TO BE IMPLEMENTED ON: INTER ASIA MINERALS AND ENERGY (INDIA) PVT.LTD. AND ITS SISTER CONCERN STARLET EXIM LLC.

BUSINESS PROBLEM STATEMENT:
Inter Asia Minerals and energy Pvt. Ltd. was formed as a trading company for heavy construction equipment, iron ore, metal scrap and other minerals. This company was formed in India and it had major suppliers from the United States of America. To make the buying of material and transport more efficient, Inter Asia decided to set up a new business in USA as Starlet Exim LLC. The parent company in India has 10 employees working in India and the sister company in USA has 3 employees working here. The employees who work in India are located in various states among who, 1 person is in-charge of marketing and 1 is in-charge of shipping documentation, 1 is in-charge of the inland transportation, 1 is in-charge of the accounting for the company and so on. Due to the distribution of workers all over the country, the trading was not done properly and the work is not being followed up or updated on time. Sometimes, the shipment gets delayed due to documentation or sometimes the accountant delays the payment without any knowledge of the dates of purchase. There are no modern technologies used by the company which may help these improper work and disorder. Moreover, having a sister concern in USA now, has increased the tensions a lot as the employees there need to reach the employees here in order to keep track of the shipments or the trade work but due to consistent power failures and other technical problems, they are not able to follow up timely. If the virtual meetings technology could be used in this company, it would rightly fit in the requirement and would help in solving the problem.
GENERAL BENEFITS IT WILL PROVIDE THE ORGANIZATION:
Online virtual meetings are real-time interactions that take place over the Internet using features such as audio and video, chat tools, and application sharing. If this technology could be used in the company’s business, financially, it would help in bringing in better business which will increase the level of cash flow and the profitability. Employees may be able to follow up the work on time and can easily contact other employees whenever needed. The sales would also increase as the marketing employees would find a better way to reach out to their consumers by conducting virtual meetings with them too. The communication in the corporation would become much better and there will be a better trading done than before. The service quality would build up to new heights. The higher authorities of the organization would also be able to have a better control over the company’s employees. Since the business could be brought up to better position, the competition would also increase to a new level and the company would be in a position to satisfy all the consumer’s needs. For future, the organization plans to bring in this virtual meeting technology with the best software in order to have a better technical support. Based on this idea, the organization is planning to provide every employee with a laptop with camera so that the employee would be able to contact anytime and anywhere.
HIGH LEVEL APPROACHES:
The business being trading does not really need many meetings of employees but they must be able to meet all the employees together at least once in two months. There is a system of having a similar line of phones in all employees’ offices and have free calls within the company. The company must afford at least this much to keep the company together without falling to a big loss.
The only technological approach that can fit in this immediate requirement of change or improvement is virtual meetings as I mentioned above.

This completed project will be directed mainly to the higher level management as they are the ones who require this software to contact anytime in order be in track and knowledge of the shipments sent or received. But, this could be broadly brought in for the whole organization which would help a better side of everything that we do.
