System Briefing

Once an employee begins employment with a company he or she must first go through completion of the internship program. During the program the employee has a very important briefing that he or she completed on time, and then presented to the CEO of the company. The guidelines required to complete the briefing assignment consist of the explaining in detail the selection process, and how it was affected by the goals of the organization and stakeholders. The briefing will explain the process needed for selecting and acquiring an information system and how the goals of an organization can drive the selection of the system. The briefing will identify different roles the stakeholders of the organization plays in the selection and acquisition process.
The goals of an organization may differ from the selection process because there has to be as common ground and balance between the organizational goals and the stakeholders. A stakeholder plays a major role inside an organization because the individual person, group, or organization is in the form of a stakeholder really holds the major keys of the organization because the stakeholder affects the actions of an organization. The stakeholders have a stake, vested interest, or operations within the organization and before an organization decides to make any business decisions the stakeholders are involved to make sure everybody involved in the organization come to an informed and united decision. Once a balance is found between the stakeholders and the organizational goals the outcome will be successful for every member of involved. Stakeholders affect the corporate missions and values because they will maximize the value for all stakeholders involved in the corporate, they play a major role in the decision making process so any decisions made cannot be made without the stakeholders involved in the process, and accountability is held on behalf of everybody which includes: customers, the government, the community, the suppliers, and the stakeholders..
An information system is a combination of different data, many processes and loads of information combined together within technology that interact to collect, process, store and provide output for an organization (Wager, K 2009). There are two different types of information systems inside a health care organization that are known as the administrative and clinical systems. The goal of an organization is to find the best system by following the strategic process for selecting and acquiring the information system. Before the organization can implement a new system, and put it to use the key stakeholders that are involved with system implementations have to implement the system, and then it can be put to use by the organization.
There are many stakeholders who are primarily involved in the implementation process that are also known as the key stakeholders: CFO (chief financial officer) controls and manages the budget and all the future expenses, CEO (chief executive officer) is known as the leader of the organization and oversees everything that is implemented and done within the organization. The next key people in line would be the implementation team whose job is to make sure things is in order, and ready to go. The next people involved in the process are the vendors, and their job is to research a system that best fits the buyers’ requirements. The IT group is a very important department because they control daily technical operations and assists with daily technical support. At the beginning of the implementation process a team of people are assembled, and known as the implementation team, and next the team identifies the system champion. The system champion will be responsible for leading the team and that particular team will come together and determine the expectations of the project while creating a project plan. The assembled team must get a list together of goals needed to accomplish within the new system and access the way these goals are going to be accomplished. The goal of the information system is to process and store data while keeping information safe and secure for the organization and within this process the important goals need to be understood by all members of the team, and implemented within the system. There are surveys given to the implementation team, and staff members so that the goals are identified by the importance it holds and will play within the process. Once the goals are determined the team is ready to find a vendor who fits the requirements by creating a list of all vendors to send a request for a proposal to the chosen vendors. The only time an organization accepts a request from the chosen vendors is when and if they are willing to do a demonstration for the staff and team members on the site. This on-site demonstration will help the staff to have a better understanding of the system while making an informed decision based on the information presented. This demonstration will also help the implementation team decide which vendor produces the better system while meeting the requirements of the organization. Once the requirements are put in place the vendors should present their individual planned presentations and make sure all business or contract issues or questions have been answered, and the air is clear between all business partners involved.
In conclusion this briefing has explained how the goals of the organization and the stakeholders affect the selection process. The information provided will go on to describe the process of selecting and acquiring the system. The briefing has explained how the goals of the organization drive the selection process, and it has described who the stakeholders are and the roles each one of them play within the system.
