Option 2: Memo Evaluation

The memo I will be evaluating is one from my place of work. The company is called Gamwell Technologies Inc. It was in regards to a program call Auto task that we were going to start using online and our boss just explains how to use it and our logins. The tone of this memo is very direct and straight forward. He always gets straight to the point in any subject, because if he doesn’t the guys will be asking a lot of questions. I think the writing style would be technical because he is explaining how to get to the site, what we use to log in and if a link on how to use the site. We cannot do anything else besides what is written or we would not be in the right site. So I think it is technical writing because in the memo he includes the user guide and the process on how to get to and onto the site. And of course at the end lets us know there is going to be a company meeting on this and wants us to write down any questions we might have after going onto the site. I thought it was straight forward and to the point I would not change anything about this memo. Even though I know that maybe he could have gone into more detail with the site and explained what its purpose was for the company instead of us logging on and finding out ourselves. Basically we were going to switch our ticketing system to this site, but we never did in the end. We all had the meeting and it was going to be too much work keeping note in auto task and in our old system at the same time. In the end it was a good memo short and to the point, I would not change a thing.

Web conferencing is a great tool we can use to have those weekly status meetings. We will be able to bring our offsite teams on board and connect with them at any time. These programs will potentially save time and money while bringing the department together. I have researched 5 of the best companies and found that though they are similar in services you can see some differences if you if you look for key points. The five programs I choose were Cisco WebEx, Fuze Meeting, GoToMeeting, Infinite Conferencing and InterCall. As shown below (table 1) most common features are shared by all but Fuze Meeting did not have the capacity to use VOI P or have video or webcam features and CISCO WebEx was not capable of recording the meetings. While GoToMeeting and Infinite Conferencing have all the features the max number of attendees either exceeded or did not meet our business needs. This is the reason I choose InterCall. This program has a total of 124 number of max attendees. We can definitely expand with this program and secure a smart web conferencing tool for future use. BCOM/230 July 7, 2014 Memo Review In today’s corporate world, forms of communication range from extremely casual conversations and instant messages to complex presentations and detailed letters. The primary determining factor for which form of communication to use is the audience to which the information will be received as well as the relationship between audience and author. In this paper we will review a University of Phoenix provided accounting memo written from an accountant to the company’s CEO, analyze what information should be included in the memo versus what should be removed; consider if the use of accounting specific jargon is appropriate based on the audience; the CEO; and finally explore what possible repercussion can happen if the memo is not suitable for the targeted audience. In the initial review of the memo, the first error that immediately jumps out is the heading and salutation lines. Both use the acronym “CEO” instead of using the person’s first and last name; which is the more professionally acceptable approach. The CEO may interpret this as either a lack of attention to detail or that the information is generic and not specific to level of authority.
