjutkan dengan mencetak FR. Buka menu Anda sudah mulai bisa cicil cetak FO rangkap 3 dan FR. Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> FORM -> MASTER PER KODE RAK. Isi TextBox kode Rak dan TextBox Rak ke sesuai point 1. i. Siapkan kertas continuous form 9,5 x 11 inch 1 ply. Klik Button untuk proses cetak.

m) Isi TextBox kode Rak dan TextBox Rak ke sesuai point 1. i. Siapkan kertas continuous form 9,5 x 11 inch 1 ply. Klik Button untuk proses cetak.

Keterangan Form xvi) No.: RowNumber. Dipakai untuk mencari item barang berdasarkan Row No. Tujuannya supaya user bisa cari cepat. xvii) Tanggal: tanggal hitung. xviii) I-III: diisi dengan ‘\’ saat diserahkan ke penghitung. Dan diisi dengan tanda ‘/’ setelah form dikembalikan. FO belum kembali tercatat dengan tanda ‘\’. FO yang sudah kembali tercatat dengan tanda ‘\/’

n) Untuk cadangan, user harus mencetak FO kosong dan FR kosong. Tujuannya untuk antisipasi skenario item barang yang tidak tercetak di FO dan FR: xix) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> FORM -> MASTER KOSONG. Isi TextBox Banyaknya Form sesuai kebutuhan. Jika user isi 1, maka yang keluar adalah 1 lembar. Klik Button , FRO kosong tercetak.

xx) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> FORM -> DETAIL KOSONG. Isi TextBox Banyaknya Form sesuai kebutuhan. Jika user isi 1, maka yang keluar adalah 1 lembar. Klik Button , FO kosong tercetak.

o) Pada hari H opname, user cut off stok akhir transaksi menjadi Stok awal opname. Buka menu PERSEDIAAN -> LAIN-LAIN -> STOK OPANME -> DOWNLOAD SALDO AKHIR. Pastikan Tanggal proses = hari ini. Klik Button untuk proses. Program transfer nilai stok gudang (sesuai fisik, bukan nilai buku).

p) Untuk memeriksa hasil transfer Stok Akhir transaksi, buka menu PERSEDIAAN -> TRANSAKSI -> STOK OPNAME. Di GridView ke 1 kolom Q. Awal sudah terisi nilainya sesuai Laporan Stok akhir kolom Qty. Stok Gudang (sekali lagi saya ingatkan, bukan stok akhir). Proses persiapan selesai.

2) Input opname:

q) FO diserahkan Pengawas area ke operator input. Buka menu PERSEDIAAN -> TRANSAKSI -> STOK OPNAME. Klik GridView ke 1. Cari item barang. Ada beberapa metode pencarian barang: xxi) Berdasarkan Row number: Klik ComboBox Pencarian (pojok kiri atas), pastikan terpilih RowNo. Untuk memilih barang, klik textBox Pencarian (sebelah kanan ComboBox pencarian), isi sesuai form FO kolom No. ini adalah pencarian paling cepat dan mudah. xxii) Berdasarkan Nama Barang: pilih ComboBox Pencarian Nama Barang. klik textBox Pencarian, isi sesuai form FO kolom Nama Barang. xxiii) Berdasarkan Nama Barang: pilih ComboBox Pencarian Nama Barang. klik textBox Pencarian, isi sesuai form FO kolom Nama Barang. xxiv) Berdasarkan kode rak: pilih ComboBox Pencarian Kode Rak. Klik textBox Pencarian, isi sesuai form FO kolom Kode rak.

r) Setelah item barang ditemukan, tekan Key Insert. Form Hitung 1 terbuka. Isi textBox:

xxv) Tgl. Opname: default terisi dengan tanggal hari ini. xxvi) Baik: hasil hitung opname barang dengan kategori baik xxvii) Cacat: hasil hitung opname barang dengan kategori cacat xxviii) Rusak: hasil hitung opname barang dengan kategori rusak xxix) Penghitung

s) Jika isian sudah benar, klik Button . Data tersimpan. Lakukan hal yang sama pada item barang lainnya. Jika item barang tersimpan lebih dari 1 rak, user bisa menambahkan hasil hitung di hitung 1 dengan cara: Klik GridView ke 2: dan tekan Key Insert. Form hitung 1 kembali terbuka. Nilai yang diinput akan terakumulasi dengan perhitungan sebelumnya dari rak lain.

3) Analisa hasil opaname:

t) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> ANALISA HASIL STOK OPNAME. Form analisa selisih stok opname muncul. Pilihan penyajian disesuaikan dengan kebutuhan. Klik Button .

u) Follow up penyelesaian item yang selisih dengan cara lakukan perhitungan ke 2. Hasil hitung ke 2 di catat di menu PERSEDIAAN -> TRANSAKSI -> STOK OPNAME. Klik GridView ke 1, cari barang dan tekan key Insert. Form hitung ke 2 muncul. Program otomatis membuka form hitung ke 2 karena hitung ke 1 sudah diinput.

v) Jika hasil hitung 2 masih dianggap belum valid, maka lakukan perhitungan ke 3. Hasil hitung ke 2 di catat di menu PERSEDIAAN -> TRANSAKSI -> STOK OPNAME. Klik GridView ke 1, cari barang dan tekan key Insert. Form hitung ke 2 muncul. Program otomatis membuka form hitung ke 2 karena hitung ke 1 sudah diinput.

4) Cek barang belum opanme:

w) Buka menu PERSEDIAAN -> LAPORAN -> STOK OPNAME -> BARANG BELUM TEROPNAME:

x) Ka. Panitia Opname memastikan bersama pengawas area memastikan, apakah semua barang tersebut memang nilainya 0? xxx) Ya: abaikan. xxxi) Tidak: ada barang yang belum dicatat ke hasil opname. Kasus ini terjadi akibat: (8) Form opname tidak tercetak. solusi: gunakan form kosongan untuk opname dan serahkan ke operator (9) Form opname belum diserahkan ke operator. Solusi: minta pengawas area serahkan form opname yang sudah dihitung.

5) Transfer hasil opname:

y) Setelah kegiatan stok opname selesai dan final. User bisa transfer nilai opname. Buka menu PERSEDIAAN -> TRANSAKSI -> LAIN-LAIN -> TRANSFER OPNAME. Isi tanggal sesuai transfer opanme yang diakui (biasanya tanggal akhir opname) dan klik Button .

z) Jika proses sudah selesai, hasilnya bisa dilihat pada menu MASTER -> STOK OPNAME. Cek record dengan tanggal sesuai transfer opname. Selesai.
