Preface

The mandatory internship in BA (hons) in Accounting program is very beneficial to have practical experience of how things really done in workplace. Being a student who wants to become an accounting professional, the best place to gain practical understanding of accounting was to do internship in the accounting department of any organization.

I took the internship with Hamko Corporation that is a prominent Battery & energy storage manufacturer in Bangladesh. I am proud to get the opportunity to work as an intern in the organization and this experience will surely help me in my future as an accounting professional. The guidance and concern of higher management, adaptable working environment with lots of cooperation from staffs of all departments especially the accounting department facilitated in making my internship a wonderful learning experience in all aspects.

Internship duration which was assigned to me is from November 1st to December 31st 2011. I was able to learn the following:

• how the accounting principles are customized based on differentiation of organizations,

• how to face and solve difficulties regarding unusual transaction,

• how to manage accounts for all types for the efficient working and so on.

As a whole, completing the internship was much more important to me because it was not only one of the degree requirement but also an opportunity to grab practical experience before starting my professional career.

Introduction

Hamko Group, one of the largest energy storage products manufacturers in Bangladesh, started its journey with a small automobile parts shop, founded by Abdus Sattar Talukder in 1979 with the vision to excel in the accumulator industry. After more than three decades of business HAMKO is currently a leading producer of Lead Acid Batteries in Bangladesh. It is also a pioneer of Battery Components and Chemical manufacturer serving and supporting other battery companies of the country. Today it operates through 12 own outlets and over 600 retailers countrywide.

Hamko Corporation has been surviving successfully in the energy storage industry for more than 30 years by prioritizing quality management and customers’ satisfaction. Its products range from small motorbike batteries to large industrial energy storage systems, lead acid battery components and pure lead.

Organizational Culture

Organizational culture is the workplace environment actually originated from the interaction of the employees in the workplace and also while executive leaders play a large role in defining organizational culture by their actions and leadership, all employees contribute to the organizational culture. So, organizational culture is defined by all of the life experiences, strengths, weaknesses, education, upbringing, and so forth of the employees.

Hamko Corporation based on four principles classified as CPES and individuals of the organization are passionate & focused on these issues; Customers, People, Environment and Stakeholders.

Because of being one of the market leaders, customers expect more from the organization than others. So, the company also prioritizes its customers from the heart of business, employees tend to serve customers the way they like to be served. It highly appreciates their comments and work together towards simplicity, technologically advance and innovative products to support their needs.

People are one of the core assets of this business. It respects and appreciates individuals’ contribution in today's success; it believes they are the driver for all of the achievements of Hamko.

Generally, energy storage products industry produces wastage that is highly harmful for environment because most of the time the wastages are not properly eliminated. But Hamko cares a lot about environment. It operates all of industrial units with highest environmental safety procedures. It utilizes its wastages by recycling them, and also encourages its suppliers, customers to support these ideas and being committed to keep environment green.

It also considers its stakeholders interests in all activities and would like to support them in every possible way it can.

Overall culture of Hamko Corporation is that it believes in quality and values customers, stakeholders, environment and wishes to celebrate success together.

Market Segmentation

Market segmentation is a concept where companies segment or split their demands of products in different sectors based on usage, heterogeneity of products etc. Hamko Corporation has also segmented its market. As it produces different types of batteries, IPS, Electrolytes and House ware Plastics that creates different markets. So, at first, the market is segmented for product differentiation. Then usages of different products come. Hamko’s products can be separated mainly by three areas like Battery, Raw materials & Electronics.

Batteries and Electronics have demand to both individuals and factories. Whereas, raw materials are only demanded by other industries to produce another items.

So, this is one segment of market for users’ differentiation. Hamko also segments market in terms of Locality. It has 12 branch offices countrywide like Barisal, Khulna, Chittagong, Gopalgong and others. Demand and market for products is different in different localities.

We have already stated that based on end users market is segmented into two sectors:

• individuals

• industries

There is another segmentation based on sales procedures:

• Dealer’s sales network: Through this segment sales are formulated by Hamko’s own outlets and retailers. Generally, through dealers Hamko products reach to individuals.

• Institution sales: Institutional sales are generated by Hamko itself. The company itself takes the initiative to deal with institutions.

This institutional sale is also segmented based on types of institutes:

• Private + Public Ltd.

• Government institution: like Bangladesh Air Force, Coast Guard, Border Guard Bangladesh, DMP, CMTD, SB, BJMC, Fire Service & Civil defense, Govt. Motor Vehicle Workshop, PDB, PWD etc.

• NGOs: Like HIL FUL FUJUL BANGLADESH, Grameen Shakti etc.

To promote sales, Hamko Corporation has declared commission packages to outlets and retailers. For HPD & PCV type battery, it provides commission for minimum 3 Pcs sold daily. And for N-type Battery (small battery), it provides commission for minimum 25 Pcs monthly. No commission is applied for T-type battery, electrolytes and tires.

So, this segment is based on commission packages. The company divides retailer shops of itself (only within Dhaka) by 5 areas. So, commission is also provided according to the areas. There is another segmentation area that is based on discount provided. It has recently started to provide discount to sales. For HPD & PCV type battery, it discounts 15% and for N-type battery, 25% discount is provided.

Hamko has recently started to produce House Ware Plastics. Individual users especially women are targeted for this product. In

Hamko follows differentiated market strategy as it has operated its products in several segments of the market and designed separate brands for each.
Overall, Hamko Corporation segments its products to organize stocks & increase sales, make different products available to end users. Because, it believes a market can be segmented such that each possible segment is or can be a product should meet separate needs and wants.

Human Resource Practices

Hamko Corporation believes that an organization’s success depends largely on its work force; whether its employees perform well. So, the company management is very conscious about employees and formulates a HRM department to handle the issues. HRM department of Hamko Corporation makes a list of procedures to organize these. First of all, recruitment is the most important part because the company has to choose capable and suitable employees for posts. Generally, it recruits new employees by advertising in news papers or by recommendation from current employees. The company did not have any policy for employing interns before; but recently following other companies it has started to give opportunities to interns and trainees.

Hamko Corporation is a manufacturing organization. So, employees in the organization should have clear concept about its overall operations and production activities. That’s why, the company arranges factory visit (in Shampur & Khulna) for employees so that they can have practical experience of production procedures. Specially, it is necessary for accountants and auditors because they have to be involved in cost & factory accounting & auditing.

To motivate work force, the company has arranged residence for 4th grade employees and also for bachelors in return a minimum cut pay.

It has a policy to evaluate performance of its employees. HRM department of the organization analyzes the evaluation and if any employee needs any improvement, it tries to arrange either training, working under any supervisor or motivational seminar.

Promotion and Marketing Services

Marketing is a way or process to communicate and inform users about products available in the market. Every company has to have a promotional and marketing strategy to attract customers. So, Marketing is used to identify the customer, satisfy the customer, and keep the customer. Like other companies, Hamko Corporation follows marketing strategies. It has competitors in Energy Storage industry like RahimAfroz, General Battery & others. Firstly, to formulate marketing strategy, the company performed a market research to measure the demand of users and supplies from other competitors. Then it planned to advertise in televisions and others media like newspapers, banners etc. Recently, marketing department of the organization has planned to paint their advertisements on company transports. Not only it advertises about product launch but also advertises about different discounts and special offer provided by the company in different times. Sometimes, it produces campaign for any causes that also helps to advertise the brand. Moreover, the company participates in different fairs. It publishes its own diaries and calendars for advertising purpose and distributes them to dealers, customers and employees. For example, in upcoming fair “International Trade Fair” Hamko Corporation is planning to participate.

Internship Activities

I, Khandakar Sayma Nasrin, student of BA (hons) in Accounting, have completed 2nd years of the 3-year course, and am working as an intern in Hamko Corporation for two months (November to December 2011). I have started my internship from 28th October, 2011. I am intended to work in accounting department and started working under Mrs. Rekha Roy, Accounting Executive, Hamko Corporation. I found her a good leader who makes team-members working sincerely. She knows better how to manage stress and resolve conflict among the team-members in a very wise manner. When I joined the company, at first I was assigned to make different types of documents like-
Debit vouchers: used for cash payment.
Money receipt: used to receive deposits from branches or dealers.
GRN (Goods Receiving Notes): used to receive goods from factory. When it takes orders from customers or dealers or other branches, a GRN copy is made and through this GRN, it receives goods from Shampur factory. GRN is used only when goods are to be sold on account.
GTN (Goods Transfer Notes): used to deliver goods to customers or dealers. When the goods are sold on cash then the company directly uses GTN, rather making first GRN and then GTN. Because, in cash sales generally sales quality is not a huge amount; so the company can generate cash sales from its Bijoynagar Showroom.
Commission vouchers: used to provide commission to parties of different outlets and also according to areas (5 areas of retailers).
Journal vouchers: used when there is not cash or bank is involved in a transaction. There are so many types of transactions for which journal vouchers are prepared.
These are the crucial documents; others are like bill, cash memo, and invoice.

Before July 2009 Hamko’s accounting system was completely manual. All transactions were recorded & resulted manually. But, since then it has started to use accounting software called Factura (similar to Tally, T++). When my supervisor came to know that I am little experienced of Tally (done in Actg 217-Accounting Information System), she allowed me to use software to post the entries and transactions. After that, I have started to be assigned more responsible tasks like reconciliation between branches inside and outside Dhaka, changing purchase price list of raw materials and others, preparing and posting payroll sheet.

Identified Problems

Introduction
During my internship in Hamko Corporation Ltd., I was able to point out the some problems that the company is facing now. Among them, one problem is related to HRM issue and I am going to discuss about it.
I have been working for 2 months in Hamko Corporation Ltd. While working, I have noticed employees are not much more dedicated to the company although some employees’ contribution is very appreciative to the company. But they are not motivated enough. They do not consider themselves as a part of the company. They keep trying to switch to another organization. After my joining, I saw 2 employees to leave the company. As a result, sometimes their negligence to work creates problems to Hamko. As employees or work force is one of the most important assets for any organization. So, it is necessary for Hamko to find out the reasons behind the situation. I am going to mention some problems based on my observation and also try to recommend some possible solutions for this problem.
Description and Analysis
Though the company tries to motivate employees, there are few incentives offered to the employees which are resulting in turnover. After receiving training and experiences, employees tend to switch to another organization. One of the reasons of the problem may be minimum pay scales compared to other organizations and less scope of development of individuals.
Employees lack job satisfaction and security. The reason for this is that if an employee does not agree with everything boss says they will not be in his good books and can be fired anytime. Another reason is that sometimes employees are hired on basis of relations and connections instead of merit. Lack of job satisfaction is leading to inefficiency in their work. For example, I have noticed several times that for a task which requires hardly thirty minutes the employees spend two hours just to show that they are working hard but in fact they are prolonging their works. Sometimes employees who are dedicated and work harder for the company do not get much attention or any inspiration or reward from management. Moreover, office politics in workplace has made employees frustrated; as a result employees lose interest in working that environment.
And one important problem I noticed the accounting software that has been started to use recently. As Paltan is the main official branch of Hamko, it stores a huge data in system. As a result, sometimes the system corrupts and it occurs frequently. Sometimes necessary data is not shown in system, reference numbers changed and so it creates a big problem in reconciliation process and prolongs works. It also demotivates employees to work faster. Sometimes because of this problem, employees have to stop their works.

Recommendation for resolving one chosen problem ✓ Management or HRM department can arrange a meeting for employees. On this meeting, employees can share what they want, what are their complaints against the company. They can give any suggestions the company can improve in organizing human resource. HR manager or is interested in their problem; this will make many employees feel better about their jobs.

✓ It’s very important for employees to keep learning new skills on the job. Training classes and seminars are one way to help with this. So, Hamko can arrange this type of classes for employees’ skill development.

✓ Hamko management needs to hire employees on merit and the bosses should praise employees based on their contribution towards their work. That will inspire employees to better.

✓ If wishes, management can form a new policy. Every month one employee will be chosen as “Employee of the month” and rewarded for his/her outstanding performance. This will motivate employees largely and will create competition to perform harder among employees.

✓ Hamko must revise its employees pay structure. Most of the times, a little rise in pay scales motivate employees greatly.

✓ Moreover, bosses should behave friendly and nicely to employees. They can follow some tips to be friendly to his/her subordinates like-

o Allot worthy projects, not just menial tasks, to increase feelings of trust and pride. o Create a change by giving employees a chance to work on exciting projects or learn new skills. o Discuss and help an employee who is under pressure. Ask what can be done and help complete the task side-by-side. o Ask an employee who is proficient in a certain area to train others, or make a presentation at a staff meeting.
These are possible solution for the problem I can recommend. The HRM department of Hamko may consider the recommendations and implement it.

Conclusion

There are lots of opportunities to learn practical knowledge in the different areas of a business in Hamko Corporation Ltd. I really appreciate the way I have been guided through this internship program with Hamko, beginning from the opportunity to take the time I needed to refresh and expand my knowledge in several issues concerning accounts, over a somehow protected period where I could discover and learn to value my new working environment, and finally earned the confidence to deal with assignments myself. It is through them that I did enjoy my work every day.
