Fundamental of Business Writing

...Chapter One Introdution: Fundamentals of Business Writing I. The major differences between school writing and business writing School writing, typically in the form of essays, is aimed at impressing the audience, i.e. examiners. To score high, student writers have to use fairly complicated vocabulary and sentences in their written work. Business writers, however, mainly aim to communicate information to their colleagues, clients, and other associated parties. They are relatively free to use what language that can get the business done efficiently and effectively. II. Seven steps in the process of wring 1. clarifying your aim 2. identifying your readers 3. making a general plan 4. sketching a synopsis (大纲) 5. drafting your text 6. putting the draft aside 7. revising and editing ★ Writing is a recursive and creative process. The detailed plan is not adhered to in actual writing. Writers frequently come up with ideas that are activated in the process of writing. Writers read the text they have already produced to help generate more ideas. In effect, the writing process is no linear at all but is characterized by recursive ness and creativeness. III. Three principles of business writing 1. Clarity – means setting your message across clearly. (See detailed information on page 4) 2. Consideration – good business writers take their readers’ needs, problems, and reactions to the writing into consideration. And they...

...Cover Letters While your resume is a summary of your credentials, your cover letter should essentially be a sales pitch. Your aim is to demonstrate why your skills and your background make a perfect match for the position you're applying for. The cover letter is not the place to summarize your background--you have already done this in your resume. Remember, employers typically receive hundreds of resumes for each job opening. You must stand out from other job seekers in a positive way. The best way to distinguish yourself is to highlight one or two of your accomplishments or abilities that show you are an above-average candidate for this position. Stressing only one or two unique attributes will increase your chances of being remembered by the recruiter and getting to the interview stage, where you can elaborate on the rest of your accomplishments. You can also gain an extra edge by showing that you have some specific knowledge about the company and industry. This shows that your are genuinely interested in the job you are applying for--and that you are not blindly sending out hundreds of resumes. More importantly, the employer will view your interest as an indication that you are likely to stay with the company for a substantial period of time if you are hired. 10 Key Details to Remember When to send a cover letter: always mail a cover letter with your resume. Even if you are following up an advertisement that reads simply "send resume," be sure to include...

Communication Skills

...a group of volunteers at a charity event. In short, being a good public speaker can enhance your reputation, boost your self-confidence  , and open up countless opportunities. However, while good public speaking skills can open doors, poor speaking skills can close them. For example, your boss might decide against promoting you after sitting through a poorly-delivered presentation. You might lose a valuable new contract by failing to connect with a prospect during a sales pitch. Or you could make a poor impression with your new team, because you trip over your words and don't look people in the eye. Make sure that you learn how to speak well! Plan Appropriately First, make sure that you plan   your communication appropriately. Use tools like the Rhetorical Triangle  , Monroe's Motivated Sequence  , and the 7Cs of Communication   to think about how you'll structure what you're going to say. Practice There's a good reason that we say, "Practice makes perfect!" You simply cannot be a confident, compelling speaker without practice. Engage With Your Audience When you speak, try to engage your audience. This makes you...

Art of Business Writing

...The Art of Writing Business Letters Write letter in a manner such as to secure the respect and consideration of the person with whom you correspond. The rules for the mechanical execution of a letter are few; understanding and observing the rules already considered for composition, the writer has only to study perfect naturalness of expression, to write a letter well. [pic][pic] Variously missing from their letters are headings, dates, inside addresses, salutations and complimentary closings. And the forms are disheveled. Frankly, in terms of form, often I am unable to distinguish any discernible differences between letters written by students, their teachers and by many other professionals. Apparently, for many, the art of writing a standard business letter has been lost. What are considered essential elements for a standard business letter. Know the format. Whatever the content of your letter, visually it should resemble the picture below. Note that business letters are composed in common fonts such as Arial or Times New Roman, and that they are justified to the left. Most employ block paragraphing - i.e., to start a new paragraph, hit "return" twice and don't use an indent. [pic] [pic] Letterhead. Include the sender's company and the company address; if you're self-employed or an independent contractor, add your name either in place of the company name or on top of it. If your company has pre-designed letterhead, use this; otherwise, simply typing the...

...Job description The purpose of the job description is to give information to prospective employees about what the job actually involves by giving the purpose of the job and the types of responsibilities and duties that will be expected as part of that job. Usually there are a set of key elements included within the job description which are; title of the job, department and location, broad terms, responsible to whom, responsibilities, scope of the post, education and qualifications, name of compiler and approver, date of issue. A job description can prevent hiring, promotion and dismissal decisions based on biased criteria. In hiring, following a job description can prevent the interviewer from asking illegal questions. For disciplinary actions or dismissal decisions, following a job description can protect the employer in the event of a lawsuit by a disgruntled employee or ex-employee. Holding employees responsible for job duties that are not in writing may also expose the company legally. A job description can serve as a drawing card for desirable, qualified candidates. The job description can emphasize the qualities the company is seeking, such as "takes decisive action" or "needs minimal supervision." The job description can also help with the interview process, by serving as a guideline for interview questions. By developing a similar set of questions for each candidate, employers can compare each prospective job seeker against the criteria included in the job description...

Recently I have become concerned with Hillary's performance at school. Both her classroom attendance and homework over the past 4 weeks have shown a marked decline in the high standard of work she usually produces. The reason for the detention warning was due to the fact that Hillary was off school for 2 days and didn’t have her homework done, thus I wanted to ask if you could shed any light on the possible reasons for this? . However, even making allowances for that, her work was of its usual high standard as soon as she returned school after being absent for 2 days, and it only started to decline about a week ago. I have spoken to Hillary directly and in private about this matter. However, she doesn’t seem to be able to come up with a justifiable reason as to why she’s suddenly slipped back and simply puts it down to the increase the volume of homework and the difficulty of class attendance.
