...Virtual Meetings: Smart Management Analysis Jeff Hebert April 27, 2012 City University, Bellevue, WA Virtual Meetings: Smart Management Analysis Teleconferencing and video conferencing are a technologies that allow individuals to conduct meetings virtually. A virtual meeting can be as simple as a multi person conference call, to a full blown video meeting with several individuals from all over the world. Technology advances and increases in travel costs have made virtual meetings an attractive option for both small and large businesses. However, companies must be aware of the risks of virtual meetings and implement proper precautions to avoid loss of intellectual property or sensitive company information. This paper will analyze case study Virtual Meetings: Smart Management (Laudon, K. & Laudon, J., 2012, pg 62) History The American Telephone and Telegraph introduced the concept of teleconferencing in the 1960s through its Picturephone device (Furnem 2007). Initial Picturephone’s were small Cathode Ray Tube (CRT) units with a small camera built into the housing. Many units were designed to sit on a desktop with the average unit size being approximately 6 inches. It would be several years before color would be available on the Picturephone (Wikipedia n.d.a). AT&T was one of the first to offer Picturephone service to businesses. Initial cost was high at approximately monthly cost of $169, plus 25 cents per minute after the first 30 minutes. (Wikipedia...

...ase 1: Virtual meetings: Smart Management Question 1: one consulting firm has predicted that video and web conferencing will make business travel extinct. Do you agree? Why or why not? Answer: I don’t agree with this consulting firm. I think video and tele conferencing will reduce the business travel in some extent (according to the case it 20%) but not totally. Regular business meeting can be done by the video or teleconferencing, but where it is necessary to be present physically, there is no alternative. The buyer of the garments has to come & check the quality of garment product because he can’t check the quality of the garments over camera. In near future unless 3D telepresence system or something revolutionary technology come up the business travel will not extinct. Question 2: what is the distinction between videoconferencing and telepresence? Answer: the distinction between videoconference and telepresence lie on the technology. Telepresence picks up where video conferencing left off. Videoconferencing is the predecessor of telepresence. Telepresence is real time, full-high-definition, immersible sound and vision. tele presence is more technologically advanced than videoconference and thus more costly than videoconferencing. Question 3: what are the ways in which videoconferencing provides value to a business? Would you consider it smart management? Explain your answer. ...by Internet technologies, particularly on TCP/IP connections. Services may allow real-timepoint-to-point communications as well as multicast communications from one sender to many receivers. It offers data streams of text-based messages, voice and video chat to be shared simultaneously, across geographically dispersed locations. Applications for web conferencing include meetings, training events, lectures, or presentations from a web-connected computer to other web-connected computers. Web conferencing was designed as an upgraded audio bridge with pictures. It made it possible to share presentations with audio participants located around the globe, and its features, like recording and presenter video, make it great for dissemination of information from few to many. It can still be used for smaller meetings, but it really lacks the features that today’s savvy user has come to expect with collaboration tools. Video conferencing, on the other hand, gives everyone a seat and a face at the meeting and is intentionally designed around collaboration. The best solutions focus on enabling communication in all of the different ways people meet—direct and meet-me, instant and scheduled, on any device and in multiple languages. Conference rooms and huddle rooms can be set up with video systems that can connect to other...

...Group meetings can be done through face to face conference or the web conference. Face-to-face meetings require individuals to be in the same place at the same time whereas virtual meetings reach across geographical boundaries to even the most remote locations. Each kind of conference has its own pros and cons. Face-to-face meetings and conferences can cost a great deal due to travel expenses, accommodations, venue rental, and the packing and shipping of displays. According to Bloomberg Businessweek, a virtual meeting or teleconference can save 50 to 80 percent of the costs of a face-to-face meeting. Virtual meetings may lower the costs and eliminate the geographical distances between attendees, but they sometimes fail to achieve the active participation of attendees. In these tough economic times, advancing technologies are making virtual events not only a less expensive replacement for physical meetings but also a superior one. The objectives of the meetings and events are to exchange information and to network. Virtual meeting and event technology can facilitate these two objectives easily. Considering the need and worthiness of virtual meeting, I will select the proper web conferencing software. Planning and preparation is everything when it comes to running a successful web conference so I will take care of the following steps while preparing for a web conference. 1. Pre-planning: I would prepare and send the conference invitation one or two weeks before the conference...

...Video TeleConferencing (VTC) System Markell D. Holliday CIS/207 Information Systems Fundamentals April 11, 2013 David Avery Jr. Video TeleConferencing (VTC) System Video teleconferencing is a system that is used in the military to bring families back together instantly with their loved ones stationed in Iraq, Afghanistan, and other oversea countries across the world (Military Information Technology, 2009). In addition, military leaders can speak eye to eye with their subordinates and private industry partners for effective communication to review detailed documents without leaving their offices. They also ensure that the commander’s intent is understood (Military Information Technology, 2009). Video Teleconferencing is a method of holding that allows people who are in different cities and countries, to communicate on computers or television. In the 35th Signal Brigade, Video Teleconferencing was used to talk to leaders and soldiers in combat zones and to have meetings with our higher headquarter, XVIII Airborne Corp at Fort Bragg, North Carolina. Before video teleconferencing, the military had emails, chat rooms, and morale calls to keep soldiers overseas in contact with their families. It was also one of the ways commanders communicate with subordinates and held meetings over the phone with units in combat zones. The military realizes that phones calls were not reliable. The phone calls were often broken, had static and unfortunately very expensive for soldiers and the...

...Chapter 2 Global E-Business and Collaboration Interactive Session:Technology:Virtual Meetings:Smart Management Case Study Questions 1. One consulting firm has predicted that video and Web conferencing will make business travel extinct. Do you agree? Why or why not? Disagree. To some extent, video and web conferencing do reduce the business travel, but not completely. There are still plenty of times when face-to-face interaction is more desirable, and often traveling to meet a client is essential for cultivating clients and closing sales. When it is necessary to be present, there is no alternative. 2.What is the distinction between videoconferencing and telepresence? Videoconferencing is the conduct of a videoconference (also known as a video conference or video teleconference) by a set of telecommunication technologies which allow two or more locations to communicate by simultaneous two-way video and audio transmissions. Telepresence refers to a set of technologies which allows a person to feel as if they were present, to give the appearance of being present, or to have an effect, at a place other than their true location. It is the top-of-the-line videoconferencing technology. The distinction between them lies in technology. Telepresence picks up where videoconferencing leaves off. ...message send through digital devices. It is fast and easier, the message can be stored in the device for longer periods of time, without being damage, and it can be done over large distances. Also it provides facilities like video conferencing wish save a lot of time, money, and effort. Some examples of digital communication are: E-mailing, texting, fax, teleconferencing, and videoconferencing. One of the most important digital tools that I think is very helpful is E-mailing. Email is a store-and-forward method of writing, sending receiving, and saving messages through computers. E-mailing is very fast and provides the receiver the opportunity to answer immediately. Email messages are very easy to locate and is a secure way of sending messages. Although it has its disadvantages like, Spam, and viruses, I still think that is a very efficient, easy and low cost way to transmit messages. Emailing is also one of the tools most used in schools and colleges, it allows immediate communication between the student and the professor. It’s the way of send important information like grades, or to give an advance absent notice. Another helpful digital tool is Teleconferencing. This is a telephone or video meeting between multiple persons in two or more locations. Teleconferencing allows people to participate in regional, national, or worldwide meetings without actually leaving their location. Videoconferencing is slightly different from videophone calls as it is designed to serve a conference rather than individuals. In a tight economy, with companies spending much less on IT, the tech giants will take growth wherever they can find it. The Wall Street Journal reported recently that Cisco and HP are in a pitched battle for customers for their high-end teleconferencing systems. According to the report, it's "one of the few technologies that has benefited from the downturn, growing 30% from last year as businesses look to reduce travel expenses." Cisco, HP, Nortel, and telepresence-focused players like Teleris have developed impressive, beautiful systems that make you feel like you're in the same room with your colleagues. The catch is that not only will you save money, but you'll also reduce your environmental footprint through reduced travel. These companies are cashing in on the business world's pressing need to cut costs, while also appealing to the desire to get green...
